Guidance for Tutor Reports

The following system for writing Tutor Reports and profiling has been put in place
to try to reduce the time pressure on both Tutors and Year Leaders during the
reporting period.

Tutor Reports can now be written at the same time as subject reports

Tutors do not need to comment on academic achievement, it is therefore not


necessary to read subject reports before writing Tutor Reports - this relieves the
pressure of trying to read 32 reports, profile 32 students and then write 32
reports in a little over a week

The pro forma attached can be used by tutors in a long registration time to
gather information from students for their Tutor Reports - it is a useful exercise
to create a mind-map with the group about activities they might have been
involved in over the year as a prompt for those who cant think of anything

Tutor reports should comment on:


o How the student behaves in the tutor group situation and how they
interact with other members of the group
o Anything the student is proud of either in school or outside (if one of
the things they are proud of is an academic achievement, please feel
free to comment on it if you wish it has come from the student)
o Their participation in form/school events charity monitor, Form
Leader, supporting others in charity fund raising etc
o Their contribution to form/school life choir, drama, Student Council,
peer mentoring etc

Guidance for Preparation for Profiling


The whole of the year group remain with their tutor for most of lesson 1 on the
Monday that the profiling process begins. During this time:

Distribute reports

Distribute Student Academic Profiling sheet (enough copies will be ready


for you)

Distribute Citizenship Report (enough copies will be ready for you)

Students should work quietly by themselves to read their report


thoroughly looking for errors in names, spelling, missing grade etc.

If errors are found the nature of the mistake should be written on a post-it
note which should itself be stuck to the side or top of the page so that
sticks out and is clearly visible to the person who will correct them.

Academic Profile Sheet: Students should complete

They should NOT complete the target section, targets can
be written on rough paper at this stage and only added during

the individual profiling session when they have been discussed


and agreed with the tutor.

Citizenship Report: Students must:


o Write their name on the top
o Read the report through
o Tick the appropriate box at the bottom
o Sign the report
When the full report has been read, the Student Academic Profile sheet
completed and the Citizenship report ticked and signed, students should
put the report in the following order:
1 Cover
2 Tutor Report
3 Student Academic Profile
4 Citizenship Report
5 Explanation of report followed by academic reports

A useful exercise is to then ask students to swap reports with the person
next to them to check that it is in the correct order and everything that
should have been completed or signed has been. When you are
satisfied that all is complete, gather reports back in ready for
individual profiling.

Individual appointments should be made for each student during a period


agreed with your YL (who will let Pauline know for cover), these should be
published to the girls and a copy of the schedule put on the Tutor Group
Board in the tutor room.

During the individual profiling sessions the students report is discussed


and targets for improvement agreed. Students should then be given
an opportunity to write their targets into their planner and add
them to the Profiling and Target Setting Record.

As soon as the profiling is complete, (or when each batch is complete if


you are doing it over several days) pass the whole set of reports back to
Alison to start corrections. It is normally best to keep all the reports
together as one set rather than sending a few back to the office for
correction!

When all profiling is complete, check who needs duplicate reports and
copy them

Finally, during an appropriate registration, students should be given an


envelope and reports letter, they should write their name on the envelope
and put the letter and report inside.
