The recommended scenario for Collaboration is Business
to Business (B2C/B2B)
Virtual rooms are used to collaborate with trusted external
users which may include file sharing activities, discussions,
tasks etc.
Users are registered (named) users
Users are assigned to specific portal roles which allow them to
access their virtual rooms, publish content, and collaborate in
rooms

Web-based virtual workspaces for knowledge sharing and

External users should only be able to display users from their
own company and dedicated internal contacts, but all users
should be visible for internal users

Searching and Displaying User Data


There are several ways to search and display user data
within Collaboration
Search (people picker):
The People Finder function allows you to search for and identify
system users (users, user groups, or roles).
The Whos Who search function allows users to be found by a
search query and to be displayed in a results list with specific
information.

Display (people renderer):


The Collaboration Launch Pad displays your individual "buddy
list" containing single users and user groups
The Room Member List displays the members of a virtual room
The User Details iView displays information on one user at a time

User Management Engine (UME) Attributes (1)


UME attributes are used to determine if users belong to the same virtual

Configure the Minimal Display of User Data


The People Renderer Profile Minimal Display applies to external
non-trusted users (no specific action assigned)
Minimal Display is preconfigured as follows:

The people finder function is not active (search for users, groups
or roles is not available)

Then names of users, groups or roles in KMC iViews are hidden - a


dummy text is displayed instead

Customers can use the profile Minimal Display delivered by SAP


or configure these profiles to suit their specific requirements.

Applies to external trusted users, such as customers, suppliers,
partners and corresponds to the action ViewRestricted
Users with the action ViewRestricted will only be able to display
users from their virtual user groups
Outside of their virtual user groups the minimal display applies
Customers can use the People Renderer Profiles Minimal
Display and Restricted Display delivered by SAP or configure
these profiles to suit their specific requirements.

attributes are used.

A Collaboration Service is an application that can be launched
by a portal user to collaborate with a single person or a group.
Examples for Collaboration Services:

(CLP), in the Room Member List, on the user interface of the

Restrict Services for Portal Roles
You can restrict the access to these services by configuring
for which portal roles they should be visible (e.g. only internal
user roles):
In the corresponding command link attributes, specify the
portal role ID, use commas to separate multiple entries.

Recommended Use Cases For Collaboration and EFP


An information Portal with intranet/public web sites and
anonymous users is not valid for Collaboration. In a pure
information portal scenario with anonymous users collaboration
rooms and services are not used.
For a B2B Billing scenario, or any scenario with self-registered
and registerd users, Collaboration functions (rooms, services)
can be used in an EFP. However, it is not recommanded.
Collaboration does not offer light content. All Collaboration
iViews (like room directory or room administration) are
considered heavy content.

Knowledge Management and Collaboration (1/2)


The type of external-facing portal implemented partly relies on
the required knowledge management (KM) capabilities.
If full knowledge management functionality is required, it is
advised to use the standard framework page for the externalfacing portal implementation.
Within the light framework page standard KM-iViews can be
used and knowledge management is supported but in a restricted
way (e.g. no indexing by external search engines).

Knowledge Management Recommendations


When implementing KM for an external-facing portal it is
recommended to:
Use a separate repository for your external content with optimized
settings (e.g. deactivate all unnecessary services)
Make the entry point or home page as light as possible
Use lightweight layout sets and renderer settings (e.g. use only
required commands, SimpleResource- and
SimpleCollectionRenderer)
Use the Knowledge Management Docs iView to display KM content
Avoid using deep folder hierarchies in the Knowledge Management
Navigation iView as it does not support the navigation by browser
back-forward button
Use the named anonymous user for external, anonymous access but
consider all risks and side effects (SAP Note #837898)
Consider all recommendations of the KM Performance Tuning
Guide,
for example deactivate all non-required services for the relevant
repository. The guide is located in:

Question:
Should I use the virtual rooms provided by SAP
NetWeaver or cFolders provided by SAP PLM?
Answer:
It depends on your target group. For heterogenous
project groups we recommend to go for the horizontal
approach utilizing the virtual rooms. If however, your
target group consists of R&D engineers needing CAD
integration with a strong focus on DMS, material
master data, Bill of Material (BOM) the vertical solution
might be preferable.
