How to use the CBN Woreda Database

The CBN woreda database has been designed to help manage the data collected as part of CBN
activities. It is intended to be used at the woreda level for compiling information from all kebeles.
The following is a guide for how to properly use the database.
A few basic points to understand:

The database has been created in Microsoft Excel.

It has been designed to make data compilation and analysis as easy and accurate as possible.

The database is designed to be used for one year, after which a new file should be used.

The file consists of many sheets:


o Twelve sheets, each for one month of the year
o One sheet that should be printed each month as the report form
o One sheet showing a summary of data and month-to-month trends
o Five sheets with graphs to show data trends

Each month, you should enter data into the sheet for that month. The report form, month-tomonth trends, and graphs will be updated automatically.

On each sheet, you are only able to change some cells. These are highlighted in yellow. The
other numbers will be calculated automatically.
Filling in the monthly data:

For January, you should fill in the woreda and region name. (Even if you have no data for
January, you should fill this in on this sheet.)

Each month, after you have collected all HEW reports and checked them for errors, the data
should be transferred to the database. For each kebele, enter the name of the kebele, and all
information highlighted in yellow. Percentages and totals will be calculated automatically.
The following percentages are included:
Participation rate
% NW
% UW
% SUW
% CHWs conducting CC
% CHWs reporting
% CHWs attending HEW-CHW review meetings

After you have finished filling in the data, scroll down to the bottom of the page to see a
summary of the data.

The last item listed, a quality check, is very important. The number of children weighed
should equal No. NW + No. UW + No. SUW. If it does not, you should first check to make
sure that the data has been transferred accurately from the kebele report forms. If no errors
are found, then you should again check the kebele report forms for errors, and correct the
errors if at all possible.
Report form:

After you have finished filling in monthly data, check the report form to ensure that data for
this month has been filled in automatically

In addition, if a quarterly woredas review meeting has been held this month, fill in the date of
the meeting and the number of HEWs attending on the report page.
Graphs:

Next, look at the last five sheets to see the update graphs of UW, SUW, GMP participation,
reporting and CC. These graphs should be used each month to analyze the progress of CBN
activities and to decide on actions for the next month.
