An OS is an important part of our curriculum for M.B.A program. The
study is aimed at an opportunity for the students to observe, learn, assimilate and analyze
the objectives and vision of organization and functioning of its various departments. This
world enable the student to get a practical and real time feel of various aspects concerned
with the organization and to relate it to the concepts and theories studied so far in the
class room. This exercise would enable the future managers to face the challenges lying
ahead.

of the firm. It also helped to get clear view about the activities of each department

METHEDOLOGY OF THE STUDY:-


The data are collected from different sources. The main sources

of data are primary and secondary data. Primary data are the data that is

collected for the first time for the purpose of enquiry in hand.

Secondary data refers to the data, which are took from various

books, journals and websites.



Primary data:


Primary data are the data collected for the first time by the direct

Interview with the various department managers, workers, and other

members on the staffs.


Secondary data:


Secondary data are the data, which collected from various books

of the organization such as books and journals of the company. Also

secondary datas collected from Prompt Exports brochure.

LIMITATIONS OF THE STUDY:


As in every case, this project study also has some limitations. The

main limitations are,


The manager and members on staffs could not disclose

some data, which are confidential.


Members of the staffs in the company were very busy

with their work and as a result of which the feedback from

them were poor.


The period of the study was limited.

INDUSTRY PROFILE

Rubberized coir mattress segment is a high competitive. This segment is having
more than 50 % of the market share in the mattress industry. Rubberized coir mattress
industry has more than 45 odd brands and over 200 different models. The major players
in the industry are Kurl on, Duroflex, Sulfex, Rubco and Sunidra.
The birth of rubberized Coir Industry is quite amusing and interesting. Prior to the year
1960 people hardly had any idea of this novel and high utility product. In those days the
world famous car manufactures, M/S. Volks Wagon of Germany, were using horse hair
as cushion filling material for their car seats. As their production increased from 100 cars
per day to 300 cars per day, there was dearth of this raw material. This necessitated a
suitable alternative product for rubberization and which would suit to their specifications,
after various alternative tried like sisal fiber, jute fiber, the coir fiber was decidedly found
to be the best. This was the beginning of Rubberized coir industry. The Indian rubberized
Coir Industry is nearly five decades old. It was in 1964 that M/s/ Bharat Motors of
Chennai established its manufacturing unit. Many other units came up during sixties
itself.
After nearly one decade of its introduction. Government of India recognized Rubberized
coir mattress as a healthy and hygienic product. Slowly many state Governments
recognized rubberized coir as Wealth from waste and advocated the use of rubberized
coir mattress in various hospitals, health clinics etc.

COTTON MATTRESS
The cotton mattress mainly targets lower income group. This mattress is priced
very low. The cotton mattress industry has a market share of 50%.
FORM MATTRESS
Form mattress segment comes at next place after rubberized coir mattress
industry. This industry having a market share of 9 to 10% this industry mainly target
consumer belonging to upper income and upper middle income group. The major players
in form industry are MM form, sleep well.
SPRING MATTRESS
The industry target consumers belonging to the upper income group. The major players
in spring industry are spring well, Sealy Kurl on etc.
GROWTH DURING LAST 4 DECADES
From a handful of manufactures, during early 60s this product got some market
recognition in early 70s. In the next 3 decades over one hundred manufactures have
entered rubberized coir field. Today rubberized coir products are increasingly used in
many industries notably in transport industry like railways and buses, packaging industry
(Pharmaceuticals, heavy engineering, electronic etc), hospitals theatres and auditorium.
The basic raw material for Rubberized Coir Industry is the brown coir fiber and the
natural latex rubber. Over the last decade, the brown coir sector has registered a
tremendous growth.

There are mainly three major players in the industry and are as follows

Sealy Corporation is the major mattress manufacturer and it got the name from
the place it started, Sealy, Texas.
b)King Coil
Founded in 1988, Koil has over a century of experience crafting high quality,
affordable bedding both in United States and throughout the world.
c) Simmons Bedding Company
Simmon Bedding Company is a major manufacture of mattress and is one of the
oldest companies in the United States, for over 152 years.
INDIAN SCENARIO
The rubberized coir mattress market of India is estimated to be highly fragmented
with little brand loyalty. The major players in the rubberized coir mattress industry in
India are.
a) Kurlon Limited
Kurlon Limited, a Manipal group company came into existence in 1962. Kurlon Limited
is the brand leader in the mattress industry and has acquired major market share in the
branded mattress segment.
b) Duroflex
Duroflex is the largest exporter of sleep and comfort products from India started its
operations in 1963. Now the company has got three manufacturing units for rubberized
coir mattress.
c) Century Mattress
Century fiber plates Pvt. Ltd. Started its rubberized coir plant at Hyderabad in 1988
under the brand name CENTURY. Century is the first mattress manufacturer with ISO
9001 -2000 series and ISI Certification.

STATE SCENARIO

In India, the coir industry has developed very well especially in Kerala where they
produce Retted Fiber. Green husks of coconut are immersed in the salty back waters for
10 to 12 months. The main players in rubberized coir mattress industry are
a) Duroflex
Duroflex is the leading mattress manufacturer in India which started its operations in
1963. Duroflex is the largest exporter of sleep and comfort products from India

Eastern sunidra Mattresses pvt. Ltd.. Is a part of Keralas renowned business
conglomerate, the Eastern Group of Companies.
IMPORTS AND EXPORTS
PROMPT EXPORTS
Prompt export was set up in the year 1997. It was incepted with prime objective of
effectively utilizing the abundant rubber resource of Kerala.
The Indian coir industry has a diversified structure, reflective of the board ranges of raw
materials and value added products involved. The industry provides at least part time
employment to an estimated 40,000 persons. At the beginning of the value chain are
approximately 300 fibers milers with usually less than 10 employees and an estimated
500 supplies of coir pith, or dust. Their output is either purchased for direct export or
undergoes manufacturing for twine, mats and brushes, rubberized coir mattresses and
pots, geo textiles and pith products. Products, which are technically more demanding or
better, suited for mass production, such as high end twine, brushes, rubberized coir and
erosion control blankets are predominantly produced in larger facilities, employing more
persons.
Now in rubberized coir mattress industry the competition is more and more, the demand
of the product is in growth stage. So only the quality mattress industry can survive in the
competitive world.

world. Among the total production, small state of Kerala contributes 92%. So rubber has
become the backbone of our economy. Due to the bad impact of globalization the overall
market of rubber fell down Kerala, that time instability in price of rubber was one of the
major problem that farmers facing in the market. The farmers were no getting fair price
for their effort. But this problem has come to an end since 1997 because various
industries come into existence in which rubber is their raw material; Prompt Exports is
one of them.

PRESENT STATUS OF THE ORGANIZATION
Prompt Exports is a well diversified industrial conglomerate with a strong
presence in the rubber based industrial segment. It was formed with the prime objective
of utilizing abundantly available rubber resources of Kerala. In a short span of time it has
successfully introduced a wide range of fast moving rubber based products. Today
Prompt Exports has established new factories of Rubberized coir mattress, processed
rubber and rubber molded coir mats.
FUTURE OF THE ORGANIZATION:
The main future plans and the progressing proposals of Prompt Exports are:
PROMPT EXPORTS TYRES
Prompt Exports is in the process of setting up a project for the manufacture of
tyres and tubes for two and three wheelers, passenger cars, heavy duty trucks and light
commercial vehicles. The ground work is underway and the division will be launched in
the near future. It will have a production capacity of 6 million tyres and tubes annually.
PROMPT EXPORTS CASUAL SHOE PROJECT
Investment: 96 million
Employment:600 persons
Location: Thalassery, Kannur district, Kerala
Capacity: 1.5 million pair per annum. 75% of the production is earmarked for export.
PROMPT EXPORTS MATTRESS DIVISION
Prompt Exports rubberized coir mattress division, at Pampady, Kottayam which
started its operation in 2001, is an ambitious project realized with an investment of 26
million. The manufacturing plants among the very few in the country to employ advanced

without compromising on comfort. By virtue of their ingenious design and constructing
and the unique 3-D technology, Prompt Exports rubberized mattresses are very
comfortable and ensure a healthy and restful sleep. Prompt Exports rubberized coir
mattresses are crafted from the finest materials and finished to perfection in one of
Indias most modern manufacturing plants.The furnishing section is equipped with most
modern computer controlled machines imported from U.K and U.S.A. Strict quality
control is observed at every stage of production to ensure that Prompt Exports rubberized
coir mattress always measure to the highest quality.
A unique of the main sheeting plant is that it facilities Vertical fiber
Orientation, a proceed that result in a deeper penetration of latex in to the sheet, making it
very elastic. This provides the mattress with uniform density throughout and an extra
cushioning effect.
The plant has an annual installed capacity of 4.8 million units, consisting of mattress and
other rubberized coir products.

RESEARCH
Research means search for knowledge. It aims at discovering the truth. It is an essential
and powerful tool for leading men towards progress. It is an essential contribution to the
existing stock of knowledge. It is undertaken to discover answer to the questions by
applying scientific method. It is the search for knowledge through objective and
systematic methods of finding solutions to problems. There for research is the
systematic and in depth study or search of any particular topic, subject or area of
investigation backed by collection, computation and interpretation of relevant data.
TYPES OF RESEARCH
For the sake of perceiving the concept of research, let us briefly classify the research on
various head.
Research may be broadly classified as;
Fundamental research and applied research
Descriptive research and analytical research
Quantitative and qualitative research
Conceptual research and empirical research
Fundamental research and applied research
Fundamental research is mainly concerned with generalization with the formulation of
the theory. It is the research concerning with principles or laws or rules. It aims that to
achieve the knowledge and truth. Need for such a research arias with the emergence of
the new problems and new situations in the Society. Fundamental research aims at the
attainment, increase and verification of knowledge. It tries to find out cause and effect
relationship in social phenomena. Fundamental research in essentially a positive and not
normative.

Applied research is concerned with the solutions of particular problems. It aims at
finding solution for the immediate problems facing a society or an industrial
organization. Applied research is empirical and practical. It is concerned with applied
aspects of the life. Research to identify social, economic or political trends that may
affects a particular institution, or the marketing research, evaluation research etc are the
examples of applied research.
Descriptive research and Analytical research
Descriptive research includes survey and fact finding enquiries of different kinds. The
major purpose of descriptive research is description of the state of affairs as it exists at
present. The main characteristic of this research is that the researcher has no control over
the variables. He can only report what has happened or what is happening. In analytical
research one has to use facts or information already available and analyze this to make a
critical evaluation of the material.
Quantitative research and Qualitative research
Quantitative research is applicable to phenomena that are measureable so that they can
be expressed in terms of quantity. Quantitative research is concerned with qualitative
phenomenon. Research designed to find out how people feel or what that thinks about a
particular subject is a qualitative research. Quantitative research is especially important
in the behavioral sciences where the aim is to discover underlying motives of human
behavior.

Conceptual research and Empirical research
Conceptual research is that related to some abstract ideas or theory. It is generally used
by the philosophers and thinkers to develop new concepts or to reinterpret existing ones.
Empirical research is relies on experience or observation alone. It is data research
coming up with conclusion capable of being verified by the observation or experiment.
It can be called experimental research. In empirical research the researcher has to first
set up a hypothesis or guess. As to the probable results. He then works outs to gets
enough facts to prove or disprove his hypothesis.
RESEARCH APPROACH
There are two basic approaches to research namely quantitative approach and qualitative
research.
Quantitative research
In the research is based on measurable quantities. There for data in this approach, are
available in quantitative form. This approach can further classified into inferential,
experimental and simulation approach. The inferential approach aims at forming a data
base from which to infer characteristics or relationship of population. In this approach a
sample is selected from the population and it is studied to determine the characteristics
of the sample. In this approach some variables are manipulated to observe their effects
on other variables.
Qualitative Research
Qualitative approach to research is concerned with subjective assessment of attitudes
opinions and behaviors. Research in such situations is a function of researchers insight
and impressions. Such an approach, generates results either in non-quantitative from or
in the from which are not subjected to rigorous quantities analysis.

DATA COLLECTION TOOLS AND PROCEDURES
SOURCES OF DATA COLLECTION
The data collection for the present study obtained from primary and secondary sources.
PRIMARY DATA COLLECTION
Primary data are those collected by the researcher himself for the first time and thus are
original in character. Primary data is collected by Personally interviewing and
interacting with the staff and other employees of various departments. The data has been
collected from the direct interaction, discussions, and interviews with the employees of
the various departments in the organization. This helped in getting a great deal of
information functions & inter-dependence of various departments in the organization
Sources of primary data
The primary sources are direct observation, questionnaire methods and interviews.
Observation Method
The observation method is the commonly used methods specifically in studies relating to
behavior sciences. In a way we all observe things around us, but this sort of observation
is most scientific observation. Observation becomes a scientific tool and the method of
data collection for the researcher, when it servers a formulated research purpose, is
systematically planned and rewarded and it is subjected to checks and control on validity
and reliability.
The main advantage of this method is that subjective bias is eliminated, if observation is
done accurately. Secondly the information obtained under this method relates what is
currently happening. It is not complicated by either the past behavior or future behavior

or attitudes. This method is particularly suitable in studies which deal with subject who
are not capable of giving verbal reports of their feeling for one or the other.

Questionnaire Method
Questionnaire is the self administrated process whereby the responded himself to read
the questions and answering the entire question with assistance of the investigator
schedules are widely prepared their question.
Personal Interview Method
It requires a person known as the interviewer asking questions generally in a face- to
face contact to the other person or persons to collecting information. This sort of
interview may be in the form of direct personal investigation the interviewer has to
collect the information personally from the source concerned. But in certain cases it may
not be possible or worthwhile to contract directly the persons concerned or on account of
the Existence scope of enquiry. The direct personal investigation technique may not be
used.
SECONDARY DATA COLLECTION
The data has been collection from the direct interaction, discussions, and interviews with
the employees of the various departments in the organization. This helped in getting a
great deal of information functions & inter-dependence of various departments in the
organization. Secondary data means that are already available i.e., they refer to the data
which have the researcher utilizes secondary data, and then he has to look into the
various sources from where he can obtain them. Secondary data may either be published
data usually published data are available in;
Technical and trade journals

Reports & Publication of various associations connected with business and
industry, bank, stock exchange etc.
Reports prepared by research scholars, universities, economist etc in different
field and public records and statistics, historical documents, and other sources of
published information.
MANAGEMENT
The term management has been used in different senses. Sometimes it is used in the
sense of managing the group of managing the personal in an organization. At other
times, management refers to the process of planning, organizing, staffing, directing, co-
ordination and controlling.
DEFINITION
According to George Terry, management is a distant process consisting of planning,
organizing, activating and controlling the performance to determine and accomplish the
objectives by the use of human being and other resources.
FUNCTIONS OF THE MANAGEMENT
The following are the various functions of the management:-
Planning
Planning is the basic management function. Planning help in determining the course of
action to followed for achieving various organizational objectives. Planning is the
process of looking ahead. The primary of planning is to achieve better results.
Organizing
Organizing is the part of managing that involves establishing and international structure
of role for the people in an enterprise to fill. Organization provides the necessary work
with in which people associate for the attainment of the business objectives.

The function involves manning the position created by the organization process. It is
concern with human resources of an organization.
Directing
Directing is concern with carrying out the desired plans. It initiates the organized and

management. The importance of human factor is being increasingly by those responsible
for the management of industrial concerns.

Labor as a factor of production is different from other factors like material, machinery
and money as much as it has a will of its own. The importance of human factor in the
efficient and successful management of industrial enterprises led the management to
think in terms of providing some machinery for managing men.

Personnel Department came to be recognized an internal part of the management
setup. The outcome of these developments is the emergences of the Personnel
management are vital part of management.

Besides the recognition of the importance of the human factor some other factors
also contributed towards the development of personal management. To deal with
organized labor to remain in touch with the needs and aspirations of the people at work
and to ensure the observance of a large number of complicated roles framed by the
government was necessary. A separate department was absolutely essential for coping
with the tasks. The personnel department was created for their purpose.

This is one of the main departments in the organisation. This department is
dealing with the recruitment, selection and training of the workers and the problems
regarding the employees. There is more than 100 workers and 25 staffs in the
organisation.

In the recruitment process at first advertisement is given through the newspaper
about the vacancies. After that written test and interviews are conducted. Then suitable
persons are selected. Based on type of job, training is given to selected people. All the
employees are provided with ESI, PF, DA, HRA, bonus etc. Here 20% of total salary is
given as bonus. Employee getting 12% interest from PF. 10% of basic pay is given as

HRA and 2.45% as DA. Some other allowances are also given including uniform
allowances, washing allowance etc.


Prompt Exports also provides help for the education of childrens of the employees. The
retirement ages of employees are 58 years.

The working time for workers is from 8.30 am to 5.45 pm, for staffs it is from 9 am to
5.45 pm. At 10 am, and 4 pm, there is a 15 minutes interval. The lunch break is from
12.30 to 1.30 pm.

Trade Union
There is only one trade union in the organization, INTUC. Due to this, there is a
good relationship between management and workers.
Due to the good relationship between trade union and management, there is no
strike in the organization for a long period. And workers efficiency and unity in the
organization is improved.

It induces self-reliance and self-respect between workers in the organization. It
also ensures minimum wages at uniform level.

Administration department will be in charge of general administration and
personal department of the company. This department is in charge of strict enforcement
of the standing orders of the company and also for making timely and necessary changes
in the standing orders. It will ensure the proper discipline of the staff. It will be in charge
of proper and timely attendance of the staff for duty and will take appropriate measures to
ensure this.

Leave of a staff late arrival with permission can be given only by this department
and this will be done with the concurrence of the parent department of the staff. Security
and safe custody of the belongings of the company will come under purview of this

regulation, insurance etc for the smooth running of the company. Maintaining records of
the gratuity, provident fund, ESI, leave in credit etc and remittance of PF,ESI etc will be

in the technical aspects of the same. All gates passes for exit and entry of all materials
vehicles and men will come under the control of administrative department. This
department is in charge of looking after the welfare of the staff and will give the

Logbooks, utilization of fuel and maintenance of vehicles come under the purview
of this department. Necessary registers for the smooth functioning and maintaining

Source of fund
Bank loans are the main source of fund for Prompt Exports. It also includes promoters
contribution, working capital etc.

Finance department will regulate the income and expenditure of the company. And
prepare an annual budget and monitor income and expenditure to facilitate the
implementation of the budget. It will be responsible for the disbursement of cash and
cashbook should be maintained and tallied every day.

Finance department will give a financial statement of the company every day to
MD with any variation from the budget with the corrective steps proposed. It will
maintain required registers and ledgers to all necessary work related to income tax, sales
tax and central and state excise. Collection of cash, maintenance of cash book, safe
custody of cheques received, presenting them for collection and its follow up,
maintenance of a register for cheques, advising legal action for bounced cheques will be

The Company produces more than 30 types of products. Different types of raw materials
are used for production. The raw materials are purchased from different places. A stock
indent is sending to purchase department. They supply necessary raw material. All the
raw materials are kept under the control of Store Manager. The quality control officer
checks the quality of the raw materials. Materials are used on the basis of First In First
Out.

GMP (Good Manufacturing Practices) certification is yet another laurel toPrompt
Exports manufacturing division. Manufacturing practices have been perfected over 13
years of sterling experience.

The division accommodates modern technology without sacrificing traditional
values. Over 70 fresh raw materials, mostly herbs are used for manufacturing medicines.
The entire process is free from the use of any chemicals. Special care and caution is
applied to minimize loss of volatile components while heating.

The production department will be responsible for meeting the market demand
and for the supply of quality products. The production department in consultation with
the marketing department will make a production plan for every months production

department for facilitating timely and economical purchase before 20

Production department will pre fix the quantity of products that can be manufactured. A
copy of this pre fixed quantity will be made available to the finance department for any
variation of more than 20% from this quantity, the production in charge will be
responsible and the loss on account of this will be recovered from him.
Production department will accept only raw materials satisfactory for them and
any quality variation in the finished product will b the sole responsibility of the
production in charge. Any product complaint found before packing, at the time of
certification by Q.C will be immediately brought to the notice of the finance department
by production department along with the corrective steps suggested, cost of this
corrective step including RM, PM, man power and consumables and the loss/gain of
quantity due this correction.
If the product is found to be defective by the Q.C for packing, the production department
should decide the corrective steps to be taken with in 24 hours after receiving the
intimation from Q.C and the correction should be carried out within 48 hours after taking
this decision. Before handing over the product to the packing department, the production
department should have obtained certification from Q.C. At the time of handing over, the
production department should convince the packaging department of this and get an
acknowledgement.
Production department will maintain the required registers including statutory
registers for the drugs control department and will submit the same for the periodic
inspection of the A.G.M. The packing department should maintain a packing register
with all details incorporated in it. The packed materials should be handed over to F.G
stores in charge and acknowledgement should be obtained. This acknowledgement
should carry the batch number, number of bottles/packets, date of handing over etc.
All purchase required by the production department should be routed through the
purchase department.
The company follows batch production procedure. In some monthsthe sale is
more so production is also more in these months. In high temperature climate the sale is
low so reduction in batch production or complete stoppage of production will take place.

Every support should be supported by an intend from the requesting department
before making purchase, the purchase department should request to the finance
department for financial sanction. The request should carry the purchase intend
competitive quotation and any other datas found to be in need.

Wherever possible regular supplier with pre fixed long term rates are
desirable. But this does not include raw materials for production. Every purchase
order, unless otherwise explained with reason in writing, should have competitive
quotations. When the quantity of purchase or value of purchase is high, minimum of
three quotations should be obtained for comparison. Permission from finance
department should be obtained if forced to violate this procedure. The section of
material should be based on price, quality of material, make, brand, lead-time, credit
period etc.
Purchase department will be solely responsible for price, quality or quantity
of any item purchased. Request for purchase should be made in the prescribed form
signed by the person heading the department and forwarded to purchase department.
Purchase request must include datas like item name, quantity, specification (if any),
current stock, date on which the item is required etc.

The purchase department should send the invoices to the finance department
along with the copy of the purchase order, intend and G.N.R after verifying and
certifying the accuracy of the above details. It is the duty of the purchase department
to prepare and maintain a list of and price of items, which have major seasonal
variation in prices. Purchase department should advice AGM and finance department
regularly on this matter and initiate purchase during the season, base on the
availability of finance, inventory holding cost, storage requirements etc.

Purchase department should give a daily payment schedule statement to the
finance department for them to arrange the cash flow for prompt payment. Whenever
required the purchase department should obtain the expertise of other departments to
specify and evaluate the quality of the material. Purchase request receive, with various
department along with tabulation of competitive quotations should be send to finance
department for financial sanction.

and after entering the stock in the register send the goods received note along with

On the basis of quotation, purchase order is prepared. It contains reference number, date,
purchase order number, quotation number; suppliers name and address, payment forms,
tax rate, delivery period, place of deliver, item, quality, rate etc. Payments are made by
ready cash and credit records.
INVOICE
Purchase order is prepared in 4 copies. Original is send to suppliers, another one
is send to account section and the rest two to purchase department. The purchase
materials are checked with the help of invoice.
PURCHASE REPORT
When the goods are received, the goods are directed to the concerned store which made
the request and after verifying the quality, quantity and price, enter in the stock register
with the goods received note along with the copy of purchase sanction, purchase order
and invoice to the finance department after checking of the raw materials and prepare the
purchase report.

Store department is the department where all the raw materials, work in progress, and
finished goods are stored. This department is responsible for the proper storage of all the
goods. And an Asst. manager controls this department. Under his control there are three
supervisors for finished good store, raw materials and packing material respectively.

STORE PROCEDURE

Materials are intending by Store Department on the basis of minimum-maximum-order
level fixed on the stock card. Other local raw materials are arranging by the production in
charge through Purchase Department.

Stock issues are punching in the computer everyday consolidated issue
statements are received from the computer and it is posted in the stock card. Stock card is
tallying with the actual stock; time to time excess shortage is adjusting accordingly.
There is a serial number on the stock card and the same number and name on the labels
are tied with the bags. Bundles kept on the rack to identify the material.

Materials are stocking serially as far as possible and others are kept in the rack and open
covered sheds. Requirements of seasonal and bulk items can be fixed as the stock card
according to average yearly consumption noted.

On receipt of materials we are taking entry in the rough book and sending
necessary intimation to the concerned department with samples of approval. Further
goods received note got certified and sending to purchase department for further action.

Issues are made as per requirement of production. Electrical and other miscellaneous
items are issuing as per instruction of concerned department heads. Tools and instruments
are issuing according to temporary or permanent loan register.

INVENTORY CONTROL
Maximum level mentioned on the stock card should not be gone up, at the same
time minimum stock should not come down. As a special case and some particular
materials can be for a long period which is not available in the open market.

Materials are issued on the basis of Batch manufacturing Record (BMR). The
production officer prepares BMR. The issuing items of raw materials are entered in the
stock register (quality purchased, quality issued, balances etc ) by the store manager.

Procedure of the store
1. Manager in charge of the store shall be solely responsible for the safe custody and
proper storage of all materials, packing material, finished goods, tools and
accessories, spares etc.

2. They should maintain a stock and issue register, which should be submitted to the
AGM for periodic inspections.

3. On arrival of any item to the store they should evaluate the quantity and quality as
per specification and as per invoice and issue a goods received note to purchase
department.

4. They are empowered to reject any item found not conforming to the specification
and any short supply should be mentioned in the GRN.

5. Raw materials, before being taken into stock, should be checked and approved by
the person authorized by the production department.

6. The stores on all raw materials to analyse its aging and usability should carry out
periodic inspection and the same should be intimated to the production department.

7. Considering the seasonal variations in prices they should prepare a list of items and
should study the feasibility of purchasing them.

8. Periodic inspection of FG store, RM store, tools and accessories and spares should
be carried out to assess the accuracy of the stock in hand.

9. First in first out principle should be maintained in RM and FG store.
It is the duty of the stores department to constantly monitor the stock of FG, PM

The Marketing department, considering the potential, paying capacity, trustworthiness
etc., may fix credit norms for each agent and approval may be obtained for the same from
the Finance department. Any extension of credit beyond one week above the norm should
have the permission from Finance department. While appointing new agencies the same
should be inspected by a person not holding less than the rank of Sales officer.
The marketing department should prepare a short-term programme and long-term
policy to sustain and show gradual increase in sales and number of potential agencies.
The long-term policy should be at least for period of two years. The Marketing
department should prepare a policy for the return of any unsold goods with the agencies
and get that policy approved by the finance department

All branches will function under the marketing department and all required
formalities like stock register, sales register, and daily collection and remittance details
