Explain the objectives and benefits of HRIS.
Answer)
HRIS which refers to human resource information systems is a combination of Information
technology and the human resource. HRIS allows an organization to manage and plan its
resources more cost effectively and efficiently. It makes an organization more efficient and
makes it easy for the employees to work. IT consolidates the employee data and also an update
is done as and when required. It makes it easy for the employees as well as the HR to carry on
processes. There are basically 2 types of implementing HRIS1. For the administrative processes- This is for the day to day activities like storing and
updating the employee data and database.
2. Strategic HRIS- This is basically for making decisions. It is used for retention and
recruitment purpose.
Objectives of HRIS
The various objectives of HRIS are1. To make available the required information when required without any delays and
errors.
In an HRIS application since all the information is systematically stored, the reason
behind it is to use it as and when required.
2. Planning and monitoring-
HRIS should be helpful in making future plans and forecast any future needs and
problems that might occur like attrition etc. IT should be able to find out the problems
being faced and help in decision making with the help of reports which can easily be
generated in an HRIS application.
3. To provide inputs to the strategic Decision makingAn HRIS should help in making decisions.
4. To have faster generation of responses to the queries of the employeesThe employees have different queries like their leave records and balance, PF
contribution, loan details etc. The objective behind having an HRIS is to help in quick
responding to the employees regarding their queries.
5. To have Security of the data- IT is very important to keep few information confidential.
This was difficult in case of manual systems. HRIS has made it easy to keep the data
secure and accessible only to the people authorized.
Benefits of HRIS-
HRIS as we have seen in the objectives is a necessity for organizations today. It makes
the functioning of the daily HR activities very easy and friendly. There are various
benefits that HRIS gives. These have been listed as follows-
1) Increase in the productivity and effectivenessHRIS helps in improving the productivity of the HR department. They increase
the speed of the working and with increased effectiveness. These can be
explained with the help of examples-
Management.
Many HRIS softwares have the laws and regulations and hence there are less
chances
Making errors in abiding by the laws and regulations setup by the court.
3) Time saving- Since automation makes the no of entries and processing faster,
the work is completed in a lesser amount of time. Also report generation is a
task of single click.
hence the need for travelling to different departments for various needs has
been reduced.
6) Reduces cost and paper- HRIS helps in reducing the cost and paper work which is
very tiring. It helps to concentrate much on the decision making process rather
than doing manual paper work.
10) Happy employees- Employees feel happier to work when they dont have to
enter the same information again and again in different forms and papers
because of the manual system. In an HRIS system, information needs to be
entered only once.
