Flexible Real Estate Management (RE-FX)
Purpose
This component fulfills the requirements of real estate management by providing a comprehensive view
of all business transactions related to it.
Management of real estate
The dual view of master data (architectural view and usage view) lets you easily create and
manage all types of real estate objects (business entity, land, building, rental unit, rental space,
rental room).
Contract management
The real estate contract lets you manage all contracts related to your real estate portfolio:
o Real estate contracts of the lease-in category (such as, commercial, internal, residential)
o Real estate contracts of the lease-out category (such as, commercial, internal,
residential)
o General customer contracts (such as, service contracts with the tenant)
o General vendor contracts (such as, maintenance contracts with a service provider)
o G/L account contracts (such as, for posting reserves for service charges)
o Security deposit agreements
You can assign any number of rental objectsfrom different business entities, buildings or
company codes to any one contract. When defining conditions and other contract terms,
you can group the assigned objects together into object groups .
Space management
Space and room management takes account of unusual architectural structures, usage
considerations, as well as technical amenities and features. You can define spaces flexibly and
rent them (extracting them from a larger available space). In addition, data exchange with
external graphic systems allows you to visually represent your real estate objects.
Lease-in
The credit-side view of the lease-in process lets you control cash flows to the landlord and
posting of expenses.
Control of business processes relevant to real estate
The following important processes in the management of real estate are integrated in the
component:
o Asset management postings and reports
o Real estate controlling (cost planning/intercompany activity assignment/cost
settlement/profit center accounting)
o Planning and controlling of new building developments, maintenance and modernization
projects
o Purchase order processing and commitments management for the operation and
maintenance of real estate

To be able to use the functions of Flexible Real Estate Management in the SAP ECC Enterprise
Extension, the configurations have first to be made for the basic settings. In a broad sense it can be
mentioned that it covers the following settings
Activating Real Estate Extension
Basic Settings in Company Code
Activating Real Estate Management
Selection of Tenancy Law
Configuration
Activating Real Estate Extension:
Menu Path: IMG ->Basic Settings->Activate Real Estate Extensions
The following indicators have to be setup to be able to use the functions of Flexible Real Estate Management in the
R/3.
Within the SAP R/3 Enterprise Extension Set, user would need to activate the Financials Extension
(application code EA-FIN). Its a Client Independent setting. Here we make all settings for documents
from the Financial Accounting (FI) component that we want to post to real estate objects. For example,
using account properties, we can specify which accounts can be posted on which real estate objects.
Activate the BTE Application (RE). The active/inactive indicator determines whether Business
Transaction Events (BTEs) of other applications are also processed by the Real Estate Extension. The
Real Estate Extension processes some BTEs for the following functions:
o Payment (FI)
o Clearing (FI)
o Dunning (FI)
Activating the Real Estate Extension. The indicator is client specific.

Basic Settings in Company Code:
Menu Path: IMG->Basic Settings->Basic Settings for other components->Basic Settings for company
code
In this table, user would need to make basic settings for the company code used in the environment of
Flexible Real Estate Management. Settings for each company code are required to be made for which we
want to manage real estate objects. Financial Assets Management has to be active in these company
codes.

Accounting System: FI has been the prerequisite for RE-FX configurations.
Uniqueness of Object Assignment: There is a one to one relationship between the object from other components (like
Plant Maintenance, Asset Accounting, Project System and Controlling) to real estate objects.
Default Units of Measurement: Default unit for length, area and volume can be taken as Foot, Square Foot and Cubic
Foot respectively.
Rental Accounting: The following settings have been made under the current state of system:
Company Code Opts - This setting will result in Option Rate Determination.
Create Residual Items- Specifies, when there is an incoming payment that does not clear all items, how the
remaining amount that is still due is handled.
Fill Assignment- By activating this setting the document line item field is automatically filled in as per the standard
SAP settings.
Item Summarization Active-This setting will result in the summarization of line items in FI documents.
Tax Summarization Active- When tax summarization is active, the system summarizes line items using
the following criteria before the tax lines are generated:
o Underlying tax code
o Tax category of the account (G/L account or reconciliation account)
o Tax jurisdiction code (if there is one)
o Account type
o Gross/net indicator of condition
o Currency
Activating Real Estate Management:
Using this indicator the user can assign accounts to any Real Estate objects in CO when posting documents in
Financial Accounting.
Address Management:
Maintain Addresses and Person Number Ranges
Menu Path: IMG -> Address Management-> Maintain Address and Person Number Range
Most of the addresses used in SAP applications are stored in a central address file. Addresses are
identified by an internal number assigned by the SAP number assignment.

Maintain Address Screen Layout
Menu Path: IMG -> Address Management-> International Settings->Choose Address Screen Layout
The layout of the Business Address Services address maintenance screens can be configured globally. In
the variants for the USA and Canada, for example, the postal code is after the city and the house number
before the street, whereas in the standard variant, the fields are in the opposite order.

Maintain Forms of Addresses and Name Components
Menu Path: RE-FX->Address Management->Forms of Address and Name Components
The following settings are to be maintained.
Maintain Forms of Addresses Standard SAP settings eg. Ms, Mr., Company
Maintain Academic Titles- Standard SAP settings eg. Dr. Prof. B.A. M.B.A PhD.
Maintain Name Prefixes- Standard SAP settings
Maintain Titles and Name Prefixes- Standard SAP titles and Name Prefixes
Maintain Name Formatting Rules- Only one setting eg. US format has been specified.

Maintain Transport Zones
IMG Path: IMG -> Address Management->Maintain Transport Zones
This setting enables the system to automatically suggest a suitable route during sales order and outbound delivery
processing.
Activating Duplicate Check and Determining Limit for BAPIs
IMG Path: IMG->Address Management->Duplicate Check->Activate Duplicate Check
User needs to maintain this setting to activate the duplicate check at the level of the index pools. Additionally, user
can enter for each index pool, from what level of similarity a record is to be valuated as a duplicate for
processing without dialog.

REFX - Sales-Based Settlement posting using cash flow

This document shows how to proceed to get service-based settlement (SBR) results posted using cashflow.


1. Prequisites

The functionality to post the SBR results using cashflow is available with Enhancement Package 2 for component EA-
APPL.
So you need at least have this release implemented.

2. Activate Business Function RE_GEN_CI_1

The functionality is delivered with Business Function RE_GEN_CI_1 which has to be activated in transaction SFW5.

Note: Please check carefully before activating because activation is irreversible.


3. Activate Subfunction XX01

To activate the functionality you have to activate the Subfunction XX01.






4. Add flow type for posting of the result to condition type for Sales-Based rent



Account assignment for flow type 6000 has to be maintained in customizing, also dependant flow type for follow-up
due to condition reduction (relation 20) which is needed for correction settlement that leads to reduction of sales
based rent.

5. Set flag 'Post Using Cash Flow' in contract

A new flag 'Post Using Cash Flow' is visible now in the sales rule data of the contract.



6. Effects on Sales-Based Rent settlement

The settlement protocol shows messages that partner-related and object cash flow records are generated.




There is a new report available that shows the generated cash flow items.





7. Cash flow after Sales-Based Rent settlement

Sales-Based settlements creates new entries in the cash flow that are marked with status 'Special Entry To Be
Posted'.



8. Posting using RERAPP

The generated cash flow items are then available for posting with RERAPP.




Screenshots are taken from a system with Enhancement Package 4 but should also apply for all other releases equal or greater
Enhancement Package 2.
Use Periodic Posting Run for Posting
Specifies that the receivables from sales-based rent are posted using periodic posting, rather than using the
sales-based settlement.

Use

Indicator is set ('X')
When the sales-based settlement is posted, the system adds a plan record to the cash flow of the sales-
based rent condition in the amount of the sales-based rent. This plan record can then be posted during the
next periodic posting run.
The result is that you can run reports on the cash flow records of the sales-based rent condition.
If you want to reverse a posting that was created in this way, you have to reverse the periodic posting run for
this cash flow record. It is not possible to reverse the sales-based settlement unless the periodic posting run
is reversed first.

Indicator is not set (' ')
The system continues to post sales-based settlements directly from the settlement itself.
you can define the sales-based rent agreement by using 2 validity periods for the reporting and the sales
rule:
(a) Reporting Rule

Please change the contract as described and check whether you can
realize your requirement in this way.

The condition used for sales based settlement can be assigned any of of the pro-rata methods for calculation in case
of start or end dates for real estate object validity or contract validity is on any date other than start or end of the
month respectively.

No, there is no configuration required for the same. Its a standard functionality.

Following are the options provided for prorated condition calculation by SAP.

Contract or Rental Object Start and Contract or Rental Object End Pro Rata is set:
The calculation of the amount is always prorated for the start and end of the contract or rental object.
Never Pro Rata at Contract or RO Start/End is set:
The amount is always calculated for the entire period, regardless of whether or not the contract or rental object start
date is the start of the period or the contract or rental object end date is the end of the period.
Only Contract or Rental Object Start Pro Rata is set:
The calculation of the amount is always prorated for the start of the contract or rental object. For the posting at the
end of the contract or rental object, the full amount for the period is calculated.
Only Contract or Rental Object End Pro Rata is set:
The calculation of the amount is always prorated for the end of the contract or rental object. For the posting at the
start of the contract or rental object, the full amount for the period is calculated.
Never Pro Rata is set:
The amount is never determined pro rata (not even for less than full periods that that are not at the begining or end;
for example, condition adjustment at mid-month for conditions with a monthly frequency).
Please keep the frequency start date of the settlement period
as 01.08.2013 and sales rule as well as reporting rule validity
as 15.08.2013. You should get the desired results.



As far as pro rata calculation is concerned. You are using a sales grading agreement. Please consider reviewing /
implementing the sap note 1473877 for the same.

Summarization of Customer/Vendor line items in Contract

Let us assume that there is a Real Estate Contract with many conditions of same due date or different.When we post
this contract the system will generate as many line items of customer/vendor as there are conditions.Some of us
demands that there should be one line item for customer/vendor or technically we want to summarize the
documents.So, here is the configuration to achieve this ;

1. Create a Condition type say ZSS1 which will be used for summarizing all the conditions which you want to
summarize.

2. Create a flow type say ZSS1 and assign this flow type to all the flow types which we want to summarize in the
summarizing flow type field.

3. Assign reference flow type to the flow type ZSS1. Also assign the flow type ZSS1 to the condition type ZSS1.

4. Create a accounting symbol say ZSS1

5. Assign the accounting symbol ZSS1 to the flow type ZSS1 as well as to all the conditions which we want to
summarize i.e. ZSS2 and ZSS3.

6. Replace the accounting symbol with G/L which you want to use.

7. Now Activate the Document Summarization in company code in Summarize documents Section

8. Assign the Summarizing flow type i.e. ZSS1 to Control of Line Item Summarization with Control of Due dates in
Make Settings for Summarization Flow Type.You can use any control method for due dates.We are using method
"0001 Only summarize If Due Date the same"

By doing this configuration we will get the summarized form of accounting documents generated which will look like :

In my case there were two conditions of same due date i.e. 01.04.2013 of amount INR 100 each, which when posted;
the accounting document generated was of summarized form as shown in above screen shot.
