Executive summary
On behalf of the employees of Air Asia Berhad I would like to propose a Family
Day activity at Pulau Langkawi.
It is important to proceed with the program in order to overcome a few issues
concerning the lack of teamwork among staffs, poor communication in the workplace and
health problems arising from stressful workloads.
The objective of the project is to strengthen bonds among staffs in order to
complete tasks given, to nurture effective communication and to help employees to reduce
stress.
The significance of this project is teamwork which leads to work efficiency,
promoting clear understanding and enjoyment of work without stress.
The basic procedures taken to prepare this proposal are to select a pro-tem
committee, call for a meeting, determine place, work out the budget and plan suitable
activities for the project.
The total budgeted cost for this project is RM 41,000 which includes the bus
for transportation and also other expenses such as catering and facilitator fee.
The limitation of this proposal is the activity is difficult to get a capable person
to manage the activity, difficulty in getting the cooperation from staffs to join the activity and
difficulty in getting the proposal to be approved.

1.0 A proposal for a Family Day at Langkawi Island
1.1 AirAsia Berhad has recorded a marginal increase in net operating profit of
RM201.11 million in year 2013. Organising a Family Day is a way to
appreciate and reward the hard work of the employees.
1.2 A family day at Langkawi Island is a low cost budget as it is a popular local
getaway. Furthermore, it is consistent with AirAsia slogan that says Now
Everyone Can Fly
1.3 The activities planned promote collaboration and teamwork which is vital in
building a stronger team to meet the challenges ahead.

2.0 Problem statement
2.1 Lack of teamwork
When team members exhibit selfish behaviours and are unwilling to concede
points or compromise to reach consensus, progress is impeded. The activities
in the Family Day provide employees with an opportunity to bond with one
another, which improves relations among them. Improved employee relations
also result from the fact that teamwork enhances cohesion among members
and increased trust among them.
2.2 Poor communication
Poor communication in the workplace is more than just a minor problem to the
company. When left unmanaged, it can cause dysfunction among the ranks,
dissatisfaction among employees, and even drive away customers. In short,
real damage. It is vital to keep communication open where employees can
share their concerns and ideas. Employees who are happy with their jobs
provide a much better customer experience.
2.3 Health problems
Symptoms of stress are manifested both physiologically and psychologically.
Work stress is caused by demands and pressure from inside and outside the
workplace. Work demands derive from uncertainty over where the job will take
the employee, inconsistent or difficult expectations, interpersonal and physical
demands.

3.0 Objective of the project

3.1 To strengthen bonds in order to complete tasks.
It is important to have a conducive and friendly atmosphere around the
workplace. Working in teams allows individuals to pool their strengths and
work as a more powerful unit overall. Successful teamwork in the workplace is
a must for accomplishing goals efficiently. Working together towards the
companys goal is easier if they coalesce as a team.
3.2 To nurture effective communication.
Communication is essential for effective functioning in every part of an
organization. Effective communication is so important for organizational
success that not only managers, but also their employees must be effective
communicators. One role of a manager is to help employees improve their
communication skills. When all members of a team, department, or
organization are able to communicate effectively with each other and with
people outside their group, they are much more likely to increase productivity
and output which leads to the success of the business.
3.3 To help employees to reduce stress
Feeling anxious and stressed at work can cause negative physical and
emotional health effects for employees, resulting in lost productivity and higher
health costs. Employers play a critical role in minimizing stress in the
workplace. The best approach to reducing job stress is to get involved in
stress relief activities. Reduced stress makes happier employees.

4.0 Significance of the project
4.1 Teamwork leads to work efficiency
Teamwork enables employees to accomplish tasks faster and more efficiently
than tackling projects individually. Cooperating together on various tasks
reduces workloads for all employees by enabling them to share responsibilities
or ideas. Teamwork also reduces the work pressure on every worker, which
allows him to be thorough in the completion of the assigned roles.
4.2 To have clear understanding.
Effective communication helps us better understand a person or situation and
enables us to resolve differences, build trust and respect, and create
environments where creative ideas, problem solving, affection, and caring can
flourish.
4.3 To give employee the enjoyment of work without stress.
A life full of achievement but little enjoyment is no life at all. When their own
needs are taken care of, employees are stronger and more resilient to
stresses that they face in the workplace. The better the employees feel, both
physically and emotionally, the better equipped they will be to manage work
stress without becoming overwhelmed. A well-balanced work force will be
more productive and happier overall.

5.0 Procedure.
5.1 Elect a Pro-tem Committee
Elect a Pro-tem Committee to temporarily manage the Team-Building
Program. This is to ensure the smooth running of the program until the actual
team is elected. The Companys Flight attendance is chosen to run the
program.
5.2 Call for meeting.
Call a meeting to elect the people in charge of the program and discuss the
plan in detail. Meetings will be held weekly to update the progress.
5.3 Determine place.
An appropriate location to conduct the Family Day has been selected. Its
location is Langkawi Island.
5.4 Work out the budget for the project.
Do a research to determine the costs of the project. The cost is allocated
according to its nature such as capital expenditure.
5.5 Drafting suitable activities to fill.
Determine suitable activities to carry out upon reaching the destination. The
activities are volleyball, tug-a-war, treasure hunt and exploring Langkawi
Island.

6.1 Transportation
The estimated transportation cost for the trip is approximately RM8,250. It will
include the cost of toll, gasoline and food. After an intense survey, AirAsia has
chosen Mesra Indah Vacation Bus for the trip. They were chosen based on the
lowest bid for the trip.
6.2 Shelter
The total cost of hotel rooms is approximately RM5,000.
6.3 Other expenses
The anticipated expenditure on carrying out the activities at Langkawi Island is
RM27,750. This includes the cost of hiring a facilitator, caterer, tent rentals,
fees, and barbeque.

7.0 Duration
7.1 The pre-period
The presentation of the proposal to the board of directors is expected to be in
May and expected to be approved within a week. After the approval, it will
take approximately a month for the booking of hotel and its facilities.
7.2 The operation period
The Family Day is expected to start at 9.00 am. to 12.00 pm. on Monday, 9
th
of June 2014. This would give the opportunity to the AirAsia staffs to enjoy
each others company while indulging themselves in varieties of food served.

8.0 Limitations
8.1 Difficult to get the person to manage the activity.
It is quite difficult to get a capable person to manage the Family Day activities.
The person who has experience in managing this type of activity is more
preferred.
8.2 Difficulty in getting the cooperation of staffs to join the activity.
The commitments of staffs depend on whether they are engaged at work on
the day the event takes place. Furthermore, not all staffs can come as some
who are on sick leave will not be able to join the Family Day. Some of them
who has no team spirit may not join for no reason at all.
8.3 Difficulty in getting the proposal to be approved.
The proposal may not be approved as AirAsia Berhad has spent a lot of
money during the rescue of Malaysian students at Egypt last month.
