Air Freight Export.

Air freight is the fastest transportation method available. It is therefore important
that clearances upon departure and arrival flow smoothly. Here you will find an
overview of the required documents:
Shipping/Dispatch Order
This document contains information regarding the shipper, recipient, delivery terms, number
of packages, weight and possibly shipping instructions.
Invoice
Commercial or pro-forma invoice market value for all goods included in the invoice, even in
situations where the goods are shipped free of charge. A pro-forma invoice must show the
actual market value of the goods.
Intra-EU Community Shipments
For deliveries within the European Union, it is sufficient to have an invoice and shipping order
or packing list with the following information: shipper, recipient, contents, delivery terms,
number of packages and weight.

Luftfracht ist der schnellste Transportweg. Da ist es wichtig, dass auch die Abfertigung bei Abgang und Ankunft reibungslos luft. Hier finden Sie einen berblick
ber die Dokumente, die bentigt werden:
Speditionsauftrag/Versandverfgung
Dieser enthlt Informationen zu Absender, Empfnger, Lieferkonditionen, Packstckanzahl,
Gewicht und eventuell Versandvorschrift.
Rechnung
Handels- oder Proforma-Rechnung Handelswert fr alle angefhrten Gter, auch bei Waren,
die kostenlos geliefert werden. Eine Proforma-Rechnung hat den Wert aufweisen, welcher
dem tatschlichen Handelswert entspricht.
Innergemeinschaftliche Lieferungen (EU)
Fr innergemeinschaftliche Lieferungen (innerhalb der EU) reicht eine Rechnung, Lieferschein
oder Packliste mit folgenden Daten: Absender, Empfnger, Inhalt, Lieferkondition, Anzahl der
Packstcke, Gewicht aus

Shipments outside of the EU Community

Export declaration (EX1)
Single administrative document (EU) for the customs clearance of goods pursuant to the
applicable legal regulations. SENATOR will gladly prepare this document for its clients.
Letter of Credit-Copy (L/C)
In the event you are selling by Letter of Credit, so you can prepare your transport documents
in compliance with the terms of a letter of credit.
Export Permit/License
If required. (Feel free to ask us whether you need one)
Wooden Packing Declaration
Many countries require wooden packing (pallets, crates, boxes) for imports, which must
meet the ISPM-Nr.15-standard for wooden packing. This standard is mandatory and must be
verifiable. Your local SENATOR-office branch will gladly inform you regarding all applicable
regulations.
Non-Wooden Packing Declaration
In the event your goods are not being transported in wooden packing, it is sufficient to state
this in your Commercial or Pro-forma invoice.
Other documents
Give us a call, and we will inform you whether any other documents are required, such as when
dealing with hazardous goods or other types of goods that require special documentation.

Airport Customs (for shipping outside of the European Union EU)
Every air freight shipment must meet the customs regulations for the country of departure
and arrival. As a result, air freight shipments may only be shipped to and from airports,
which facilitate the necessary customs clearances (so-called Customs Airports). We will
gladly advise you whether the airport closest to your distributor or shipper is a Customs
Airport.
Loading limitations
Based on the type of airplane involved and the destination, there are limits with regard to
dimensions and net weight of the individual packages. Occasionally, the determination as to
whether a package is transportable in a particular type of airplane can come down to mere
centimeters in dimension. Usually, the height of the package will be the deciding factor. However, the width and length of a package can sometimes make transportation impracticable
on a particular airplane type.

Welche Dokumente werden bentigt?
Im Allgemeinen gengen eine Handelsrechnung (eventuell auch B/L-oder Awb-Kopie) und
eine Packliste als Begleitpapiere einer Luftfrachtsendung. Um eine schnelle Zollabfertigung
gewhrleisten zu knnen, sollten die erforderlichen Zolldokumente die Ware auch schon
begleiten. Vor dem Import sollte sorgfltig geprft werden, welche Dokumente zolltechnisch
notwendig sind, um die Ware berhaupt importieren zu drfen, bzw. um gegebenenfalls vergnstigte Zollstze in Anspruch nehmen zu knnen. ber die jeweils gltigen Bestimmungen
kann Ihnen der Senator-Zollspezialist anhand von Lnderlisten und Zolltarifunterlagen jederzeit Auskunft erteilen.
Welche Transport- und Ladebestimmungen gibt es?
Customs Airports (fr die Sendungen auerhalb der EU)
Jede Luftrachtsendung hat den Zollbestimmungen des Abgangs und Ankunftslandes gerecht zu werden. Daher drfen Luftfrachtsendungen nur von (bzw. nach) Flughfen geschickt
werden, die die notwendige Zollabfertigung ermglichen, den sogenannten Customs Airports. Gerne geben wir Ihnen Auskunft, ob der nchst gelegene Flughafen Ihres Lieferanten
oder Absenders ein Customs Airport ist.
Ladbarkeit
Es gibt je nach Flugzeugtyp und Destination Limits in Bezug auf Dimensionen und Bruttogewicht des einzelnen Packstckes. Bei greren Packstcken entscheiden gelegentlich Zentimeter darber, ob die Ware mit dem Flugzeug eines bestimmten Typs transportierbar ist.
Entscheidend ist zwar meist die Hhe, doch auch die Breite und Lnge knnen den Transport
mit einem bestimmten Flugzeugtyp unddurchfhrbar machen.

Air Freight Tariffs

Air freight rates are always offered in terms of kg/6m3. You can also refer to it by volume as
1:6 or 1m3 = 167kg. That means the rate will be determined either by the weight or the space
required for the transport of your shipment.
The calculation as to whether you are paying by weight or by volume is based on the
following formula:

Where is it possible to ship goods Freight Collect?

The I.A.T.A. (International Air Transport Association) sets forth the countries in which airlines
may accept goods on a Freight Collect basis. Political and economic conditions are changing
on a constant basis and therefore the guidelines are subject to change at any time. More
specific information can be obtained at your local Senator office.

Tarife fr Luftfracht
Luftfrachtraten werden immer per kg/6 dm angeboten. Man kann es auch Volumsverhltnis
1:6 oder 1 m = 167 kg nennen. Das heit, es wird entweder das Gewicht oder der bentigte

Sea freight is a cost-efficient form of transportation. Even though this method
of transportation is slower than air freight, large quantities of goods shipped via
sea freight arrive at their destination in good condition and in a cost-effective
manner. Which documents are necessary to ensure a smooth clearance and dispatch of goods?
a) Export Documents
Shipping/Dispatch Order
Should include information concerning the recipient, delivery conditions, shipment informa
tion (including content, number of packages, weight, measurements, information re
garding the goods) and, if applicable, shipping deadlines and other important information
concerning transportation provisions, such as stackability of pallets, etc.
Invoice
Commercial or Pro-forma invoice which states the value of all the invoiced goods including
those shipped free of charge.

Export Declaration/Single Administrative Document (EU)

Letter of Credit
Document which sets forth the customs relevant information for a shipment leaving the
customs area.

Seefracht zeichnet sich durch die Kosteneffizienz des Transportes aus. Der
Transportweg nimmt mehr Zeit in Anspruch als Luftfracht, aber gerade groe
Mengen kommen per See gut und kostenberschaubar ans Ziel. Welche Dokumente werden gebraucht, um reibungslos abfertigen zu knnen?

schiffungstermin, sonstige wichtige Informationen bezglich Transportvorschriften, wie
Stapelbarkeit der Palletten etc
Rechnung
Handels- oder Proforma-Rechnung mit Wert aller angefhrten Gter, auch bei Waren,
die kostenlos geliefert werden.




Ausfuhrerklrung/Einheitspapier (EU)
Dokument in dem die zollrelevanten Daten einer Sendung aufgefhrt werden, die aus
dem Zollgebiet ausgefhrt wird.

Conditionally required documents

Letter of Credit
In the event that you are selling goods on the basis of a Letter of Credit, we would like to
obtain a copy of the Letter of Credit as soon as possible, to ascertain that all the terms and
conditions in the Letter of Credit can be fulfilled and that you can obtain the corresponding
freight documentation from us immediately.
Export permit/licence
This is not required for every export and depends on the type of goods and the country of
destination (if you have any questions, please contact us at any time).
Wooden Packaging Declaration
Many countries require wooden packing (pallets, crates and boxes) to meet the ISPM-Nr.-15
standard for wood packaging. This regulation is mandatory and must be verifiable.

with a preferential qualification, a preferential origin certificate should be included as it

Import of goods that require import authorization

The import of certain goods (e.g. clothing) may be subject to partially strictly regulated
provisions. In many cases an import authorization is required. The documents required
to obtain such an import authorization are governed by the respective country of origin
or trade. As a general rule, an application for an import authorization may be applied
for prior to the arrival of the shipment, provided that all essential documents from your
suppliers are available in a timely manner.

Types of Bills of Lading

The transportation document (Bill of Lading or B/L Bill of Lading) is used as:

Confirmation that the shipment was assumed by the carrier

Confirmation regarding the sea freight contract
Negotiable instrument (transfer document)

Bill of Lading terms and conditions

The terms and conditions of the carrier issuing the Bill of Lading are listed on the front side of
the document. The reverse side of the document contains information regarding the shipper,
consignee, a description of goods, etc., in other words, all the information concerning the
shipment to be transported. Typically, banks will require a shipped on board Bill of Lading
in the letter of credit.

by shipping agents.
Endorser
Is someone who endorses an endorsable document and thus assigns his rights under a commercial instrument over to another.
Endorsement
Endorsements of Bills of Lading, similar to those in other types of bill of exchange transactions, are required to transfer rights of a Bill of Lading to third parties and/or to assert a delivery claim against the carrier. The recipient must render an additional endorsement in order

In LCL-shipments (also known as a less than container load), the combined volume and/
or weight of all the individual deliveries is too low to fill up an entire container. As a result, in
practice, multiple LCL-deliveries (which may be for different shippers with the same port of
destination) will be combined into one container (=collective container) at the port of shipment.

FCL (full container load)

Exclusive containers will be loaded when:

The volume and weight of the delivery is large enough to make transportation

Break Bulk
The term Break Bulk refers to the transport of shipments which, due to their dimensions,
weight or other characteristics are not loadable into a container or for which the transport in
a container would not be deemed economical.
RO/RO transportation (Roll on/Roll off)
Ro/Ro offers the possibility of driving wares rolling on their own axle (e.g: trucks, busses, cars
and construction equipment) directly into the ships. Once on the ship, the vehicles can be
parked and secured similarly to the procedures on a ferry.

Bulk Cargo
Bulk cargo loads (e.g: grain) are primarily delivered to and/or transported from the port on
freight cars due to the large mass of these types of loads. The loading at the port will take
place directly from the freight car to the ship and vice-versa.
Hazardous goods in sea transportation
All hazardous goods must be properly declared and packaged pursuant to IMDG and ADR
regulations. The original IMO-Declaration for Dangerous Goods is prepared by the shipper.
A copy of the IMO-Declaration should be sent to the freight carrier before the start of the
transport. Important: The exact technical name of the goods, type of hazard class, and the
UN-Number must be included in the correspondence. The loading of hazardous goods is
more expensive than harmless deliveries, and therefore an initial inquiry should disclose the
fact that the shipment is an IMO.

Bulk-Ladungen
Schttgutladungen (z.B. Getreide) werden in erster Linie im Waggon im Hafen angeliefert
bzw. vom Hafen abtransportiert, da diese Ladungen meist aus greren Mengen bestehen.
Die Umladung im Hafen erfolgt direkt vom Waggon in das Schiff bzw. umgekehrt.
Gefahrgut im Seeverkehr
Alle Gefahrgter mssen als solche deklariert werden und entsprechend der IMDG- und ADRRegulations verpackt werden. Die IMO-Declaration for Dangerous Goods hat der Versender
im Original auszustellen. Eine Kopie der IMO-Declaration sollte vor Transportbeginn an den
Transportunternehmer gesendet werden. Wichtig: der exakte technische Namen der Ware,
Gefahrgutklasse und UN-Nummer sollten in der Korrespondenz enthalten sein. Die Verladung von Gefahrgtern ist teurer als die harmloser Sendungen, daher sollte schon bei Anfrage darauf hingewiesen werden, dass es sich um IMO handelt.

Incoterms-Regulations for International Trading of Goods

The Incoterms were outlined and established by the International Chamber of Commerce ICC
in Paris. They assist buyers and sellers in determining and defining the risks and costs, as well
as specific obligations in the purchase contract. The Incoterms are regularly revised, as the
conditions of trade and transport are always changing due to political or economic factors.
The most recent version of the Incoterms are the Incoterms 2010. It is very important that
buyers and sellers make it clear in the purchase agreement as to which version of the Incoterms is being used, because prior versions do not expire, and any past or current version
can still be used as a basis of the contract.

Die Incoterms wurden von der Internationalen Handelskammer ICC in Paris ausgearbeitet
und festgelegt. Sie dienen Verkufer und Kufer zur Festlegung von Gefahrenbergang und
Kostenbergang sowie bestimmter Pflichten in deren Kaufvertrag. Die Incoterms werden regelmig berarbeitet, sich passen sich den permanent vernderlichen Handels und Transportbedingungen an, die durch politische oder wirtschaftliche Rahmenbedingungen gesteckt
werden.
Die neuste Version der Incoterms sind die Incoterms 2010. Es ist wichtig, dass sich Verkufer
und Kufer in ihrem Kaufvertrag klar auf eine Version der Incoterms beziehen, da die vorherigen Fassungen nicht an Gltigkeit verlieren und nach wie vor in einem Vertag genutzt werden
knnen.
