n this chapter, you are going to learn about something really crucial
that most people dont seem to talk about: time management and
productivity.

TIME - Your Greatest Money Making Asset


The greatest money-making asset, apart from the right knowledge, is time. When
most people think about time, they think in terms of absolute measurements. The
second, the minute, the hour, the day. Looked at from this perspective, we can
all agree that time is a constant. We are all given the same sixty minutes in every
hour; the same twenty-four hours in every day. What we do with our time, however, is what makes the difference between a life of health, wealth, and lifestyle
versus one of constant slogging and undue stress without the desired success
and financial reward.
Yet if we think of time as a constant, we face a dilemma. When we have this
fixed view of time, we always feel the frustration of time racing by, faster as
we get older and often with less value in each passing moment. When we
see time the way most people see iteven how most thinking people see
itthen we feel like we are in a race against it; however, heres the raw truth:
its a race we can never win. Eventually we will be on our deathbed, thinking
about all the things we could have done and should have done, had we had
more time.

Time doesnt have to be our master. Indeed, we can and should learn to
master it.
Think about it. When I question people Why arent you doing this? nine times
out of ten, Id get I have no time as the answer. Lets get real. Most people do not
suffer from the issue of lack of time. Rather, they just simply run out of time.

Are You Really Making Full Use of Your Time?


Just take a good look around you and youll see people frequently squandering
their time away on the Internet, playing games and responding to social requests
on Facebook. Others spend hours on the couch watching TV and yet others
spend their after-office hours at a pub or nearby coffee shop. So, do we really
have no time? We all have twenty-four hours a day; you, I, Warren Buffet, and the
president of the United States of America. You get the point.
So, what really matters is not the lack of time, but rather what we do with it. Well,
first, it depends on your personal and financial goals. I accept the fact that not
everyone wishes to pursue more wealth at the expense of quality family time. But
why must it be either the pursuit of wealth or quality time with the family? Why
cant it be both?
Whatever your trend of thought right now, I can tell you one thing for sure: you
run out of time, you run out of the ability to generate new wealth because, at the
very least, you need time to think about your wealth creation strategy. So, run out
of time and itll be game over!

Practical Time Management Strategy


If you are serious about improving your time management, heres a three-step
strategy you can use:
Step #1 Perform a time audit and proactive time management.
Step #2 Minimize distractions.
Step #3 Eliminate inbox clutter.

Lets examine each step in greater detail.

Step #1 - Perform a Time Audit and Proactive Time


Management
Before you can free up more time to pursue the more important things in your
life, you should first audit how you spend your time each day. A time audit can be
accomplished in one of three ways:
1. Manually:
Use this approach if you do not spend your productive time in front of a
computer.
2. Semi-automatically:
Use this approach if some of your productive time is spent away and some
in front of a computer.
3. Automatically:
Use this approach if more than 80% of your productive time is spent in front
of a computer.
If you are an offline person and spend very little time in front of the computer,
Ive devised a simple way for you to perform a manual time audit. Please refer
to instructions detailed under The 5 Steps to Earning Twice as Much for Every Hour
You Work.
If your time is divided between being away from and in front of a computer or if
you spend more than 80% of your time on a computer, you should consider using
either or both of these tools: RescueTime or TimeDoctor to help you with your
time audit and time management. In fact, I use both RescueTime and TimeDoctor
daily to keep me focused and highly productive!

Time Management with RescueTime

Description:
RescueTime is a time-management and analytics tool that allows easy time-tracking that requires no data entry. It works on both Windows and Mac and comes in
both Free and Pro versions. Youll be able to track the time you spend on applications, websites, and mobile apps with either version. Youll also be able to see
your efficiency and attention trends over time.
The good thing about RescueTime is that it is designed to run in the background
and out of sight. So you never have to fiddle with complicated software settings.
It just works!
Fabians Tips:
The Pro version offers additional features that allow you to block distracting websites temporarily, track offline time such as meetings and phone calls, and also

offer more detailed analytics and near real-time stats. I subscribed to RescueTimes
Pro plan (only $6/month paid annually) and, as a result, have been able to significantly improve my own time management and productivity.
RescueTime offers a free two-week trial for the Pro plan; however, if you only
require the basic features and can live with delayed stats, the Free version will
suffice.

Time Management with TimeDoctor

Description:
TimeDoctor is a sophisticated time-management, time-monitoring, and
analytics-service designed mainly for businesses; however, you can also use
TimeDoctor to manage your personal time.

Unlike RescueTime, which automaticaly starts up and runs in the background
when you power up your computer, TimeDoctor is designed to only track tasks
that you are actively working on.
If you run a business with staff based in multiple locations, e.g. home and office,
TimeDoctor will allow you to track and monitor time accrued by each staff and
by each project easily. The manner in which TimeDoctor tracks time and tasks is
robust enough such that the information can be used for timesheet recording
purposes.
TimeDoctor uses a proprietary algorithm to determine situations where you
could potentially be distracted and prompts you to find out whether you are still
working on your task. For example, browse social media sites like Facebook or
YouTube for longer than a few minutes, and TimeDoctor will ask you whether
your browsing is related to the task. If you click no, TimeDoctor will stop recording time to that task.
TimeDoctor also offers a very useful screenshot-recording feature that takes
screenshots of the computer screen every few minutes; extremely effective for
managing remote teams and hourly hires.
Fabians Tips:
I use TimeDoctor to manage my remote hires as well as to manage my own time.
In fact, I compensate my remote hires based on the amount of time they accrue
to a project in TimeDoctor. It is a win-win solution because this allows them to
complete their work whenever and wherever they want, with full mobility; and I
dont need to worry about monitoring their work productivity.
Interestingly, TimeDoctor has an iPad app so you are able to track your time even
when using the iPad.
I highly recommend you give TimeDoctor a go if you want to improve your
personal productivity and the productivity of your entire business team.

Step #2 - Minimize Distractions


A quick and easy way to minimize distractions while on a computer is by reducing
the amount of non-productive time spent on your favorite sites and social media
websites. Easier said than done? Not really. Here are several free online tools you can
use to intentionally block your computer browser from accessing specific websites.

Minimize Distractions with FocalFilter for PC

Description:
FocalFilter is a PC-only free software that helps you stay focused on important
tasks by temporarily blocking access to websites you specify. It works with multiple browsers and is extremely simple to setup and use.
Fabians Tips:
To access the blocked sites, wait for the timer to run out. If you need to access the
blocked sites earlier, rebooting your computer will remove the block.

Step #3 - Eliminate Inbox Clutter


Accordingly to numerous workplace productivity surveys, employees spend anywhere between 25 to 50% of their time reading and managing emails. We are
talking anywhere between two to four hours lost each day due to that. So, if you
spend a lot of time on emails, learning how to reduce and eliminate inbox clutter
will help you regain precious time that would otherwise be lost.
The daily emails we receive can be classified into one of three types:
Transactional (i.e., discounts, offers, bank statements, receipts,
subscription updates).
Business (i.e., work related).
Personal (i.e., non-work related).
The good news is several strategies exist to deal with inbox clutter. Lets first deal
with transactional emails first. Here is a free solution to organize them using a free

The 5 Steps to Earning Twice as Much for

1. Start recording how you use your time; start today. Record each activity
that you do during the course of the day, as well as how much money it
makes you or how many dollars per hour it is worth. If you dont know an
exact figure, use your best guesstimate. The number you should use is
either How much you could pay someone else to do the activity for you?
or How much profit you make when you do that particular activity?
2. Complete one of the worksheets on the following pages for each day you
work in the next week.

One of the things I love most about being an Internet entrepreneur is the joy
of absolute mobility. Mobility is important because it allows me to literally work

Systemize
Systemization simply means determining a set way of doing things every time.
The benefit of systemization is it allows us to better streamline business processes
and activities so that we can achieve consistent and predictable results. The secret
to profitably expanding your business and decreasing stress is by implementing
systems; its about determining how things are executed in your business and
turning them into a series of flow charts, blueprints, and checklists.
In order to successfully systemize, you first need to identify specific activities and
processes required to complete a specific task. Next, you need to document these
activities and processes. I use two online services to help with business documentation: Gliffy (to document process flows) and ScreenSteps Live (to document processes and activities within my organization). Once completed and updated, these
documents also serve as our internal knowledgebase within the organization.

As a business owner, it is important to ensure that an organization is not dependent on just a handful of key individuals to run the business. Anyone in the
organization can be trained to take over anothers role should the need arise.
Another major benefit of a well-developed and documented system is that new
employees can easily get up to speed on specific tasks and roles quickly and
hence are able to contribute productively to the organization more quickly.
The big payoff: You, the business owner, can take vacations without fear of total
breakdown in your absence. The reality is, successful businessesboth large and
smallincorporate systemization in their businesses. For example, take a look
at any McDonalds operations. Their French fries, for example, are made from a
specific type of potato and cooked in a specific type of oil for a specific length of
time. The end result is French fries that are made with the same level of consistency (most of the time, at least), regardless of which McDonalds outlet you visit.

Unfortunately, when it comes to systemization, each business is different, so
there is no one-size-fits-all solution or blueprint. However heres an easy way to
get started:
Step #1 - Identify all critical tasks that need to be accomplished in your
business or work area.
Step #2 Identify all subtasks and processes required for each task identified
in Step #1, with a focus on proper sequence and timing for each
subtask and process.
Step #3 Document the steps in a Word document or use an online tool like
ScreenStepsLive and map out your business process flows using Gliffy.

Sam Carpenters book entitled Work The System. Comprising over two hundred

Automate
Automation is the process of using tools and systems to accomplish tasks that
would otherwise have to be performed manually and repeatedly. A major advantage of an online business versus an offline business is that you can automate a
large percentage of your online business with minimal cost and minimal effort.
A common automation tool we use for our online business is known as an email
autoresponder. An email autoresponder is a follow-up system that allows business owners to build a mailing list and create special online forms that capture a
prospects contact information such as their name and email address.
A unique feature of an autoresponder system is its ability to send email messages
on a time-release basis, so you can literally use email to follow-up with prospects
and customers automatically.

Asia Search Engine Academy currently offers SEO certification training courses in

Previously, when an inquiry came through our online form on the website, one

Simple Web Automation with Zapier

Zapier is a web automation service that connects two online services and
automates tasks between them. No custom programming is required on the part
of the user.
It currently integrates with over two hundred web services, including popular
services like Facebook, Twitter, YouTube, Gmail, PayPal, and Salesforce.
I use Zapier, for example, to connect two of my online project management tools:
TeamworkPM and Trello (both are described in greater detail in the next section).
TeamworkPM is the main project management tool that I use to manage several
of my online projects. Trello, on the other hand, makes it easy to visually monitor the progress of specific projects, thanks to its kanban-based features using
boards, lists, and cards.

One of my automation goals is to have tasks created in TeamworkPM be
dynamically created in Trello as well. This way Im able to better manage my
projects using the two best-of-breed project management tools.
Without Zapier, Ill have to hire a developer to connect both services via API
(Application Programming Interface), and the developer would have to code
each automation task individually. With the use of Zapier, all this can be achieved
with point-and-click simplicity. No custom coding required.
Heres how it works: the first step is to identify the two services you want to connect, then select a pre-made recipe known as a Zap.

The next step is to provide the login information to both services, and identify
the specific tasks you wish to automate. Finally, name this custom Zap you just
created, click the Make Zap Live button and you are all set!

Zapier offers both free and paid plans. The free plan allows you to create up to
five Zaps and run up to a hundred tasks monthly. Unless you are a heavy user, the
free plan will suffice.

Outsource
Lastly, what you cant automate, you should outsource. Outsourcing means getting other people to do stuff that you otherwise would have done yourself. One
of the biggest fears business owners have when it comes to outsourcing is how
to manage people remotely and make sure theyre workingwhen you cant see
them. Whats ironic, however, is that many online tools that exist today can facilitate the monitoring of remote workforce or outsourced hires.
oDesk.com, an online outsourcing platform, for example offers an online tool
known as Work Diary.

Whenever time is charged to a project, oDesk will take six random screenshots
of the outsourced workers computer every hour. These screenshots are instantly
available to the hirer for review. Such technology is useful for hirers of hourlyrated outsourced workers, since it allows the hirer to visually confirm through the
screenshots that the time charged is actually relevant and related to the project.

Other ways to track progress include the use of dashboard and business metrics, collectively known as business intelligence tools. Business intelligence (BI)
tools allow the business owner to focus on performance-oriented and bottomline results rather than on tasks and effort. In the next section, Ill share the BI
tools I use to manage the operational and financial performance of my businesses. In addition, I will share with you my detailed outsourcing strategies in
the next chapter.
The bottom line is: Learn to systemize, automate, and outsource. Systemize, automate, and outsource. (Yes, its that important!)

The New Rich Lifestyle


Many people today desire to live what we call the New Rich lifestyle: a unique
lifestyle that gives the freedom of movement and the freedom to work anywhere,
anytime.
The New Rich is an often misunderstood concept. Many believe the main goal is
to make more money. Nothing could be further from the truth.
In reality, the New Rich disconnect work from money. There is no direct link.
The New Rich instead:
1) Try to improve ratio of time spent on things they do best versus things they
dont do well.
2) Reduce the ratio of repetitive work versus creative work.
3) Shift the ratio of money that comes from direct work towards money that
comes from value-creation.
4) Focus on mobility and living a mobile, carefree lifestyle.
In other words, the New Rich focus on total wellbeing and personal freedom
rather than financial wellbeing alone. Today, in this Internet Age, it is easy for anyone to achieve the New Rich lifestylethanks to the advent of mobile devices
like smart phones and tablet devices.

In this section, I share with you my personal rolodex of essential business and productivity tools I use to manage my multiple businesses. This is not a list of every
tool out there but my personal list of tools that I use on a daily basis to manage
my multiple businesses. Of course, it is important for me to highlight that, to this
day, after having started over ten businesses, I dont work in an office, i.e., I still
work from home! I own a nice car, but have clocked a mere 15,000 miles over the
last four years because I dont have to drive to work.
Yes, the Internet has allowed me to manage my businesses from the comfort
of my home. No worrying about traffic jams, parking, or public transport. My
day starts when I fire up my laptop at home. My business and productivity
tools help me to manage my business more effectively and efficiently. As
a result, I have absolute mobility and I am able to travel whenever I want,
wherever I want.
Friend this is the lifestyle freedom I wish for you to have!

Productivity: The Time Catalyst


In this modern Internet Age, whether you are an employee or entrepreneur, there
are certain activities that are generally unavoidable, like checking and responding to emails and managing various projects and task responsibilities. What we
can do, however, is accomplish these tasks more efficiently and effectively so that
we can squeeze out more time to do other things, like grow our wealth. In other
words, we should strive to be more productive in accomplishing our daily tasks.
The more productive we are, the more time well be able to squeeze out of our
daily schedule to embark on wealth-creation activities (and/or spend more time

Password management is one of the most time consuming, yet overlooked,
strategies in the online world. In this day and age, you should not be manually
entering usernames and passwords on the Internet. Ever. Whether for an email
account, online bank account, or membership website.
It is a pure waste of precious time to be keying in usernames and passwords over
and over again, each and every day. Besides, it is good practice to change passwords every ninety days and only use strong passwords that hackers cant decipher easily; one thats impossible to easily type in manually. If someone is able to
guess your password, it means you are using a password which is too simple and
easy-to-break. From a security perspective, that would mean you are at risk.

Task and To-Do List Management with Producteev

One of the most important productivity tools that will keep you organized
daily, is a task and to-do-list manager. And, being a productivity nerd, Ive tried
and tested almost every single task and to-do-list manager availableboth

In the end, Im sticking with Producteev. Why? For one, its free for personal use.
But the major feature I really like in Producteev is the ability to add and update
tasks and to-dos via email.
Fabians Tips:
I rely on email communication to communicate with the external ecosystem,
i.e., partners, vendors, customers, etc. So being able to add or update a task in
Producteev via email is a Godsend feature. When a task is due, Producteev will

Label the task like this: #marketing.
Modify the deadline with tomorrow, tomorrow 9am, next week, 09/27...
Move the task to another project with /ProjectName.

In order to achieve true mobility, one has to consider using a tablet like an iPad as
a serious alternative to the laptop. If we were to consider the fact that most people use their laptops to check emails and edit documentsthe former already
made possible with a mobile deviceall that remains is sourcing for an app that
will allow us to edit Office documents while on the move.
Quickoffice, a product recently acquired by Google, allows us to do just that, i.e.,
edit Office documents (Word, Excel, PowerPoint) as well as view PDFs on a mobile
device.
Fabians Tips:
Heres the workflow I adopt and recommend that you follow:
1. Create a folder in your Dropbox account and name it Briefcase. Place
documents that require edits or need to be reviewed in this folder.
2. Using Quickoffices Dropbox integration, link your Dropbox account with
Quickoffice.
3. Once this one-time integration is completed, you can review and edit Office
documents in Dropbox via Quickoffice.
4. Edits to Office documents made in Quickoffice are saved and updated in
the Dropbox version of the documents.
In summary, with a Dropbox account and Quickoffice app, you can literally leave
your laptop at home and do work directly on your iPad or tablet!

Trello is a free web-based project management tool that is really simple to use,
but highly effective. Trello is designed after the Japanese just-in-time system
known as Kaban, which employs the use of boards, lists and cards to monitor
project progress.
Trello also has collaboration features that make it possible for everyone on your
team to get ongoing communication about whats new. You can also add checklists whenever you want to, include activities, add group members, and much,
much more. Trello projects can be shared, printed, and exported.
Trello can be used for a wide variety of tasks and projects. For example, each time
someone on your team comes up with a new feature idea, use Trello to categorize the idea along with other tasks such as whats coming next, pending jobs,

As the co-founder of SharesXPert Trend Trading System at SharesXPert.com, one

development of each new feature for SharesXPert, we set up a typical software
development workflow using Trello as follows:
Ice Box > Ideas > Next Up > In Progress > Testing > Known Issues > Live
At each stage, we create one card to represent one feature we plan on developing.

Description:
TeamworkPM is another project management tool that I use. It offers a plethora
of project management features like task management, task assignment and reminder, milestone tracking, internal messaging, file management, and version

single platform. It offers a beautiful and feature-rich iPad app that allows you to
manage all your projects and tasks using the iPad.
Compared to Trello, the only feature TeamworkPM does not seem to have is the
visual boards, lists and cards kanban system that Trello replicates so well.

I hired a programmer to add custom widgets to my Geckoboard. A widget is
a small program that, when installed, lets you connect and extract data from
different systems.
The widgets I have installed on my Geckoboard include:
Google Analytics (for web analytics and sales conversions).
UserVoice (for customer support).
Pingdom (for website monitoring).
Chartbeat (for real-time visitor analytics).
I was even able to link my US bank account balance to Geckoboard using
Geckoboards API (Application Programming Interface). Every night, the API will
automatically pull the latest information on my bank account balance and display
it on Geckoboard.

Whats In My iPad?
As you know by now, I work from home and accomplish my day-to-day personal
and business tasks using my laptop. What I have not mentioned is whenever I
need to leave my house, Ill leave my laptop at home and bring only my iPad
with me.
I am able to work on my iPad and achieve a high level of productivity at the
same time because most of the online services and tools that I use to manage
