Chapter 1: Concepts

Introduction
Quantity Takeoff is a program used to enhance Eagle Points civil engineering,
surveying, and LANDCADD products. This software package is fully integrated with the
civil applications line, yet modular in style. This allows you to be able to choose the level of
detail you wish to explore in the quantity takeoff estimating area. This feature is
compatible with all of Eagle Points products.
There are several ways to assign item IDs to objects so that quantity takeoffs can be
calculated. You can assign item IDs linearly, by object, block/cell, area, volume, and layer/
level. You can select objects such as lines, arcs, polylines, complex chains, line strings,
blocks/cells, and Nodes to which to assign an item ID.
Once an object has an item ID assigned to it, you can calculate the quantities of the items.
You can calculate quantities for all items, selected items, or items with a certain block/cell
name, layer/level name/level number, or item ID. After the calculation is executed, the
results are displayed in the Bill of Materials dialog box (Figure 4-3 on page 45). Additional
items can be added to the bill of materials by using the New command or by importing an
existing bill of materials file. In addition to importing a bill of materials file, you can also
export a bill of materials file.

The Database Manager compiles and displays the items available for a quantity takeoff.
The Database Manager stores means data or provides access to user-defined data.
Options on the Database Manager allow you to further customize this database to fit
specific needs by adding, removing, or modifying items.

" The Manage Database icon, shown above, is present on various dialog boxes throughout
Quantity Takeoff. When the documentation refers to the Manage Database icon, the
above icon is a graphic representation of what it looks like.

" Assemblies are only available if you have purchased a Means database that contains
them.

This icon allows you to remove an item from the takeoff database.

Filter

This allows you to filter the list that is displayed in the database. The available
filter options are C.S.I. Division, Item ID, Description, Unit of Measure, Unit Cost
1, and Unit Cost 2.

Assemblies

Click on Assemblies to see the subassembly structure if an assembly exists for


that item number. This is only available if you have purchased a Means
Database.

The New Database Entry command allows you to enter additional items in the database
that can be used for takeoffs. You can enter an unlimited number of items in the Database
Manager. These new entries are automatically sorted and included in the Database
Manager (Figure 2-2 on page 4).

C.S.I. Division

This is the Construction Specifications Institute division number for the categories of
items. For example, 01 is General Requirements.

Item ID

This is the ID that is assigned to the item. Enter 8 (eight) alphanumeric characters for the
item ID. These eight characters are appended on to the two-digit C.S.I. division code.

Description

Enter the extended description for the item ID.

Unit of Measure

Enter the units that are used for each item.

Unit Cost 1

Enter the first unit cost for the item.

Unit Cost 2

Enter the second unit cost for the item.

Alternate ID

This edit field contains the SKU number.

Phase Code

This edit field is provided for Timberline clients.

Item Code

This edit field is provided for Timberline clients.

QuickSteps
To create a new entry in the Database Manager, complete the following steps:
1. Select Database ! Manage.
This displays the Manage Database dialog box (Figure 2-2 on page 4).
2. Click on the New Database Entry icon.
This displays the New Database Entry dialog box (Figure 2-3 on page 5).
3. Select the C.S.I. Division from the drop list.
4. Enter the item ID.
5. Enter the description for the item ID.
6. Enter the unit of measure for the item ID.
7. Enter the unit cost 1.
8. Enter the unit cost 2.
9. Click on Apply to add the entry and keep the dialog box open, or click on OK to
add the entry and close the dialog box.

This field displays the Item ID number for the item you are modifying.

Description

This edit field contains the name of the item to be modified.

This edit field is the second cost and could be the retail or installed cost.

QuickSteps
To modify database entries, complete the following steps:
1. Select Database ! Manage.
This displays the Manage Database dialog box (Figure 2-2 on page 4).
2. Click on the Modify Database Entry icon.
This displays the Modify Database Entry dialog box (Figure 2-4 above).
3. Enter the name of the item to be modified in the Description edit field.
4. Enter the Unit of Measure.
5. Enter the Unit Cost 1.

Database Filters
QUANTITY TAKEOFF # DATABASE # M ANAG E # FILTER
The Database Filters command allows you to reduce the number of entries displayed in
the database. You can filter based on C.S.I. division/item ID, description, unit of measure,
unit cost 1, or unit cost 2. The database is filtered using all of the toggles that are checked
on.

" As a general rule, less memory is needed to filter the database if more information is used.
Also, the more information you provide in the filter, the faster the database is filtered. For
example, suppose your database has 50,000 records. If you perform a filter for all records
that have the item IDs beginning with 02 (Sitework), your filter could take 200 units of time
and would yield 5000 records. If you do the same filter but add descriptions that start with
b, that filter would take 5 units of time and yield 300 records. Furthermore, if you perform
a third filter for all records starting with 0201 and descriptions starting with b, that filter
would take 2 units of time and yield 15 records.
For your convenience, all records that have sub assemblies have a description that starts
with S_ (Capital S and a space). Incidentally, in the example above, a filter for all records

with an item number starting with 02 and a description starting with S_ would take 4 units
of time and yield 30 records, all of which contain sub assemblies.

C.S.I. Division

Toggle this option on if you want to filter the database by the C.S.I. division/item ID. The
drop list contains all of the C.S.I. divisions. You can also enter a part of the item ID to filter
the database.

Description

Toggle this option on if you want to filter the database by the description. Enter a full or
partial description that you want to filter for in the edit field. An asterisk can be used as a
wild card character.

Unit of Measure

Toggle this option on if you want to filter the database by the unit of measure. Enter the
unit of measure that you want to filter for in the edit field.

Unit Cost 1

Toggle this on if you want to filter the database by the unit cost 1. Select Single, Less
Than, Greater Than, or Range from the drop list and enter a value for the unit cost in the
edit field.

Single: Enter the exact unit cost that you want to filter by.

Less Than: Enter the value for the unit cost that you want all database items to
be displayed that are below that value.

Greater Than: Enter the value for the unit cost that you want all database items
to be displayed that are above that value.

Range: Enter the range of unit costs that you want all database items to be
displayed that are between these values.

QuickSteps
To filter the database entries, complete the following steps:
1. Select Database ! Manage.
This displays the Manage Database dialog box (Figure 2-2 on page 4).
2. Click on Filters.
This displays the Database Filters dialog box (Figure 2-5 on page 9).
3. Toggle on C.S.I. Division if you want to filter based on the C.S.I. division. Enter
the item ID that you want the filter based on.
4. Toggle on Description if you want to filter based on the description. Enter the
full or partial description that you want the filter based on.
5. Toggle on Unit of Measure if you want the filter based on the unit of measure.
Enter the unit of measure that you want the filter based on.
6. Toggle on Unit Cost 1 if you want to filter based on unit cost 1. Select the option
to filter by either Single, Less Than, Greater Than, or Range. Enter the value or
values for the unit cost.
7. Toggle on Unit Cost 2 if you want to filter based on unit cost 2. Select the option
to filter by either Single, Less Than, Greater Than, or Range. Enter the value or
values for the unit cost.
8. Click on OK to accept the filters.
This filters the database and displays item IDs according to the toggles that are on.

Sub Assemblies provide you with the ability to build assemblies using existing items found
in the database. These items can have varying quantities, for example:

Description

This displays an extended description for the sub assembly item ID.

This column displays the quantity per unit of measure for the sub assembly item.

Unit Cost 1

This column displays the first unit cost for the sub assembly item that is listed.

Unit Cost 2

This column displays the second unit cost for the sub assembly item that is listed.

QuickSteps
To view the sub assemblies for an item, complete the following steps:
1. Select Database ! Manage.
This displays the Manage Database dialog box (Figure 2-2 on page 4).
2. Highlight the item that you want to see the sub assemblies for and click on
Assemblies.
This displays the Assembly Manager dialog box (above).
3. Click on Close to return to the Manage Database dialog box.

After specifying the file name to import, you must assign which columns of data belong to
the specified QTO fields by using the drop lists. The drop lists are filled in with the names
of the columns specified in the header of the file you are importing. Minimally, you must
import a CSI division, Item ID, Description, Unit of Measure, Unit Cost 1, and Unit Cost 2.
You may also optionally import an Alternate ID, Phase Code, or Item Code.
Refer to the QTO Import File Format on page 20.
If any problems exist in the file being imported, the Invalid Import Item dialog box (Figure

Chapter 2: Database

This command allows you to append your current QTO database with additional records
by importing an ASCII file that contains your own specific Item IDs and costs. The file to
import can be either comma delimited (.CSV) or tab delimited.

Specify the path and name of the file you wish to import. You may enter the file directly in
the edit field or use the Browse button to locate the file to import through the Windows
Open dialog box. After specifying the filename, the drop lists in the Import Links frame are

File Type

Specify the file type as Comma Separated File (*.CSV) or as Tab Delimited File (*.TXT).

C.S.I. Division

This is the Construction Specifications Institute division number for the categories of
items. The CSI Division must be a 2-digit number between 01 and 16. If a CSI division is
not important to your database, specify the CSI Division as 01. The C.S.I. Division is a
required field.

Item ID

This is the ID that is assigned to the item. The Item ID must be 8 characters long. These
eight characters are appended on to the two-digit C.S.I. division code. The Item ID is a
required field.

Description

This is the extended description for the item ID. The Description must be between 1 and
70 characters long. The Description is a required field.

Unit of Measure

This specifies the units that are used for each item. The Unit of Measure must be between
1 and 4 characters long. The Unit of Measure is a required field.

Unit Cost 1

Enter the first Unit Cost for the item. The unit cost must be greater than 0.00 and less than
1000000.00. While both unit costs are required, you can specify the same unit cost for
both Unit Cost 1 and Unit Cost 2.

Unit Cost 2

Enter the second Unit Cost for the item. The unit cost must be greater than 0.00 and less
than 1000000.00. While both unit costs are required, you can specify the same unit cost
for both Unit Cost 1 and Unit Cost 2.

Alternate ID

This is the alphanumeric Alternate ID. The Alternate ID cannot be greater than 12
characters long. The Alternate ID is optional to import.

Phase Code

This is the alphanumeric Phase Code. The Phase Code cannot be greater than 9
characters long. The Phase Code is optional to import.

Item Code

This is the alphanumeric Item Code. The Item Code cannot be greater than 4 characters
long. The Item Code is optional to import.

QTO Import File Format


This is an example of a comma delimited (.CSV) file to import. The first line of the file must
be the headers for each column of data. The rows following the header must contain the
data for each record.

The format of the Tab Delimited file is identical other than tabs are used to separate the

Invalid Import Item


This dialog box displays if the data in the columns being imported are invalid. Each
column that is being imported has restrictions for valid data. This command allows you to
correct or ignore the data being imported. You also have the option to cancel the import so
you can correct the problems.

To ignore an invalid record, click on the Ignore button. The import of the files continues
until another problem is encountered. If no other problems are encountered, the Import
Results dialog box displays. The number of records successfully imported are displayed,
as well as the number of records with errors. You have the option to Undo the import or
click on Done to accept the import.
To ignore all invalid records, click on the Ignore All button. The import of the file continues
until all records are imported. Once all valid records are imported, the Import Results
dialog box displays. The number of records successfully imported are displayed, as well
as the number of records with errors. You have the option to Undo the import or click on

To cancel the import command, click on the Cancel All button. The import routine is
canceled and nothing is imported into the database.

A. Object: If you have selected the Object option, click on the PIC icon to
graphically select the objects that you want to remove the item ID from.
When you are done selecting objects, press Enter in AutoCAD/BricsCad or
the reset mouse button in MicroStation.

the Calculate pull-down menu.

" As soon as the Calculate Quantities command is executed again, the previous bill of

listed in the estimate.

Secondary Sort

Select the data field that you wish to have displayed.

Ascending

This allows you to have the output printed alphabetically from A to Z.

Descending

This allows you to have the output printed alphabetically from Z to A.

Word Wrap
Columns

This allows you to have a longer description that would be placed in a paragraph
form.

The following are tips when printing QTO Bills of Materials data:

" We do not currently have the ability to detect the width of each character in a specific font
type, so if you wish to see everything lined up perfectly, choose a monotype font like
Courier.

" When specifying the column widths for each data field, you must consider one more space
than you want the text to take up, as the extra space is needed for separating the columns.
The smallest column width that you can currently enter is 2 one space for a character
and one space for a space.

" If you are not a fan of buttons, right-clicking on the list control brings up a pop-up menu
from which you can choose different commands. Additionally, if you highlight an item or
multiple items on the list control and you want to move them up/down in the list, simply hit
the up or down arrows on the keyboard, respectively.

QuickSteps
To print a bill of materials report, complete the following steps:
1. Select Calculate ! Bill of Materials.
This displays the Bill of Materials dialog box (Figure 4-3 on page 45).

3. Highlight Export to an Excel spreadsheet.

Assemblies
Each item in your QTO database may contain
assemblies of other items. For example, an item ID
might be assigned to an entire fence line, and within
that one item ID can be other item IDs that are used
for the fence poles and fence screening. When a bill of
materials is generated, the individual fence posts and
screen material is included in the bill of materials.

Bill of Materials (BOM)


This is a list of the number and cost of the tagged
items selected within the CAD graphic. You may
combine bills of materials from other CAD graphics
and projects using the Import command found on the
Bill of Materials dialog box within QTO.

C.S.I. Division
This is the Construction Specifications Institute
division number for the categories of items. For
example, 01 is General Requirements.

Item ID
This refers to the 10-digit alphanumeric ID that is
assigned to an object(s) that corresponds to an entry
in your QTO database. The first two digits are the
C.S.I. Division and the last eight are the item ID. An
item ID can be assigned by different methods so that
when a bill of materials is calculated, the quantity and
units are calculated from the objects in CAD.

Untagged Items
