New System Proposal
Our corporation is a major producer of natural gas and oil in the U.S. The
corporations information flow is put into effect by the pipeline or information network
design, network circuits with cell modems and fiber circuits. With the effective data
transfer network, the corporation should consider implementing a unified system with
internet access to improve its business processes. The unified system will ensure a smooth
flow of business processes, consistency of operations both at the field and company
headquarters and quality control. In addition, the system will implement a new and more
effective production control and inventory management protocol.
The business changes brought about by the implementation of the new system
will promote effectiveness in the various departments of the corporation. Raw materials,
or energy from the plants, will be received electronically at the company headquarters,
sorted and sent to the unified systems database. The process will be concurrent with the
reception of orders, a fast method that will save time. Inventories management and
product shipping will also be done at the unified system software, instead of the previous
case where it was handled manually at the company headquarters accounting department.
The unified system will be hosted at the headquarters and will be able to link the
energy plants, the headquarters and the supply markets/clients. In the system, a
concurrent process will take place involving the reception of energy from the various
plants (input) and the requested amount of energy from the markets (output). The system
will organize the information and print out a list to prepare products to be delivered to the
clients. The orders will be fulfilled from the systems inventory and finally delivered to
the required markets.
Internet and mobile access components

New System Proposal
The system should allow maximum access for its effectiveness. This will require
the software developed to be readily accessed online and on mobile access components
such as phones and tablets. With the new unified system, we will have an up to date
system that allows flexibility, mobility and portability within the corporation. Since the
companys processes are divided into production and delivery processes, the system will
help identify and correct errors in the specific departments. With the system, the
corporation will increase its accurate inventory count (real-time), which helps reduce
errors and deliver products with accuracy and precision (Ruighaver & Maynard 2006).
The software will be available for download on both computers and mobile access
components. With the mobile software, employees will no longer be forced to make
inquiries on company PCs. They will be able to do it anywhere as long as there is a
reliable internet connection, saving them the time and energy to use the desktops located
at the company headquarters.
The unified system will not only help the employees, but will also be beneficial to
the market sources/clients. The employees and designated clients will be given user
accounts and profiles that will enable them to check the inventory, product availability,
pricing and delivery details online. This is an important aspect of the application, as it
will enhance the corporations relationship with its clients and provide a marketing
opportunity, boosting business at and keep its clients content.

homepage. Second only to the homepage on all websites is how the customer can contact
or find the business (Carbone 2004).
The project of creating this website would have a few main requirements. When
developing a website, each page will represent a different portion of what the business
offers. If the company were an oil company, they may offer refinery, crude oil and even
employment opportunities.
The business will need to take into account the employees, assets or money
involved in creating this project. The requirements of this project will need to match the
level of assets utilized.
Each project created by a business will always have specific requirements. Each
of these requirements must be taken into account when creating the project.
A high level discussion of how the system should be acquired and maintained
There are a number of ways through which the system could be acquired. First
and foremost acquiring a new system for a company depends on how the firm is endowed
with resources and expertise. In this case, the firm can decide to outsource the system if
at all it follows that the same cannot be derived from within the organization.
Outsourcing here involves calling on another good company, which is good at providing
the system so that it helps the firm also acquire the system.
It should be noted that outsourcing is very ideal especially if it follows that one
company is unable to acquire a very important system or any other important component.
For instance, when a company outsources, the same enables that it does not lose out on
market share due to lacking in one area or the other. However, when the needed products
or services are acquired or outsourced, the outsourcing company assumes operation just

like the other companies. Therefore, the benefits improve in this case and work to
enhance the image of the company (Carbone 2004).
For our case therefore, outsourcing can be an ideal alternative for acquiring the
needed system. This is because by so doing, the company can be assured of having the
right system that functions properly and that meets the expectations of clients in the job
market. This contrary to the case whereby the firm would want to figure out on their own
how to go about formulating or coming up with the system. By so doing, the company
can incur significant losses due wastages, errors, and incompetence. Therefore, in order
to avoid such unnecessary inconveniences, the best idea would be to outsource. In this
case, the top management can arrange to have qualified personnel of the outsourced
company to help our company acquire the system and not only that but also training with
regards to how the system functions.
Another way that the system can be acquired is by making good use of the
research and development department. RnD is a very instrumental organ in the
organization because it aids the firm reach a required milestone. Through research and
development, the company finds a sense of direction because the same aligns the
expectations of the company and the needs of the market niche for purposes of posterity
and future success. In this, the research and development team in the company can be
empowered in order to be more productive as well as innovative. For instance, through
provision of funds and other incentives, personnel in this department would be obliged to
come up with ideal systems that the company can rely on for purposes of working
towards the set goals and objectives (Carbone 2004).
In order for such department to work efficiently and effectively, the company
should ensure that it goes for the best candidates in the job market. Having employees
who are talented and highly innovative can help the company come up with the most
11

effective system that can help a lot instead of just relying on other ways such as
outsourcing. In fact, being independent in this way will greatly help the company save on
costs that would have been used to pay other companies in outsourcing. Therefore, the
company can embark of relying on its research and development if at all such department
is effective and reliable for good performance industry (Ruighaver & Maynard 2006).
Another possible way of acquiring the system is through a merger or acquisition.
For the case of a merger, the company can form a partnership with an organization that is
good at systems. This would help because one company will directly benefit considering
the fact that it has no expertise in matters to do with systems. On the other hand,
acquiring is whereby the company buys another company and in that case ends up
owning it. In this case, the company should look at that company that is inferior but good
in systems. Buying such organization would help the other firm breathe easy as it would
have been sorted with matters to with system creation and running of the same.
It should be noted that acquiring a system is one thing while maintaining it is
another. This is to say that once a system has been acquired, measures should be
employed in bid to maintain it. Maintaining the system is even more important because it
ensures that the system is protected for purposes of future use. In addition, maintaining
the system ensure that unnecessary costs involved in miscellaneous activities are avoided.
In this case, maintenance involves strict monitoring of employees to ensure that care and
responsibility is employed on the system industry (Ruighaver & Maynard 2006).
This is because if no strict measure are employed in order to safeguard the newly
acquired system, the same can be easily tampered with and in that case everything
associated with the system will end up being paralyzed and this will adversely affect the
success and operations of the company. On the other hand, maintenance can also be
enhanced through servicing the acquired system in order to avoid system breakdown.
12

Such maintenance will make sure that the system is ever running both effectively and
efficiently. On the other hand, constant updating the system is an ideal maintenance
strategy that will ensure that the same is kept in line with the new changes in the industry
(Ruighaver & Maynard 2006).
Lack of constant upgrading will prevent the system from being obsolete. Since
there is constant change in technology, system updating should not be an exception
because competition is a dependent factor in this case. This is to say that consumers are
also looking towards new and trendy components or systems in the market. Therefore, it
goes without saying that the company whose system will appear to be sluggish with
respect to system development will lose out on significant customer base. Another way of
maintaining the system is by ensuring that measures of countering threats are enforced.
This is because any system is prone to malware hence it would be ideal to step up
measures of having precautionary measures in this regard.
A discussion of the strategic role the system will play in the company
First and foremost, the system will significantly impact the company with respect to
increased efficiency. As it has been noted the companys operations have not been quite
effective and this is because the company has been lacking a proper framework with
which to conduct its operations better. Therefore, performance of the company in this
case has been wanting. Therefore, having this system in place will greatly help the
company to be effective and efficient (Carbone 2004).
On the other hand, the other role will be increased profitability as well as the
generated revenues. This is because with lack of efficiency due to reliance of an
ineffective system, it is a sure thing that the profits being realized will not be appealing.
This is because customers would also not want to be associated with a system that is
characterized with low performance. However, acquiring the new system will help
13

streamline operations for the success and betterment of the company. The new system
will in no doubt be successful and because many people like to be associated with
success, it goes without saying that the customer base will increase and this will translate
to increased profits in the company (Maynard S. & Ruighaver 2006).
On the other hand, the product proposition with regards to the company will
increase. This is because the company will have restructured its way of conducting
operations. The new system is meant to provide customers the opportunity of knowing
where to find the products and services as well as getting more information regarding the
firms line of production. On the other hand, the new system will help the company
clearly define its specific requirements hence knowing how and who to target in that line
of operation. On the other hand, there will be some new changes that will be brought
about by the new acquired system. The business changes brought about by the
implementation of the new system will promote effectiveness in the various departments
of the corporation. Raw materials, or energy from the plants, will be received
electronically at the company headquarters, sorted and sent to the unified systems
database. The process will be concurrent with the reception of orders, a fast method that
will save time. Inventories management and product shipping will also be done at the
unified system software, instead of the previous case where it was handled manually at
the company headquarters accounting department (Fowler 2003).
