SHARING AND SYNC
Background
Enterprise le sharing and sync (EFSS) tools enable ecient sharing of les
within and outside organization. EFSS tools are changing the way end users
access, manage and share les a huge shift from prior le access and
sharing approaches through email attachment, NAS or le server or FTP
server. The emerging technology for le sharing is expected to improve
collaboration irrespective of where people are located.
Now IT has two options to deploy the latest le sharing technologies:
signing on a sharing-as-a-service with one of the EFSS service providers or
deploying EFSS software internally in the data center. The main dierence is
that in case of on-premise solution the end user data stays within the
control of the data center.
IT organizations cannot opt out of this trend as many consumer-style le
sharing tools are making inroads into corporate work culture. Proliferation
of enterprise-connected mobile devices is constantly straining IT security
resources. With the consumerization of IT and bring-your-own-device
(BYOD) initiatives, end users are expecting to access and share business
information constantly. Data managers are increasingly concerned about
data landing at the wrong hands.

Whats in it for IT?

Thanks to the increasing penetration of smart devices, File Sharing and Sync
is now an integral part of collaboration and communications. However,
consumer-style sharing tools are only the entry points to the ever evolving
data mobility paradigm, and for corporate IT, it brings with it associated
complexity, risk of data loss and security hazards.
Visibility and control over les-on-the-move are major concerns for data
managers. New tools that deliver mobile device management, mobile
content management, and mobile application management are emerging.

Enterprise File Sharing

Easy Sharing with Links
Vaultize allows users to selectively share les or folders without IT losing visibility or control over the data. The les shared
within the organization are made available to individuals on their own devices (through Vaultize client software agent)
even beyond rewall, and without the need for VPN. For sharing with outside parties, Vaultize allows end users to share a
secure link which can be accessed using any web browser. With Vaultize, it is easy and quick to share even large les
without FTP or email attachments. Vaultize generates a secure web link (URL) for a le or folder that can be shared with
the recipient(s) for instant access to the data.
Additionally, the les or folders can be secured through multiple policies such as password protection, auto-expiry, Geo/IP
fencing and many more policies for greater control over access to the data. The recipient will be able to access and
download les (if permitted) through web browser providing an ecient way to collaborate with people both inside as
well as outside the organization.

No need for FTP Server (FTP Replacement)

Vaultize makes network shares, le servers, FTP servers or a NAS device redundant, thereby reducing the storage burden,
saving time and budgetary resources for IT organizations. Vaultize helps IT administrators to consolidate user data to data
centers or the cloud, while providing value add through enhanced data protection and information governance.

Outlook Plug-in
The Vaultize Outlook Plug-in smartly detects attachments in the email and moves the les to the Vaultize server, while
replacing it with a secure link for recipients to download. This allows enterprise IT to save bandwidth and storage space,
reduce size of PST and mail server, and helps build eciency and security in le sharing. These links can be controlled the
same way as sharing links including policy based access, fencing and document viewer.

Unlimited groups
With Vaultize, the users are allowed to create any number of groups (or teams) for le sharing. Creating groups within
Vaultize is a breeze and involves only one step. An extensive list of users can be easily created through the integration with
AD or LDAP; and the users can be tagged to one or more groups.

Role-based access rights

With Vaultize, the users are enabled to provide le access rights to others in the group, such as read, edit, manage etc.,
based on various criterion. The access rights allow a user to ne tune the collaboration and control as to how other users
access the data. However, the administrators can change these rights at any time.

Built-in conict management

If two or more users are working on the same le, there could a conict when they try to save the same le at the
same time. In such a scenario, Vaultize saves each version separately (with timestamps) and noties all the users
about the conict.

Oine access
When combined with the sync function, Vaultize allows end users to access les from the group share, when not
connected to the network. Users can choose any le or folder from any of the groups they are part of and request Vaultize
client software to keep it in sync with a local folder for oine access.

Policy-based control on shared links

Vaultizes policy-driven le sharing facilitates to apply stringent policies while sharing links with external recipients (i.e.
outside organization network). The shared links can be protected by applying password for access, ensuring expiry date
for access, restricting to specied email addresses, notifying the sender about access, tracking access based on geography
or IP address or time of access of recipients, thus ensuring better control over le sharing. Advanced access controls from
Vaultize allows administrators to provide access rights based on multiple criterion such as geographical location of end
users, IP addresses, and time of access.

Online document viewer

Online Document Viewer from Vaultize allows administrators to manage and control the le access via visitors link and
ensure what action can be taken by the end user. It allows the users to restrict visitors to just viewing the document and
not being able to download it. In the document viewer, users and administrators can control if the visitor can print the
document, copy-paste content and so on.

Policy for attachment replacement

Vaultize enables administrators to choose and manage policies that replace large attachments. These policies can be
exibly moderated based on size of les, type of recipients, type of senders (author), and location of recipients.

Cloud-in-a-Box Appliance
Vaultize Cloud-in-a-Box Appliance is industrys rst purpose-built appliance for le sharing and secure access. It is
built on enterprise-grade rack-mountable servers with an optimized combination of processor, memory and storage
for performance. The appliance reduces deployment time and avoids the complexity of managing disparate
hardware and software components.
The pre-integrated appliance complies with industry standards, and is carefully assembled to deliver scalability and
fault-tolerance. Data availability is ensured through RAID1 or RAID6 congurations to sustain any disk failure. The
appliance models range from rack-mounted units with storage from 2TB to 100TB suitable to support from 100 users
to tens of thousands of users. Cloud-in-a-box appliances can also be deployed in high-availability and
disaster-recovery modes ensuring business continuity.

Private Cloud/On-Premise
Vaultize Private Cloud deployment is ideal for businesses that (a) are unable to utilize public cloud due to regulatory
or compliance requirements, (b) have redundant storage/server hardware that can be utilized for business purposes.
In this option Vaultize server software is deployed on the hardware provided by the customer, with the conguration
recommended by Vaultize. For deployments with less than 1500 users, it is deployed with a single server (dedicated
or VM). For a higher conguration, a highly-scalable cloud can be implemented using multiple servers and storage
options (including storage from cloud providers).

Public Cloud

standards, and also are Safe Harbor certied. Vaultize Public Cloud is designed to be secure, scalable and reliable.
