business letter, be polite, specific, and neat. Keep a copy of every
business letter.

A business letter is usually a letter from one company to another, or


between such organizations and their customers, clients and other
external parties. The overall style of letter depends on the relationship
between the parties concerned. Business letters can have many types of

contents, for example to request direct information or action from another


party, to order supplies from a supplier, to point out a mistake by the
letter's recipient, to reply directly to a request, to apologize for a wrong, or
to convey goodwill. A business letter is sometimes useful because it
produces a permanent written record, and may be taken more seriously
by the recipient than other forms of communication.

PURPOSE OF MANUALS
User manuals are written to explain how a product is used. Software and
games typically come with user manuals. A user manual is a formal
writing piece with a specific structure. User manuals are sometimes
written by technical writers or the designers themselves. You could write a
user manual for your product, but before starting you will need to know
how to write a user manual.
REPORTS

A report or account is any informational work (usually of writing, speech,


television, or film) made with the specific intention of relaying information
or recounting certain events in a widely presentable form.[1]
Written reports are documents which present focused, salient content to a
specific audience. Reports are often used to display the result of an
experiment, investigation, or inquiry. The audience may be public or
private, an individual or the public in general. Reports are used in
government, business, education, science, and other fields.
Reports use features such as graphics, images, voice, or specialized
vocabulary in order to persuade that specific audience to undertake an
action. One of the most common formats for presenting reports is IMRAD:
Introduction, Methods, Results and Discussion. This structure is standard
for the genre because it mirrors the traditional publication of scientific
research and summons the ethos and credibility of that discipline. Reports
are not required to follow this pattern, and may use alternative patterns
like the problem-solution format.

PURPOSE OF REPORTS
Reports communicate information which has been compiled as a result of
research and analysis of data and of issues. Reports can cover a wide
range of topics, but usually focus on transmitting information with a clear
purpose, to a specific audience. Good reports are documents that are
accurate, objective and complete. They should also be well-written, clearly
structured and expressed in a way that holds the reader's attention and
meets their expectations. The true value of the research may be assessed
through a report since the written report may be the "only tangible
product of hundreds of hours of work. Rightly or wrongly, the quality and
worth of that work are judged by the quality of the written report - its
clarity, organization and content" (Blake & Bly, 1993: 119). Often reports
are structured in a way that reflects the information finding process and
the writing up of the findings: that is, summary of the contents,
introduction or background, methods, results, discussion, conclusion
and/or recommendations. The inclusion of recommendations is one reason
why reports are a common form of writing in industry, as the informed
recommendations are useful for decision making.

BROCHURES
A brochure is a flyer, pamphlet or leaflet that is used to pass information
about something. Brochures are advertising pieces mainly used to
introduce a company or organization and inform about products and/or
services to a target audience. Brochures are distributed by radio, handed
personally or placed in brochure racks. They may be considered as grey
literature. They are usually present near tourist attractions.

PURPOSE OF Brochure
Certainly, a brochure can attract attention and give detailed information.
But oftentimes business owners have a hard time creating a brochure that
accomplishes both. A detailed product information brochure will not
encourage a prospect to call. Likewise, a lightweight sales brochure will
not satisfy a call for more information. Thus, when creating a brochure it is
important to define your objective clearly and use the brochure design to
accomplish your goal. Remember that if you are sending the wrong
brochure, you are just wasting your money and you are not enticing your
customer to make some action.
Professional and effective advertising means creating marketing materials
that achieve the highest possible return of investment. As much as the

illustrations and the color of the brochure can entice a prospect to read
through the whole brochure, the content should be given much attention
as it will be the one that will actually market your business to the readers.
The content of your brochure will change depending on the objectives you
set. But just the same, the content should be honest, clear and
compelling.
