IP OFFICE 1608 HANDSET GUIDE

To make a call: Lift receiver or dial hands-free or press Headset key then dial extension number or external
number (with 9 if required).

To answer a call: Lift receiver or press flashing green Call Appearance button or press Headset key if you are
using a headset.

Receiving a second call: If you are on a call and you see a second incoming call, press the second flashing
green Call Appearance button. The first call is held and you have answered the second call. You can toggle
between the calls by pressing the appropriate Call Appearance button. To terminate a particular call, select the
call and use the Drop button.

To hold a call: Press the Call Appearance key with the caller , to return to the caller, press the same key. You can
also use the Hold button, however note that to retrieve a held call you can only use the Call Appearance
button.

To transfer a call: Press the Transfer button, dial the extension or external number, press Transfer key or
wait for an answer and if they accept the call press Transfer.

If call cannot be placed, press the Call Appearance button or press Cancel (in display) to return to the caller.

If an attempt to transfer the call is answered by voicemail, you must press the Drop key to hang up on voicemail,
then press Call Appearance key to return to caller.

To Answer another Ringing Extension: Press Call Pickup key or dial the Pickup code (if programmed)
This will pick up the longest ringing call in your group. To pick up the longest ringing call on the system, dial *30.
To pick up a call ringing on a particular phone dial *32*N# when N is the extension number ringing.

Last number redial: Press Redial button, scroll through list of numbers in the display and press Call when
you see the required number. If you just want to redial the last number, press Redial button twice.

Contacts (internal or external): Press the Contacts button, scroll through Personal, External and Users,
for each one dial the name using the letters on the keys pressing each key once only e.g. press 7 once for S.
When required name is displayed, press Call button.

Adding a new Personal Contact: Press Contacts button, scroll along for Personal, press Select, press
New key (under the display), enter the name using the corresponding letter key on the keypad e.g. press 2 twice
for B. To enter a space, press 0. Press the OK button and enter telephone number with 9 if required, press
Save. Up to 100 contacts can be stored.

To make a Conference Call: While on a call, press Conference key, dial number (internal or external),
Press Conference key if they answer and agree to come in on the conference call. If the called party does not
answer or does not want to join the conference, press Drop, then the Call Appearance to return to original call. Repeat
process to bring in more numbers.

Diverting Calls to Voicemail (Do Not Disturb DND)
If you do not answer your calls within 15 secs, calls will divert to your voicemail.
To divert your calls to voicemail immediately when you are away from your desk, dial *08 or press DND key.
To take your calls again when you return to your desk, either dial *09 or press DND key.

To Forward Calls: Press Features option (in display), scroll down to Forward and select. Scroll down to Fwd
Unconditional and select. Enter the number you wish to forward to and Save. To cancel forwarding, navigate to
the same menu and select Off.

Call Log: Press Call Log button, scroll to right or left to view Answered, Missed, Outgoing calls, scroll up or
down to select the number you wish to call, press Call or OK.

Changing Ringing Tone: Press the Menu/Home button, select Sound options, scroll down to
Personalised Ringing, press the OK button, scroll up or down to see available ring patterns, select a ring
pattern to listen to, press Save.

Mute: Press the Mute key (the light will come on) so the caller cant hear you, although you can hear them.
Press the key again to speak to the caller.


VOICEMAIL USER GUIDE

Your message lamp will be lit when you have new voicemail messages. Press the message
button to retrieve them.

To Listen to Messages:
Press Messages key
Press Select for Listen
Select New or scroll down for Old, Saved. You will see how many New, Old or Saved messages you have.
You will hear the first message and have options for Pause, Delete or press More for other options.

To Listen to Hunt Group Message (If you receive message waiting indication for group mailboxes)
Press the Messages key
Scroll down to display hunt group names and the number of new messages in those mailboxes
Press SELECT when the required group name is displayed.
Highlight LISTEN and press SELECT
You can scroll through your NEW, OLD and SAVED messages,
Press the key against New or Old or Saved to listen. The first message will be played to you, with options to
control the message in the display.

To Record A Personalised Greeting:
Press Messages key
Scroll down to Greeting, press Select
Press Record, press Stop when you have finished speaking
Then press Listen if necessary
Press More, then press Submit to save the greeting

Send a message to another mailbox:
Press Messages key
Scroll down to Message, press Select
Enter extension number to leave message for and follow screen for more options

Retrieving Messages Remotely
You can access messages from an external telephone by dialing the direct number for voicemail
Enter your extension, and then your mailbox passcode
Your messages will then be played back.
To control your messages, press 8 and listen to the options available
