Functions of various departments
Every organization has different departments. Each department contributes to the
running of the business. Major departments are:
1. Marketing Department
2. Operations Department
3. Supply Chain Management Department
4. Administration Department
5. Internal Audit Department
6. Compliance Department
7. Production Department
8. Sales Department
9. Finance Department

Marketing Department
The role of the marketing department in any organization is to provide and
support the organization with relevant, effective and targeted advertising and
promotional ideas for the brands and services that are offered.
A marketing department will help customers understand the value of the
products on offer.
A marketing department conducts research that supports the marketing
activities being implemented.
The marketing department has overall responsibility for growing revenue,
increasing market share and contributing to company growth and profitability.
The marketing department is responsible for functions such as advertising,
publications or events.
Other functions are:
Market Research
Market research is a key responsibility for the marketing department. Research
helps the company identify market opportunities and gain a better understanding of
customer needs and competitors strengths and weaknesses so they can take action
against the problem
Product Development
The marketing department works with Internal or external product development
teams to develop new products or improve existing ones. The department analyzes

sales of existing products and identifies gaps in the product range where there may
be opportunities for the company.
Communications
Marketing departments plan campaigns and develop communications material to
promote products and services to customers and prospects. Depending on their
available budgets, they may plan
Advertising campaigns,
Develop e-mail marketing programs,
Create promotional content for the company website,
Write press releases or product publications, such as product leaflets,
company brochures, product data sheets or customer newsletters.
They may write and design the promotional material if they have skills
within the department or they may appoint advertising agencies or
design firms to produce the work.
Sales Support
Cooperation between the sales and marketing departments can improve sales
performance and speed up business growth. Marketing also prepares presentations
for the sales team and supplies them with stocks of promotional material to give to
customers and prospects.
Events
In some companies, marketing departments are responsible for organizing events,
such as exhibitions, seminars, sales conferences or customer hospitality events.
Operations Department:
The field of retail operations concerns the work that individuals do to keep retail
store functioning. This includes both retail salespeople and managers in all types of
retail stores, including small stores with only a handful of workers and large chain
stores with hundreds of employees.
Sales operations are a set of business activities and processes that help a sales
organization run effectively, efficiently and in support of business strategies and
objectives. Sales operations may also be referred to as sales, sales support or
business operations.
The set of sales operations activities vary from company to company but often
include these five categories:

The sales operations team members are often liaisons for sales to other parts of the
organization such as finance, marketing, Legal and IT. They will represent the needs
of sales in meetings and cross-functional projects.
Supply Chain Management Department
Supply chain management (SCM) is the management of the flow of goods. It
includes the movement and storage of raw materials, work-in-process
inventory, and finished goods from point of origin to point of consumption.
Interconnected or interlinked networks, channels and node businesses are
involved in the provision of products and services required by end customers
in a supply chain.
SCM draws heavily from the areas of operations management, logistics,
procurement, and information technology, and strives for an integrated
approach.
Supply chain management is a cross-functional approach that includes
managing the movement of raw materials into an organization, certain
aspects of the internal processing of materials into finished goods, and the
movement of finished goods out of the organization and toward the end
consumer.

As organizations strive to focus on core competencies and becoming more
flexible, they reduce their ownership of raw materials sources and distribution
channels.
The purpose of supply chain management is to improve trust and
collaboration among supply chain partners, thus improving inventory visibility
and the velocity of inventory movement.

Administration Department
The administration department is the department that is responsible for the general
running of the organization. It is mandated to provide administrative and logistical
assistance to all departments of the organization.
Some of the functions of the administration department include the following:
The department plays a role of an adviser and assister to other departments
of the organization.
It provides logistical assistance to the entire organization.
The administration department is responsible for supervising the work done
by the other departments of the organization.
The department makes sure that all equipments and machines are
maintained.
If there are any damaged equipments, it is the departments responsibility to
replace them.
It is the department that is responsible for the approval of equipment
requisition.
Internal Audit Department
Organizing and conducting in due order integrated audits and thematic
inspections of the business activities of the Company and its subsidiaries
(affiliates); Based on audit results, preparing proposals for the President of
the Company on how to rectify.
Standardizing the violations and deficiencies revealed during audits and
inspections; preparing systemic proposals designed to prevent similar
violations from occurring in the future; Jointly with the Companys Security
department, identifying risks of abuse of authority, fraud.
Monitoring the process of rectification of the violations and deficiencies
revealed in the course of Conducting audits to asses effectiveness of business
processes, operations and investments of the Company and its corporate
services (auditing financial processes, IT audit, corporate governance.

Developing recommendations on how to rectify the deficiencies revealed by
the audits; monitoring the process of implementation of recommendations
based on the results of the audit.
Information support, consultations and methodological support for the
Companys and subsidiaries (affiliates) personnel within the area of
competence of the Department.
Developing and updating the regulatory and methodological system:
provisions, instructions, typical audit programs and methodological
recommendations on planning, organizing and conducting control activities
by the Department.
Using a risk oriented approach, developing an annual plan of audit and
control activities, which sets internal audit priorities in accordance with the
goals of the Company; identifying resources required for the plans
implementation; monitoring changes introduced into the plan during the
reporting.
Preparing reports on the implementation of the annual plan of audit and
control activities of the Developing a program for advanced training of the
Departments personnel.
Analyzing and classifying the violations and deficiencies revealed in the
process of audits and inspections, preparing systemic proposals designed to
prevent such violations from occurring in the audit.
Compliance Department
The department or unit within a brokerage firm, bank or financial brokerage
firm that ensures compliance with all applicable laws, rules and regulations.
The compliance department generally has a wide range of roles and
responsibilities within a firm Depending on the business of the firm, these
duties may range from monitoring trading activity.
Preventing conflicts of interest and ensuring compliance with regulations at
brokerage firms.
To preventing money laundering and potential tax evasion at large banks.
A competent compliance department is of the utmost importance in
maintaining a integrity and reputation.
Production Department
The production department converting inputs into outputs through the stages
of production processes.
The Production Manager is responsible for making sure that raw materials
are provided and effectively. He or she must make sure that work is smoothly,
out carried procedures for making work more efficient and more enjoyable.
There are five production sub-functions:

a) Production and planning - They will set the standards and targets at each
stage of the production process. The quantity and quality of products coming
off a production line will be closely monitored.
b) Purchasing department - This department components and equipment
required. An essential part of this responsibility is to ensure that stocks arrive
on time and are of good quality
c) The stores department - The stores department are responsible for
stocking all the necessary equipment required to service the manufacturing
process.
d) The design and technical support department - They are responsible for
the design and testing of new product processes and product types, together
with the development of prototypes through to the final product.
e) The works department - This department manufacture of products. These
will maintenance of the necessary repairs. The works department may also
have responsibility inspection.
Human resource Department
The role of Human resource department is in charge of recruiting, training, and the
dismissal of employees in an organization.
Recruitment and selection Training programmers - Training programs are held
by the HRD to improve the employees skills, as well as to motivate them. There are
three main types of training:
1. Induction training
2. On-the- job training
3. Off-the-job training
Manpower Planning - The HR department needs to think ahead establishes the
number and skills of the workforce required by the business in the future. Failure to
do this could lead to too few or too many staff or staff with inappropriate needs.
Dismissal and Redundancy (retrenchment) - Dismissal is where a worker is told
to leave their job due to unsatisfactory work or behavior. Redundancy is when the
business needs to reduce the number of employees closing down a branch or needs
to reduce costs due to falling profits technological improvements, and the workers
are no longer needed.
Sales department - Sales department is responsible for the sales and
distribution of the products to the different regions.
Research & Development Department is responsible for market research
and testing new products to make sure that they are suitable to be sold.
Promotion department - decides on the type of promotion method for the
products, arranges advertisements and the advertising media used.
Distribution department - transports the products to the market.
Finance Department

Book keeping procedures - Keeping records of the purchases and sales
made by a business as well as capital spending.
Preparing Final Accounts Profit and loss account and Balance Sheets.
Providing management information Managers require ongoing financial
information to enable them to make better decisions.
Management of wages - The wages section of the finance department will
be responsible for calculating the wages and salaries of employees and
organizing the collection of income tax and national insurance for the Inland
Revenue.
Raising Finance - The finance department will also be responsible for the
technical details of how a business raises finance e.g. through loans, and the
repayment of interest on that finance.
In addition it will supervise the payment of dividends to shareholders.
