CHAPTER I

I.1. BACKGROUND
As a part of the international community, it is mandatory for the people of the world
to respect cultural diversity or pluralism. For having this capability, it is expected that all of
us, particularly President Universitycan play a role as well as keeping up with the dynamics
of globalization.
President University, as an multicultural world-class university, has the obligation to
demonstrate a fine capability and creativity of implementing the appreciation of cultural
diversity. Many actions can be implemented in order to achieve such an objective. One of
them is by implementing a series of cultural exhibitions in this event, President University
International Friendship Week 2013.
Particularly in this event, we have carefully design and planned the events to cover all
cultures within President University as well as to show appreciation towards them. All of the
students of President University, which is our target participant, are expected to show respect,
appreciation, as well as opennes towards the diverse culture.
By holding this event, it is expected for us to be able to be more open to diversity.
Think about this idea. People will commonly react and respond differently to people from
other cultures when they are outside the comfort zone of their own cultures. However,
appreciation of cultural diversity is essential in today's multicultural world. Professionals who
overcome their ethnocentric worldview can expand their experiences and become more
successful in their professional lives. If you are a reader who works in management, business,
or education, consider the value of increasing your appreciation for diversity.

1. Implementing the President University Student Union Work Program 2013
2. Implementing planned events, which are:
Opening and Closing Ceremonies
Cultural Exhibition
Open stands on traditional cuisines
3. Conducting funds in order to fulfill our financial needs with the following activities:
Fund raising within the President University area
4. Identifying the areas around President University that are eligible for the events to
take place
5. Establish cooperation with the international students communities and clubs and
communities in order to reach the objectives of this event
6. Produce appropriate documentation and report of the event

CHAPTER II
II.1. THE EVENT
President University International Friendship Week 2013 is an internal event that will be held
in order to celebrate the Lunar New Year. This event is made with purposes to make
international student should feel that this university welcoming them with open widely, and
make this environment become their second home. This event will introduce the cultures of
international students to Indonesian and the other international students; also this event will
improve the knowledge about the other countries for President University Students. Makes
the students from different countries are closer. This event is in coordination with PUSU,
Vietnamese Community, Chinese Community, Korean Community, Japanese Community
(PUNICO), and AIESEC.

CHAPTER III
CLOSING

Thus, is the President University International Friendship Week 2013 proposal,
inwhich held by the President University Student Union has been carefully prepared in order
to improve our English proficiency as well as uniting all with one similarity: using the
language of English as the main language in President University.
In this era of globalization as well as being a part of the international community, we
have the obligation to demonstrate a fine capability and creativity of implementing the
appreciation of cultural diversity. Many actions can be implemented in order to achieve such
an objective. For having this capability, it is expected that the people of Indonesia can play a
role as well as keeping up with the dynamics of globalization.
This accountability report is produced as a tool to analyze and descript the progress of
this event and we hope it will be a consideration in all sides terms of aspects, spesifically
improvement and consideration in conducting upcoming events.

Enclosed II: Event Rundown Report

1. Saturday, February 9
th
2013
The opening event of the International Friendship 2013 was held on this day on 08.30
PM at the dormitory area. The event was supposed to start at 09.30 PM. The opening event
started an hour earlier because the Vietnamese association, the PIC of this day, requested to
change the schedule after a long and hard discussion. They change the schedule because they
want to make the closed party between Vietamese association.
The event went according as planned, starting with the game Lucky Lottery. Then the
MC, Kevin Nguyen and Hoang Phuong Thuy (Minnie), officialy opened the event. Since this
event were primarily organized by the Vietnamese association, many vietnamese culture
performances were on exhibit. Performances such as the Bambbo Dance, some traditional
dances, fashion show, and a video introducing about Vietnam and its cultures. Furthermore,
there were performances from PU Idol 2013 finalists as well as games that invite the
audiences participation.
During the traditional dances performance, the event went into an issue. Apparently,
someone had purposely switch off the electricity, thus ruining the whole show. After a quick
investigation, the committee found the suspected people who did the reckless act. They went
on investigation by the committee, and is still being taking care off.
The opening event ended with a countdown to the Lunar New Year along with
fireworks. Everything went according as planned. After this peak of the opening event, the
Vietnamese association had their own private activity to celebrate their new year. Overall, the
event went well and minor issues were taken care off.
2. Monday, February 11
th
2013
This day was Chinese Day. The strategy was initiating Fund Raising activities in the
morning until the afternoon, which was selling foods and beverages as well as the movie
tickets with a Chinese-themed stand decoration. And on this day, the Event Organizer
planned to held a movie night at night, watching a Chinese-related fim while getting the
President University students to come and watch it along. The movie was CZ12, a film
starring Jackie Chan as the main actor.
Although started around 30 minutes late behind schedule, the committee, with the help
of the International students, were able to sell all of the foods and beverages that are being
sold. Many buyers were interested and curios seeing the decorated stand and meals being
sold. Long story short, the food and beverages sold out long before the expected time.

The event continued on the evening. It started around an hour late behind schedule. It
was late because the committee was late to prepare everything that needed preparation; form
the venue to the readiness of the committee itself to attract participants.
Yet, the committee were able to attract enough participants for the movie night. Yes,
the committee had difficulty of attracting more because it was suspected that all of the
students were concentrated and centralized on another event that were taking place the same
time asthe movie night, which was the launching and opening of entrepreneurship programs
from one of the study program in President University. However, the show must go on. The
event was still initiated and ended well without necessary problems.
3. Tuesday, February 12
th
2013
This day was Vietnamese Day. The strategy was initiating Fund Raising activities in
the morning until the afternoon, which was selling foods and beverages with a Vietnamese-
themed stand decoration. And on this day, the Event Organizer planned to held a food
exhibition at the volley ball field at the the dormitory area.
The fund raising activity started late since there were problems in coordination on the
people who were in charge in the stand. A case of lack of coordination and team-work were
inevitable. Thus, the selling time started late with few people who were in charge with the
stand.
At night, the plan was to held a food exhibition at the volley ball field at the the
dormitory area. Unfortunately, it rained heavily and took quite a while. Thus, the committee
decided to move the venue to the New Hall, not very far from the initial venue. Only a
number of people went to the food exhibition and experienced the event since it was
suspected that many of the students were in their dormitory. They were shading themselves
from the rain. In the end, the event went well although it did not went too much as expected
4. Wednesday, February 13
th
2013
This day was Japanese Day. The strategy was initiating Fund Raising activities in the
morning until the afternoon, which was inviting PuNiCo, President University Nippon
Community, to held a Japanese-related activities with a Japanese-themed stand decoration.
And on this day, the Event Organizer planned to held a cultural exhibition; a dance
exhibition, in front of the S/N dormitory area. The plan was to build a small stage in there to
attract participants.
The stand was handed-over to PuNiCo. Fortunately, their unique and interesting
exhibition; games, art, knowledge, and all the fun activites were able to attract participants.
Furthermore, the decoration faced minor difficulty since yesterdays decoration were
unfortunately damaged by irresponsible people. The decoration division decided to

implement their contigency plan. The decoration for this day was eventually could be taken
care of.
In the night, the plan was to held a dance exhibition in fornt of the S/N dormitory area.
Unsuspectedly, it rainned hard and took a while as well. Then, the committee decided to
move the venue to the New Hall. However, since the committee did not booked the New Hall
for this day, many students came shade themselves from the rain, held their own meetings, or
mindinng their own businesses. The atmosphere was somewhat chaotic.
Yet, the dance exhibition were carried out anyway. But, there were no participants at
all. Furthermore, it started more than an hour late. This day was not a proud day for the
committee.
5. Thursday, February 14
th
2013
This was the final day of the International Friendship Week 2013, the closing night.
The committee decided that the closing night will be held today rather than Friday, February
15
th
2013 due to many considerations.
The plan was to invite the Embassies of Japan, Korea, and Vietnam, every clubs and
communities in President University, every PUMA (President University Major Association),
PUSC (President University Student Council), and the managements of President University.
We also invite AIESEC exchange students to participate in the event. The venue was beside
the New Hall, and beside the S/N dormitory area. There were also seeling food and beverages
as well as free food distribution to participants by the fund raising division.
The event started an hour late behind schedule. The reasons was the lateness of the
committee to prepare the technicalities of the event; such as the decoration, the equipment,
the food and beverages selling, and the readiness of the committee itself in preparing
themselves for the event.
There were many changes in the rundown; many switches were made on the rundown
since the event started very late. Furthermore, even though there were many participants
came to watch and participate in the event, the invited embassies were not able to come to
fulfill the committees invitation without any news given to the committee.
Eventually, with many changes in the rundown, the event was able to run well with all
difficulties could be taken care of. With bamboo dance and fireworks as the closing activities
of the event, the closing night was fun and so very memorable.

Enclosed V: Problems & Constraints and Problem-Solving

1. The Secretary division
The secretary division did not faced any significant issues or obstacles. The secretary division
managed to do all of the given tasks. The one thing that the troubled the secretary divsion was
the committee gave many sudden tasks that were due in such a brief moment. Fortunately, the
secretary division managed to do the given tasks in a quick time.

2. The Finance division
The finance division also did not faced any issues, problems, or constraints in this event.
They were able to collect, managed, and count the financial matters of the event with no
problems whatsoever.

3. The Event Organizer division
This division faced many difficulties as well as contraints before and during the event. This
division had communication problems within their own members; the Indonesian students
and the International students. Furthermore, this division were rather strict on their initial
plan, thus seem to not having a contigency plan when unexpected matters came by.
Inevitably, such an unwanted case happened. It rained several times during the event.
Furthermore, most of the event were late behind schedule.

Despite of it, this division managed to work and think hard to gain control of the seemingly
uncontrolled situation of the event. They did a fine job in encountering their problems on
their own way while consulting with others

4. The Public Relations division
The Public Relations division had difficulties in distributing the information, since the
information were oftenly given to them in such a sudden time, thus they had to quickly while
accurately spread the information to whom the information were meant to.
Furthermore, this division were not comfortable with the fact that the committee did not
respond to this division when they spread an information. This division needed feedback
from the receivers in order to acknowledge whether they received the information or not. In
the end, the committee understand with the public relations division, and letting this issue to
be an evaluation for them in the future.

5. Fund Raising and Food & Beverages
This division managed to do their job desk, despite of any lateness behind schedule due to
short of man-power. This division required the help of the committee, which in some cases
they did not receive any.
In brief, this division stated their need of assistance to the committee. The committee
acknowledged this and helped this division until the very end of the event.

6. The Design division
This division managed to do their job desk, despite of any lateness behind schedule due to the
information were on the constant change. They needed to design banners, posters, and other
means of promtion media as accurate as possible while completing the due date. Despite of it,
they were able to do their task just right before the due date, and their designs were proven
attractive and interesting enough.

7. The Decoration division
The decoration division were able to work hard and fast on every given event, since every
day had its own spesified theme, thus required a spesific decoration as well to match the
theme. Furthermore, this division was very much low on human resources due to the number
of members of the division as well as the communication with the international students
within this particular division.

Gratefully, the committee helped this division to complete their deadline on time. Although
in some cases there were lateness, and this division considered that they did not able to reach
their expected design and goals, still, the decoration was very interesting, unique, and
attrative in the eyes of the committee and the whole participants.

8. The Documentation division
The finance division also did not faced any issues, problems, or constraints in this event.
They were able to document the whole event with no problems whatsoever.

9. The Equipment division
This division were able to provide the required materials and technicalities to support this
event, even though in some cases it was just nearly over the due date, thus affecting the
sschedule of the event.
Furthermore, this division was very short in man-power, yet this required so many. The
solution was the whole committee, with some help from PUSU (President University Student
Union) were willing to give the needed assistance for them. The help form the others was
very crucial for the time efficiency of this division, thus they performed an fine job in this
event.
