(A) SYSTEM PARAMETER SETUP CHECKLIST

The SMS is a parameter driven system. It allows user to define codes and related
descriptions of data on the school, staff, students, subjects, classes, exams etc that are to
be used in the system. Certain codes have been pre-defined to follow current standard as
bein used by Malaysian overnment aencies.
To ensure the complete and successful implementation of the system, users must follow
and coplete the parameter files setup and data conversion steps. !ser may also refer to
the "S# SMS !ser $uides on the data input uide for the related records. %ote that other
functions that are available in the system can only be initiated after all the steps mentioned
below have been completed.
Step !" User Creation and Role Assi#nent &one ' (
)a* +ach user who needs to access the system re,uires a valid user loin name and
password.
)b* "ccess to the various options in the system depends on the user role)s* as
defined in the system.
)c* #erridot-s support personnel shall issue users- loin names and password to the
school staff in chare of the system.
)d* "n appointed staff of the school shall be responsible for subse,uent creation and
issuance of any new user loin and password.
)e* +nsure that the followin roup of users )as per user role* have been created in
the system.

User(s) with the role of SMS Basic (PK) shall complete steps (2) to (7) below. Note that certain steps
(as indicated) may be skipped for any school that offers Malaysian syllabus only.

To initiate this process, o to School Mgmt->School Profile->Edit. The school details
such as school name, address etc must be input in the system. Most of the details
will be referred to by the system in certain processin such as creation of
timetable, printin of leavin cert, testimonials etc.

Step 6: Subjects Offered one ! "
To specify the subjects offered, o to Curriculum Mgmt->Sub%ects $ffered. Select
each subject and indicate the level)s* that ta6e the subject.
If the subject offered is not found in the list, proceed to create the subject usin the
option at Curriculum Mgmt->Sub%ects Info->Code & escri!tion->Create.
Step 7: Classes Details one ! "
To describe the classes- details such as class code )e.. T9", T:"* and
descriptions )e.. Tin6atan 9", Tin6atan 8ima*, Session, Stream and Class
Teacher, o to Curriculum Mgmt->Class etails->Create.
;or Malaysian school, pre-defined classes have been setup from Tin6atan
#eralihan to Tin6atan < "tas. !ser may create new class if the setup is not
sufficient or delete any class record that is not re,uired. !ser may also edit the
classes- descriptions to those that are used by the school.

If the staff and students data are not converted automatically from a computeri=ed system,
user will convert the data from manual records to the SMS. The school shall orani=e for the
necessary conversion forms to be completed in order to speed up the data entry process
and completeness of data input.

This is for the case where the uardian IC %o. and name have been input
when creatin student record. 7therwise user needs to create the uardian
record usin the option under Student Student Mgmt->(uardian Info-
>(uardian Profile->Create) and create the student and uardian relation usin the
option under Student Mgmt->(uardian Info->"in* Student & (uardian->Create.
