8our 5ays to Build an EndNote i!rary
First% create a new library if you ha4en(t already6
File # New. Find the EndNote Files folder and create a library6 =y EndNote 'est 9ibrary.enl
+. /earch from within EndNote9 using its connection files to search e2ternal data!ases
$earchin1 databases directly fro EndNote is a handy feature% but it is best used to find known citations% not to
!erfor co!rehensi4e searches. &f you need to find all the articles on a !articular to!ic or by a !articular
author% search the database directly% usin1 all the search features a4ailable% and i!ort just the citations you
need into EndNote (see =ethod ,% below).
a. Add soe references 4ia a direct online search of Pub=ed or 0eb of $cience6

i. Click on the third (1lobal) icon to search online6
ii. &n the leftOhand colun% under 5:nline $earch7% click on the nae of the database (e.1.% Pub=ed or
0eb of $cience)
iii. &n the 5$earch box7% enter your "uery. =ake sure you are searchin1 the correct field (author%
keywords..) and use the sae search syntax as if you were searchin1 the nati4e interface (this can be
tricky for author searchesK)
i4. Eou(ll see your search results a!!ear in the ?eferences screen. 'he references are in the 5:nline
?eferences7 folder% a te!orary folder.
4. $elect the records that are of interest% and click on the 5Co!y to local 9ibrary7 button (the last button in
the 1ra!hic abo4e) to add the to the current library.

4i. Click on the first button to return to the inte1rated search ode. Eou will see a essa1e that
asks if you wish to discard the results of your online search> answer yes. Eour newly added
references will be in the folder 5Co!ied ?eferences7.
'i! F you can also run online searches in the inte1rated search ode% but in that case% all retrie4ed citations
will be added autoatically to your library.
Note6 &ncluded aon1 the databases you can search directly fro EndNote% when onOca!us6

al#habetically, thus rou#in similar records

$oe databases don(t su!!ort direct ex!ort into EndNote. For these you(ll need to ex!ort the records fro
the database into a text file in a !articular forat (=edline> ?&$)% and then i!ort the citations fro the file
usin1 a builtOin EndNote filter for the source database. &f you ha4e the o!tion% 1i4e the text file a 5.ris7
extension% which ay allow it to be reco1ni8ed and o!ened by EndNote% just by clickin1 on the file.

into EndNote7. $a4e Preferences. Now under each citation you(ll see a link to 5&!ort into EndNote7. Click
on the link to i!ort the citation directly into EndNote.

Eou can also add references to EndNote anually% by just ty!in1 the author% title% journal% 4olue% !a1es% etc.%
anuallyK 'his is rather tedious and ust be done 5just so7% or the citation won(t ex!ort !ro!erly. &f you can% use
one of the i!ort ethods% insteadK
Editing #eferences
'he old ada1e is% )arba1e in F 1arba1e outK $o be sure to check the citations you(4e i!orted for accuracy. Eou
can locate the recently added records by sortin1 the 5?ecord Nuber7 colun.
'ext in EndNote records is i!orted as 5!lain text7% with no boldin1% italics% or underlinin1. 3e sure to correct s!ecial
forattin1 such as &talics% subscri!ts% ca!itali8ation% etc. in the titles of articles. Eou will need to 5correct7 these
anually (e.1.% to chan1e A!is ellifera ,#is melli"era> or L,J L,:!. 'here is no 51lobal re!lace7 for editin1
words. &t(s a 1ood idea to actually look at the title of the article in the PDF of the article% to ake sure the title has
been i!orted correctlyK
Do not adjust the fonts for the journal titles% as these will be adjusted as needed by the out!ut styles.
'o edit any of the fields in a record% just o!en the record (double click on the brief suary)% click on the field to be
edited (e.1.% title field)% and edit as needed. 3e sure to $ADE the edited record. :r% in EndNote *. and */% you can
click on the 5Ruick Edit7 tab located next to the 5$earch7 and 5Pre4iew7 tabs% and edit as usual.

=any 1rantin1 a1encies re"uire D:&s (Di1ital :bject &dentifier) in cited references. :ur en1ineerin1 librarians ha4e
de4ised a way to search for and insert D:&s into any of your records. Eou just need to send the your EndNote

A screen will !o! u! that lets you co!are the du!licates side by side so you can choose which record to
delete (&n */% the fields that differ are hi1hli1hted.)
&f you want to assOdedu!licate the library% byO!ass the co!arison window by clickin1 on Cancel. Eou(ll
now see the library with the du!licate records selected. Eou can just 5delete7 the selected du!licates without
exainin1 the% if you like. (:r% while holdin1 down the Control key% choose which du!licates to select.) 3e
careful not to reo4e records that you ha4e edited or to which you ha4e attached PDFsK
=!taining 8ull 1e2t (3:8s) of Brticles via EndNote
%, 3ulling 3:8s into EndNote from the 5e! using the C8ind 8ull 1e2tD o0tion for a citation,
a. Eou need to ha4e custoi8ed EndNote(s U?9s @ 9inks and Find Full 'ext (see !a1e +% abo4e)% which
are located under Edit # Preferences #
b. :!en an EndNote library
c. $elect an article (or se4eral)
d. ?i1ht Click # Find Full 'ext # Find Full 'ext. Eou will be challen1ed to authenticate the first tie.
e. &t ay take a inute or two% but e4entually a 5!a!ercli!7 icon will a!!ear next to the reference. :!en
the reference% scroll down to Attachents% and you will find the PDF.
Note6 the downloaded PDFs are stored in a .data#PDF# folder with your EndNote library.
E.1.% if you ha4e a library naed 0oese.enl% you will find that you also ha4e a folder labeled 0oese.data> in this
folder will be a subfolder 5PDF7 that contains all the downloaded full text PDFs.
$, Bdding 3:8s already located on your com0uter
a. Eou already ha4e the EndNote record in your library6
&n the File Attachents field of the EndNote record% ?i1ht click # File Attachents # Attach # ;na4i1ate to
locate the file< and :!en.
b. Eou don(t ha4e a record for the ite6
$tartin1 with EndNote *.% you can create EndNote records directly fro any !ublisherOcreated !dfs
that are on your co!uter. 'his only works for !dfs that ha4e the D:& within the docuent% which only
articles !ublished after ,JJJ are likely to ha4e.
i. File # &!ort # File. Choose the file on your co!uter> &!ort :!tion C PDF> Du!licate C &!ort All>
'ext 'ranslation C No translation. &!ort.
ii. $canned !dfs and other PDFs that lack D:&s will not i!ort with the biblio1ra!hic data. 3ut PDFs
created by any of the ajor !ublishers will work fine% !o!ulatin1 the author% title% date% !a1e etc.
fields in the record correctly.
iii. &f you ha4e a folderOfull of !dfs% you can !ull the files for the whole folder into EndNote> just choose
to i!ort a folder instead of just a file.
'i!6 :nce you ha4e attached the !dfs to a record% you can delete the ori1inal file as a co!y will now be in
the EndNote library(s .data#!df folder.
&, "f you don@t want to store 3:8s on your com0uter (or the Cfind full te2t o0tion didn@t wor6) !ut you need
to locate the full te2t for a reference in your EndNote li!rary+
a. $elect the reference of interest in EndNote and ?i1htOclick on it
b. Click on6 U?9 # :!enU?9 9ink ... 'his takes you to the U of &llinois 9ibrary 5Disco4er7 window% fro
which you can choose the online 4ersion of the article
c. Alternati4ely% you will note that the 5U?97 field in any records that you i!ort has a U?9 that will link
back to the record in the source database> once there% you ay find a link to the Full 'ext or the
Disco4er button. Eou can o!en links in EndNote records at least three ways6 by clickin1 on the link
within the full record> by clickin1 on the 5:!en 9ink7 icon in the EndNote toolbar> or by ri1htOclickin1 on
the record and selectin1 U?9 # :!en U?9.

Cite While You Write + *reating your 8ormatted 5ord documentG
0hen you install EndNote% an EndNote 'oolbar will be installed in your =$ 0ord !ro1ra. EndNote calls this o!tion
Cite 3hile 4ou 3rite. 0ith this you can add citations to your 0ord docuent as you write your anuscri!t. Usin1
$tyles% EndNote will forat the citations within the docuent as well as create the biblio1ra!hy of cited references at
the end of the anuscri!t.
'he instructions for workin1 with EndNote are siilar re1ardless of which 4ersion of 0ord you are usin1.

+. La4e the EndNote library o!en that contains the citations of interest. Eou i1ht want to create a )rou!
that has all the citations you need so it(s easier to locate the re"uired references.

a. :!en the 0ord docuent you are workin1 on or start a new 0ord docuent.
b. :!en the EndNote toolbar by clickin1 on the EndNote tab in 0ord.
c. $elect the style you wish to use fro the dro!down list.
d. Place the cursor where you need to insert a citation.
e. Click 5)o to EndNote7 on the EndNote toolbar.

a4ailable out!ut styles will !o! u!> choose the style you need. E4entually you(ll want to select this style in the $tyle

EndNote has o4er /JJJ styles a4ailable% but the usual EndNote installation often doesn(t include all of the. &f
you(re not findin1 the style you need% download it fro the EndNote $tyles site%

a. $elect the citation(s) you wish to insert.
b. Click on 5&nsert Citation7. Eou(ll be taken back to 0ord% where you can resue your work.

0ord docuents created with EndNote ha4e ebedded in the all the inforation a reader who does not
ha4e EndNote will need in order to read the foratted docuent. 'his is because EndNote akes a
5'ra4elin1 9ibrary7% autoatically% that is !art of the Docuent. :r% you i1ht want to share the docuent
with the hidden codes reo4ed F see 5(ubmittin the 5inal 6anuscri#t7% below.
,. $hare a 0ord docuent and be able to edit the references.
a. 3oth users will need to ha4e EndNote.
b. 'o aintain inte1rity% you (A) should send the whole su!!ortin1 EndNote library alon1 with the
0ord docuent. 'o do this% you will want to co!ress the library6
i. File # Co!ressed 9ibrary # Create (or Create @ Eail)
ii. Choose to $end with or without attachents (the !dfs% fi1ures% etc.)
iii. Choose to $end All the ?eferences in the 9ibrary
i4. Click on Next
4. $a4e the .enlx file with your other EndNote libraries
4i. $end the .enlx file alon1 with the 0ord docuent to your collea1ue.
c. 0ithin EndNote% the reci!ient (3) should o!en the .enlx file. 'hey should6
i. =o4e or co!y the .enlx file to their EndNote 9ibrary folder
ii. :!en the .enlx library just as they would any other library6
