Arriving in Baku: useful and important information

Baku 2015 European Games Operation Committee (BEGOC) is delighted to welcome you to Baku. We hope the
information below helps to make your travel as smooth as possible and wish you a pleasant & safe trip.

Pre-travel checklist
Do I have a Visa letter for from State Migration Service (printed in colour)?
Have I got two passport photos?
Is my passport valid for six months?
Do I require a return ticket?
Do I have USD 165 upon arrival to Azerbaijan Airport?*
Have I completed the visa application form? (This can also be completed on arrival.)

Visas
Fast Track service
If you are coming in with the assistance of the Fast Track service, the following will apply:
1. Look for an assistant with your name card as you enter the airport.
2. The assistant will take your passport to get it stamped.
3. Then they will take your printed in colour visa/invitation letter, passport photos and completed visa
application form (if you have not printed and completed this, they will ask you to do this on arrival).
4. The assistant will make the visa application for you and pay for your visa.*
5. You will then be asked to go through the passport control desk.
6. Please retain the luggage tickets you are given when checking in and give these to the Fast Track service
assistant; they will collect your luggage for you from the carousel and escort you to your driver.**
Self-managed visa
If you are self-managing your visa application at the airport, the following will apply:
1. As you enter the airport, go to the passport control desks, where your passport will be stamped.
2. You will then be asked to go to the visa desk (opposite the passport control desks).
3. Give the visa official your printed colour visa/invitation letter, passport photos and completed visa application
form (you should be given a copy to complete if you do not have this with you).
4. You will be asked to pay cash for your visa. ***
5. Make sure that you are issued with a green receipt by the visa desk to reclaim your costs and check the
amount and currency on the receipt.
6. You can then proceed through the passport control desk.
7. Your driver should be waiting for you in the airport arrivals area. **
VIP service
If you are entering the country with the VIP service, the following will apply:
1. Look for an assistant with your name card as you leave the plane; you will then take a separate coach to the
VIP waiting area.

2. The VIP assistant will ask for your passport and luggage tickets; they will also take your printed colour invitation
letter, passport photos and completed visa application form (if you have not printed and completed this, they
will ask you to do this on arrival).
3. The assistant will leave you at the VIP lounge while they arrange your visa and collect your luggage.
4. When your visa is complete, the assistant will return with you passport, visa and luggage and you will be
escorted to your driver. **
5. Please be aware that this service can take extra time, and is not necessarily the quickest way to enter the
country.
*While the cost of your visa service should be taken care of by our Fast Track service, we recommend that you bring
USD 165 in cash just in case.
**Your driver should be waiting for you, look for your name or a BEGOC sign when you exit customs. In the event of
an emergency, taxis can be found outside the airport and cost around AZN 15-30 depending on the time of day. Make
sure you take a metered cab or agree the cost in advance.
***We recommend that you bring USD 165 in cash. Different nationalities pay different amounts of cash for a visa and
this is the maximum amount you would be asked to pay; we anticipate that most of our travellers will be requested to
pay less than this. Please note that EUR and AZN are sometimes not accepted by the visa desk and the visa desk will
not give change. There is an ATM machine to the left of the visa desk, but note that some travellers have been caught
out when this machine was empty. Please contact travel@baku2015.com for more information before you fly, should
you have questions about the visa process for your nationality.

Registration
All foreign visitors (except holders of Azerbaijan residence permit) must register their accommodation address in
Azerbaijan State Migration Service not later than 3 calendar days from the date of your arrival to Azerbaijan.
If you stay in hotel and Hyatt apartments, kindly proceed registration with the front-desk manager. You will be required
to show your passport and they will scan it to send to Migration Service.
If you stay in apartments or your front desk manager somehow refuses to perform registration kindly deliver your
passport within 3 days after your arrival date to BEGOC Travel Team or you may also send following pages of your
passport to travel@baku2015.com (especially convenient if you arrive on Friday evening and weekends when office is
closed):
the main page of the passport,
the VISA page to Azerbaijan and;
the stamp page of the entry to Azerbaijan.
Please be aware:
Registration must be performed within 3 calendar days from the date of your arrival;
The date of your arrival is the date of customs entry-stamp in your passport;
Saturdays and Sundays as well as public holidays also account in this days limitation policy;
If Migration has not received registration data within 3-calendar days, penalty will be applied upon departure
from Azerbaijan of the amount of 400 AZN (nearly 500 USD);
Each time upon leaving Azerbaijan, registration should take place again;
Registration cannot be processed before your arrival;
All foreign visitors including family members, etc. refer to this rule.

Emergencies
Lost Luggage
In the event that your luggage is lost or delayed, please note that you will need to complete a lost luggage form before
leaving the airport; make sure you give the correct address for delivery on the form.
When your luggage is recovered, it will be sent directly to the address you have given; the hotels are familiar with this
procedure and can check with the airport for you if you give them the copy of your form.
