he n4a Tradeshow provides a dynamic environment where

resources that will help them better serve their clients. n4a
members look forward to learning from industry experts about

TRADESHOW RULES &


REGULATIONS
Any violation by the Exhibitor of the Tradeshow Rules and Regulations herein may, in n4as sole determination, constitute a breach of the Agreement resulting in termination and forfeiture
of any monies paid on account. Upon due notice of such termination, n4a shall have the right to take possession of the Exhibitors space, remove all persons and properties, and hold the
Exhibitor accountable for all liability, expenses, and damages arising from Exhibitors breach/violation of Tradeshow Rules and Regulations.
OFFICIAL GENERAL CONTRACTOR: n4a has appointed Conference Solutions as the official
General Contractor for the n4a 2015 Conference & Tradeshow. All references herein to n4a
shall mean n4a and Conference Solutions.

Please note: Do not ship exhibits or exhibit materials directly to the Philadelphia Marriott
Downtown, as shipments may not be accepted. Shipping instructions and drayage fees will be
included in the Exhibitor Kit.

OUTSIDE ACTIVITIES: The Exhibitor shall not foster or conduct outside activities which
would take qualified attendees from official Conference functions and/or Tradeshow during
scheduled hours. Use of meeting facilities or n4a contracted hotels by Exhibitors or companies
or sales or business meetings during n4a Conference & Tradeshow dates must be approved
in advance by n4a. Hospitality suites shall not be open during Tradeshow hours or daytime
Conference hours.

EXHIBITOR REGISTRATION: Participation in the Tradeshow for up to two (2) representatives is


included with each exhibit booth (meals are included.) Exhibiting organizations may purchase
additional exhibitor name badges (meals included) separately.

ASSIGNMENT OF SPACE: The optimal exhibit booths are assigned to the major Sponsors of
the n4a Conference. Assignment of other booth space will be on a first-paid, first-served basis.
Every effort will be made to accommodate requests for booth assignments (near or away from
other companies) if the request is submitted with the Tradeshow Agreement. n4a reserves the
right to make such changes to the floor plan of exhibit booths as may be deemed necessary.
Any consideration of special requests for placement near or away from another vendor must
be made on the registration application. Requests submitted after registrations will not be
accommodated.
EXHIBIT FEES AND PAYMENT: Agreements will NOT be processed or space assigned without
the required payments and signature. Checks should be made payable to: n4a 2015, and
mailed to: n4a 2015, c/o Conference Solutions, 520 SW Yamhill Street, Suite 430, Portland, OR
97204. Receipt of payment does not obligate n4a to accept a contract as binding. n4a retains
the option of returning funds. Payment by credit card may be possible, however, additional
fees will be incurred to cover transaction costs.
CANCELLATION: Cancellations of exhibit booth space must be directed in writing to: n4a
2015, c/o Conference Solutions, 520 SW Yamhill Street, Suite 430, Portland, OR 97204.
Refunds, less an administrative fee of $175 per booth, will be made at the discretion of n4a,
but no refund will be given for a cancellation made within 90 days of installation. In case of fire
or any other causes beyond the control of n4a that prevent the show from taking place, this
contract will not be binding.
EXHIBITS: The Tradeshow will be comprised of 8' x 10' exhibit booths. All booths will include
(1) skirted table, (2) side chairs, and a one-line identification sign (44" x 7"). The Tradeshow Hall
is carpeted.
INSTALLATION AND DISMANTLING:

USE OF SPACE: Exhibitors shall not assign, share or sublet any space without written consent
of n4a. All Exhibitors must remain within the confines of their own exhibit space. Care
must be taken that no display extends more than 8' above the floor, obstructs the view or
disadvantageously affects the display of other Exhibitors. Noticeable noise produced from
operation of any equipment or apparatus is not permitted.Display vehicles must adhere to all
municipal and state laws, rules and regulations. Consult Conference Solutions for details.
FOOD & BEVERAGE POLICY: No food or beverage may be brought from an outside source.
If you wish to serve anything from your booth, please contact the n4a Conference Planner to
discuss what arrangements, if any, can be made through the Philadelphia Marriott Downtown.
LIABILITY: n4a and the Philadelphia Marriott Downtown will not be held responsible for the
safety of Exhibitors property from theft, fire, damages, accident or other causes. Exhibitor
agrees to protect, save and hold n4a and the Philadelphia Marriott Downtown and all agents
and employees thereof (hereafter collectively called indemnities) forever harmless for any
damages or charges imposed for violations of any law or ordinance, whether occasioned
by the negligence of the Exhibitor or those operating under the Exhibitor. Further, Exhibitor
shall at all times protect, indemnify, save and hold harmless the indemnities against and from
any and all losses, costs (including attorneys fees), damages, liability or expense arising from
or out of or by reason of any accident of bodily injury or other occurrence to any person or
persons, including the Exhibitor, its agents, employees and business invitee which arises from
or out of or by reason of said Exhibitors occupancy and use of the Tradeshow premises or a
part thereof.
SAFETY REGULATIONS: Exhibitors must adhere to all municipal and state laws, rules and
regulations. No combustible decorations may be used at any time. All drapes, table coverings
and other materials must comply with fire department regulations.
SECURITY: The Tradeshow is being held in the hotel and security will be provided when the
Tradeshow closes. However, neither n4a nor the Philadelphia Marriott Downtown can be
held responsible for any lost, damaged or stolen exhibit materials. Please take the necessary
precautions each day for safeguarding your exhibit materials. n4a recommends removing
valuable materials when not at your booth.

Exhibitors who are unable to check in by 3:30 p.m. are asked to give advance written notice to
Show Management of their tardiness or unavoidable delay, or risk forfeiting their booth space
to a space where their vacancy is less visible to n4a participants.
Dismantling of exhibit booths may not begin before the conclusion of the afternoon break
on Monday and the area must be completely cleared by 5:00p.m. that same day. Times are
subject to change upon notification by n4a.
SHIPPING: Approximately 45 days prior to the show opening, the Decorator that n4a selects
will provide to each Exhibitor an Exhibitor Kit with shipping instructions and forms for all
services needed during the installation, show period, and removal of exhibit booths. Exhibitors
needing information prior to receiving the official Exhibitor Kit should contact Conference
Solutions directly at 503.244.4294 Ext. 208.

FAILURE TO OCCUPY SPACE: Space not occupied by the close of the exhibit installation
period as specified in these rules and regulations will be forfeited by the Exhibitor. This space
may be resold, reassigned or used by the Tradeshow Manager.
SHOW CANCELLATION: If the Conference or Tradeshow is cancelled due to circumstances
beyond the control of n4a, n4a will not be held liable for any expenses incurred by the
Exhibitor beyond the rental cost of the booth space.
DOOR PRIZES: Each Exhibitor is encouraged to provide a gift with a minimum value of
$100 for the Tradeshow door prize program. It is the Exhibitors responsibility to collect
names and business cards from attendees. Door prize winners will be drawn before the
afternoon networking break on Monday, July 13, 2015. Names of winners will be posted in
the Tradeshow. It will be the winners responsibility to pick up the door prize at the Exhibitors
booth by the close of the Tradeshow at 3:30 p.m. on Monday or forfeit the prize.
SELECTION OF EXHIBITORS: Only firms and companies whose services and products are
appropriately related to the purpose of n4a shall be permitted to exhibit. n4a reserves the right
to decline or prohibit any exhibit which in its sole judgement is inappropriate, this reservation
being all inclusive as to person, things, printed matter, products and conduct.

Advocacy
n4a advocates on behalf of older adults, caregivers,
people with disabilities and the aging professionals
who assist them. n4a is the advocacy voice for
AAAs and Title VI Native American aging programs,
and works to advance policies that effectively and
efficiently address the needs of aging America. n4as
policy priorities include the reauthorization of the
Older Americans Act, enhancing the health of older

adults, and developing livable communities initiatives


and mobility options for seniors.
While continually monitoring the big picture of aging

the significant health and long-term care needs that

Answers on Aging
n4a provides Answers on Aging to consumers and
professionals. These initiatives provide outreach and
education through the network of local AAAs and
Title VI Native American aging programs that help
older adults remain in their homes and communities,
including the following outreach strategies:
Eldercare LocatorIn partnership with and funded
through a grant from AoA, n4a administers a stateof-the-art national call center to connect older adults
and caregivers to AAAs, Title VI aging programs and
other trusted resources in their communities. The call
center is open Monday through Friday from 9:00 a.m.
to 8:00 p.m. ET and offers information on long-term
care alternatives, transportation options, caregiver
issues and government benefits eligibility.
The Aging Networks Volunteer Collaborative
The Collaborative is a virtual resource center offering
the latest strategies, principles and practices that are
producing an 8:1 return on investment for agencies
committed to change how they think about and
utilize volunteers to meet the increasing demand for
services across the Aging Network.
National Center on Senior Transportation (NCST)
In partnership with Easter Seals and other partners,
n4a provides technical assistance to professionals
at the local and state levels to improve and expand
transportation options that help older adults live
more independently in their communities. NCST also
conducts research and provides demonstration grants
to learn about and advance transportation options for
older adults.

Pilot and Demonstration GrantsIn partnership


with corporate entities and other organizations, n4a
works to provide a vehicle to test, document and
share best practices through local AAAs and Title VI
aging programs. Pilots include outreach to hardto-reach populations for Low-Income Subsidies,
collaborative senior transportation solutions and
fitness programs.
Livable Communitiesn4a is instrumental in the
development of a number of initiatives to coordinate
access to services and supports to communities
and local agencies taking action to make their
communities livable for all ages. A sample of
resources and technical assistance include: Maturing
of America (MetLife Foundation), a national survey of
city and county governments to assess their aging
readiness, including a benchmarking survey to assess
progress after five years; a Blueprint for Action:
Developing a Livable Community for All Ages (MetLife
Foundation), a resource guide for local leaders; and
the development of Learning Collaboratives to assist
communities plan and implement aging in place
strategies.
