Vendor Certificates Management The new approach

A web based system to handover vendor certificates to Saipem Group is in
place. Few simple steps and the document is uploaded on web and
submitted to concerned people in Saipem.

Scope of the new approach:

Reduce the circolating paper
Made immediately available certificate to end user
Semplify requirements to vendor
Made easy the accessibility to certificates
Give feedback to vendor on the approval status

Hereafter the instruction to upload certificates in web and submit them.

Vendor that has been awarded with a Saipem Group Purchase Order can
upload the required certificates directly on Saipem website
(http://www.saipem.com)
by clicking on the
dedicated section

At the first access (or if the credential have been lost) it has to
be proceded with the registration by clicking on the above
access screen on proceed with the registration.
Then you have to prooced with the registation as indicated
below:

Username: It must be long at least 5 characters and composed

by alphanumerical and/or (.)(-)(_) symbols.
Password: it must be long at least 8 characters and composed
by alphanumerical and/or (.)(-)(_) symbols.

Password confirmation: It must be equal to above Password
First name / Last Name: Free text
Vendor Code: The company sap code available on purchase
order (see first page under the Vendor VAT number)
Purchasing Order number: The purchasing order number
It has to be considered that one user is linked to just one
company but one company may have several user that manage
it.
At completion of the registration an e-mail will be received at
the e-mail address indicated that will allow the registration
completion (activation link and activation code).
Then username and password shall be used to access the
system and upload documents.

While accessed for the specific PO you have to upload the
document to be submitted following the instruction cointained
In the web page.

Upload the document to be submitted, save and add all the
documents (max 100 Mb each docs). While all docs are
uploaded press next

Press submit to complete the process. An automatic e-mail
will be received at your e-mail address and copied to the
Saipem assigned inspector.

Given credentials to access the system can be used to add
documents relevant same PO or to other Purchase Order (new
submission).

Vendor Certificates Management The new approach

In case submitted documents are not complete or not in
compliance with order requirements Saipem inspector in
charge of document review will notify you with comments.
Saipem inspector can allow vendor to submit furhter
documents on the specific order, when needed.

For further clarification it may needed, like the approval status

of the documentation, Vendor can contact the expediter in
charge of PO management that remain the focal point for the
whole PO (the person to whom shall be provided with progress
status and shipping documents). Expedirer allways contact you
just after the PO palcement.
