Annual Maintenance Contract (Proposal)

We take this opportunity to thank you for your co-operation extended to us during our visit to your
office. With reference to the discussions we had on the above subject and based on the details provided by
you and our understanding of your maintenance requirements, we are pleased to forward our proposal for
the subject Maintenance support activities.
The proposed maintenance agreement shall entail you of several benefits including the following

Priority Prompt response to all your complaints.
Maximum Uptime of your computers and printers, which we believe is crucial to your day-to-day
activities.
Less time would be wasted in co-ordination, seeking internal approvals, paperwork etc. thereby
allowing your concerned staff to focus on their core business activities.
For the sake of clarity our proposal is divided into following sections

Schedule of equipments covered under scope of contract
Scope of services and related cost implications

Apart from the proposed Maintenance contract, we are also in a position to offer you need based
Specialist Support Services. Based on your actual needs and on request, we can submit a separate
proposal for these services.

Scope of Activities

1. Inspections render breakdown maintenance and monthly preventive maintenance during normal
working hours to the equipment.

2. The Preventive maintenance will be done ONCE in a month of the equipment mentioned in
Maintenance Contract

3. Preventive maintenance includes.

Update all the machines with relevant windows and antivirus updates available on the net.
Locate and delete malicious spy ware.
Deep cleaning of Temp files, Temp internet files, cookies, startup items, recycle bin.
Fight viruses with alternative means if necessary.
Check event viewer for any errors.
Check backup system & network Functions.

4. Will make any number of service calls in a month with response time within 4 hours during
business hours, if the call is placed before 11.00am else by next working day .

5. Unlimited free telephone support related to I.T problems. If our service engineer is unable to repair
the system on-site within 2 hours, the equipment has to be returned to our service center for repair.


General Terms and Conditions

1. Cost for purchasing, replacing or repairing Computer hardware, network or Software is not covered
by the Service Contractor under the scope of the contract.

2. The cost involved for any purchase, replacement or services subcontracted by the Service
Contractor for repairs of the Computer hardware, network or Software will be borne by the
customer.

3. Data transfer if any will be limited to a maximum of two instances.

4. Customized Application Softwares are not covered under this contract

5. Spare parts and consumables shall be replaced (Subject to availability considering the age of the
equipments) on a chargeable basis as and when required after obtaining necessary approvals.

6. Payment to be made in two equal installments. (50% CDC and 6 Months PDC for balance 50%)

7. The rates are applicable to only for the machines installed in same location

8. New implementations are not covered in the scope of this contract but can be done on a
chargeable basis on request approval.

9. The rate mentioned is for a period of one year is worked out based on the assumption that all the
systems are working and there are no major pending issues.

10. Software support shall be limited to the licensed softwares only and we are not responsible for any
pirated software installed.

11. Service Contractor shall guide/assist in periodic-monthly data backup, the Service Contractor shall
endeavor to monitor with available standard tools that data is being backed up. However, The
Service Contractor shall not be held responsible for any data loss. Under any remote eventuality of
this happening, Service Contractor shall assist in retrieving the data loss with the available tools but
with no legal obligation to salvage or retrieve the data. The customer is advised, at all times to
maintain updated version of I.T standard complaint back up hardware/software tools

12. The Service Contractor is responsible to provide Customer consultancy to keep the network
updated so as to avoid any obseletion of the network.

13. If there is any increase in the number of equipment that needs to be maintained, there shall be a
revision to the current AMC cost. Details of equipment shall be filled in post inspection and signing
of this contract.

14. If in the middle of the contract period, if any of the partys is not satisfied due to some valid reason,
they can terminate the contract after giving one month prior notice in writing and the balance
charges, if applicable - will be refunded to the Customer by the Service Contractor at depending on
the reason provided by the customer.







The process to log a complaint: - call up our helpline number or designated mobile number and request
for a service-ticket, once the service-ticket is issued, the complaint shall be addressed by our service agent
over the phone, if this does not resolve the problem, then we shall remotely log in through an independent
secure session with your authorization, this shall enable you to monitor work in progress and after the work
is completed the session is closed. Once the session is complete it cannot be resumed without your
authorization. If neither of this resolves the problem, the engineer shall make an onsite visit.
