Therap and Excel Tips and Tricks

"Lets Get Rolling!" An Introduction to
Rolling out New Modules in your
Agency!
Kelly Kinderman, Kim Blamowski

Community Services for the Developmentally Disabled,

NY
Rolling out new modules can be overwhelming. As
with every new process, comes a little anxiety as to
how specific modules should be rolled out in your
organization. During this presentation, the learner
will hear how our agency has implemented
modules, adapted policies, and developed internal
user guides to assist with a smooth transition. We
will provide the group with helpful information and
tools on the use of a variety of Therap modules. This
session is beneficial for all agencies working with
Therap and is not state specific.

Getting Started on the Right Foot with

Therap!
Kim Blamowski, Kelly Kinderman
Community Services for the Developmentally Disabled,
NY
Agencies just starting with Therap would benefit
from this training as the learner will hear about the
Dos and Donts" of Therap (i.e., giving everyone
access to modules and caseloads, understanding
how certain modules are linked together--aka the
swoosh--and they will be provided with various tips
on how to balance roles/access within the agency
without compromising confidentiality. They will also
learn the importance of having a Therap committee
so kinks can be worked out prior to rolling out a
module. The learner will also gain knowledge on
working with families and outside providers.

Eddie Fung TURN Community Services, Salt Lake

City, UT

One of the benefits of Therap is the amount of

data that is generated. However, without the
right tools to evaluate and analyze the large
volumes of data, the information is useless. This
presentation will cover various ways to use Excel
to analyze exported Therap data and format it in
a meaningful way. This is geared towards
intermediate to advanced Excel users and will
include advanced filtering, uses of the "Text to
Column" feature, VLOOKUP function, and
TIMEVALUE function. The information presented
will be helpful to different types of Therap users,
including provider administrators, QA personnel,
and program managers.

Using Therap to Ensure the

Happiness of the People We Support
Dori Leslie, Grant Fogel, Karla Spitzer
Friendship, Inc, ND

This presentation will highlight how CHI Friendship utilizes various Therap modules and reports
to ensure the overall well-being and happiness of
the people we support. Our approach is to
maximize the quality of data that is entered into
the system, and to also maximize the use of this
data once it is reviewed by team members inside
of the system. Once we gather our data in
conjunction with our CQL Basic Assurances and
other quality indicators, we have a broader scope
of what is occurring and how can we improve
services. Therap empowers us to make better
decisions that have a true impact on the people
we support.

Supporting Individuals with ID/DD to Participate in Therap: Real Stories of

Challenges and Success
Melissa King-Hubert Easter Seals Hawaii, HI
At Easter Seals Hawaii (ESH), their participants are included the data entry of their goals on a daily basis. They
have developed a range of methods to support their participants to accomplish this; from participants who are
unable to physically type in the information, to participants who are able to independently record all aspects
of their data collection. The expectation at ESH is that data will be entered daily, with the participant. ESH staff
have found that participants are more involved and accountable for completing and accomplishing their
outcomes and objectives when they are involved in the recording of the data.

include tips, tricks, and some recommendations will
be provided for participants to encourage them to
move forward with implementing the Therap MAR.
The presenter will offer advice about the increased
accountability, and preparing for the possibility of
an initial increase in medication errors. They will also
discuss the importance of the Medication Histories
and how important the initial time investment is
when moving to a live MAR, the importance of a
thorough staff training process, and review the
benefits of having the Therap MAR up and running.

This is a session for Georgia users and will review

the use of the Template Library to cover state

Over: Life Before and After Therap
Kristen Thompson Sunrise, FL
This session will be suitable for all levels of Therap
users. Topics will start with the pre-implementation
planning process, policy development and system
set up (Provider Admin basics). Next, we will be a
discussion about the going live experience and
conclude with a discussion on the ongoing utilization of Therap beyond implementation.

This session will show how Partnerships in

Community Living (PCL) sets up the rights for their
600+ DSPs to be most efficient, autonomous, and
empowered to complete their job duties. The
session will include: a review of PCLs super roles
and how giving DSPs increased privileges betters
our efficiency, increases communication with
outside providers and families, while adhering to
our core values. Their resource tools that we have
created will also be shared.

Using Therap and Data Metrics to Support Organizational Performance

Tamela Rystrom, Brad Walker California Community Opportunities
This presentation will show you how you can monitor your organizations overall performance by reviewing
the information placed in Therap and assigning performance measures in a program called ISOX (Information
System for Organizational Excellence), a web-based performance management database. The information

203-596-7553

www.TherapServices.net

allows one to easily view the individual performance of specific programs, as well as the overall performance
of the organization, as it is displayed on a customized dashboard of colored stoplight with each color
representing a measure. This enhances the ability of the administrative staff and board members to make
informed decisions versus reacting to anecdotal information. It also provides an opportunity for staff at all
levels of the organization to quickly respond to stoplight areas needing attention.

North Dakota Using Therap for States

Various

Wendy Schumacher State of North Dakota, ND

Gina Loraine Dungarvin, OR

The State of North Dakota will present on the referral

process between the state DD Program Managers
and to the licensed DD providers in North Dakota.
This presentation will reveal how the providers are
able to view information on an individual prior to
them receiving services at a given agency; referrals
can be sent out noting the urgency of the placement
with the High/Medium/Low notification levels. This
Therap-driven process allows for immediate communication between the state and the providers to see if
they can truly serve the individuals, as well as show
the options available to CMS.

Mode to Pre- Develop Documents
William Jones & Jessica Dunn

Tobosa Developmental Services, NM

This presentation will cover how to use Test Mode to
develop tracking tools and other documents prior to
implementation in the real system. A primary example
will be an Evacuation Drill developed by the presenters. The process begins with identifying a base
document on the Test Mode Global Template Library,
importing a sample document, then tailoring the
template for agency use before its final approval.

Trainings using the Training
Management System
William Jones & Jessica Dunn

Tobosa Developmental Services, NM

The presenters will detail their trials and tribulations
in developing methods to track individual-specific
trainings using the Therap Training Management
System (TMS). They will explore their challenges, their
brainstorming sessions, and their final solution, as
well as look at the actual mechanic of entering it into
TMS.

New York State is in the process of transitioning

from traditional service delivery to self-directed
services. Therap will clearly play a role in this
transition and continue to provide quality
documentation and support. The presenter will
share thoughts as to how caseload construction
will help foster this change, as well as the importance of third party access and its role in self
direction. This session will focus on New York but
providers within other states are welcome to
join.

Using Therap to do Shift

Crossovers
William Jones & Jessica Dunn

Tobosa Developmental Services, NM

The presenters developed a shift crossover
process that they have been using since May
2014. The process includes using Theraps MAR
and a created Residential Crossover Form within
ISP Programs. These two documents are used at
each shift change to document medication
counts, changes or needs, for each individual
living in their residential supported living homes.
The presentation will also review how to ensure
the Residential Crossover Form is being completed by using the ISP Data Report function in
Therap.

The Then and Now: A Trip Down

Quality Lane

Whats and Wheres of

Document Storage

Lynece Benton-Stewart Homeplace Inc, TN

Jennifer Kelley Baker Victory Services, NY

For quality assurance purposes, Therap is invaluable

and has played a vital part in the transition to
web-based documentation. The advantages of
Therap include facilitating improved communication
between all providers, family members, Individual
Support Coordinators, and others, and assisting with
promoting high standards of care through appropriate quality checks and tools used in Therap. Those
tools and checks will be reviewed in this presentation.

This presentation will include a discussion of the

many options within Therap to upload and store
documents. The presenter will use their own
agency to offer up some thoughts around what
documents to store, while taking into consideration where to put them based on how long they
need to be accessible, how much storage is
available, who needs access, and the like. Screen
shots of the pages used to store documents will
be shown.
