ACCOMMODATION APPLICATION MANUAL

To register with DUWO, and apply for an accommodation, refer to this official DUWO manual (here). We recommend you to read this overview carefully since the DUWO
website is not very intuitive, and without the instructions, you might make a mistake. You should, as DUWO advises, always use Internet Explorer 7 (or higher versions
in compatible mode) while registering or reserving accommodation; other browsers may not display pages of the reservation system properly!Note that if you choose
the wrong accommodation, TU Delft will not be able to rectify, or change your reservation in the DUWO reservation system and/or re-approve your registration. This may
delay choosing your accommodation.

STEPS TO TAKE
1. Request for accommodation in your Confirmation Statement
In order to apply for a DUWO housing, you should indicate a Yes in your Confirmation Statement. Following
are the links to your confirmation statement:

Online MSc Confirmation Statement (for Master students)

Online BSc Confirmation Statement (for Bachelor students)

Caution: If you apply, and agree for accommodation in your Confirmation Statement, you commit yourself to
rent a room for the entire fixed rental period (see step 3) and non-compliance can attract substantial costs!

2. Transfer your Handling Fee


TU Delft charges a non-refundable handling fee of EUR 228 from all the students seeking an accommodation
with DUWO.

If you are a Non-EU/EFTA student, we will deduct the handling fee from your Guarantee payment; you need not pay
extra.

If you are a EU/EFTA student, please transfer the handling fee as an extra amount together with your tuition fee,
preferably in one payment.

Please note that you will have to pay additional amounts to DUWO (see step 6).

3. Register with DUWO Accommodate


While you complete your Confirmation statement, and your pay Guarantee payment you can already register
with DUWO on the DUWO website. Do not use another entry to the website. Be sure to use Internet Explorer
7 (or higher versions in compatible mode). For a ready reference, following are the instructions (from the
official DUWO manual), and entries to be filled in:

MSc applicants should fill in the name of their current BSc university in the field Home University; if you are a BSc

The exact rental period as mentioned in the manual (even if your actual date of arrival and/or departure
differ)

For Master/Bachelor students:


Full year: 16 August 2014 until 31 July 2015

For Exchange students:


1st semester 2014: 16 August 2014 until 30 January 2015

Full year: 16 August 2014 until 15 July 2015

If you already have a student number (which you will receive after enrolling in Studielink), fill that in too. If you did not
enroll in Studielink yet, use your current registration number or leave the field blank. This number is not essential.

Also be sure never to choose Direct Offer as these accommodations are not reserved by TU Delft!
Made a mistake?
If you somehow enter the wrong details, see the Q&A at the bottom of the DUWO page to make corrections:

For example, if you are a MSc. Student, and you did not select TU Delft as your faculty, and International Office as
your department but instead made a different choice, you will only be able to see the options available for either guests
or PhDs, for which of course your request will not be approved.

4. Registration confirmation by DUWO


After registration you will receive an automated email from DUWO, confirming your registration. This email
also contains your user name, and password to login on the DUWO reservation system. But remember, you
cannot choose a room yet! First TU Delft has to approve your registration (see step 5)

If you do NOT receive this email, please inform DUWO, not TU Delft.

The current status of your DUWO reservation process will indicate For approval
You will also see the status in the TU Delft On-line application change to Accommodation approved. Note
that this only means that your DUWO registration has been approved by us; not that the DUWO room of
your choice (see further) has been reserved for you yet!

5. Approval by TU Delft
Starting May first week1, TU Delft will approve your DUWO registration in batches (Based on first paid-first
served) after receiving a proof of your Confirmation Statement, and Guarantee Payment. When approved you
will receive an email from DUWO.

Please be patient during this process, as all the registrations are approved by hand. Also note that the International
money transfer may take up to 10 working days, and we request you not to make any inquires during this period

The current status of your DUWO reservation process will indicate Offered by University
If you register with DUWO before paying the Guarantee amount (or just after paying), you will receive an
email stating that your registration cannot be approved because the payment has not been received. You
should not re-apply (nor email us). The moment your payment is received, and processed, you will receive a
new email with our approval.

6. Reserve a room in DUWO Accommodate


After you received approval from TU Delft, you can login to the DUWO housing database (only use this link!)
to view the available accommodation and reserve a room.

After choosing a room you will receive an automated email titled Preference for housing which confirms
your preference of the reservation.
Caution: Your approved status is valid for only two weeks! Reserve your room in this duration! If you fail
to reserve, you may be removed from the DUWO reservation system and will have to re-start the entire
procedure again, including paying another EUR 228 as handling fee!
Note that DUWO reserves the right to allocate you to another room in certain cases (Refer to DUWO website
General Conditions, art. 7). We recommend you to check your rental contract before signing it, and contact
DUWO in case of a problem.

7. Rental contract and invoice


DUWO will email you a confirmation of your reservation, your rental contract, and an invoice for the first
payment. This email usually takes place two weeks before your scheduled arrival in the Netherlands. Pay
attention to the deadline mentioned in the email!
The first payment to DUWO consists of:

An administrative/contract fee of EUR 150 (Refer to DUWO website General Conditions, art. 9)

Advance rent of 3,5 months (the first 1,5 month rent, and the last 2 months taken as a security deposit)

We advise you to reserve approx. EUR 1.600 for this first payment to DUWO. Unfortunately, TU Delft cannot
pay this invoice from your Guarantee amount, as that needs to stay intact as a deposit for your Visa and
Residence permit.

As current tenants can extend their rental contract, DUWO will not have a complete overview of all rooms that will be available till 1 May. We therefore will start
approving your registration from 1 May, even if you paid earlier.

DUWO does not confirm the receipt of the first payment, it is considered as any other monthly rental
payment.

Transfer fees

Transfer fee inside EU: (Incoming) SEPA transfers from within Europe should be free of charge in the Netherlands.
Your local bank may however charge you a certain fee. But please inquire at your bank before paying, whether you can
make a free SEPA transfer.

Transfer fee from outside EU: If no other info is available you can calculate the transfer fee in the Netherlands to be
approx. 0,1% of the amount payable, with a minimum of Euro 7 and a maximum of Euro 70 per transaction (ABN AMRO
fees 2012).

8. Passport and Visa copy


DUWO will also ask you for a copy of your passport and if applicable your Visa. You would need to:

Upload the copy/copies to the Contact form in DUWO Website;

If this does not work, write an email to klantenservice@kcc.duwo.nl

Note that if you do not have a Visa yet, send only the copy of your Passport or National ID (for EU students
only); you can provide the Visa copy later. DUWO needs these documents to prevent renting rooms to people
staying in the Netherlands with illegal reasons.

9. Key pickup
If you are participating in the Introduction Program, you have the option to pick up your room key at
the Survival Caf, during opening hours. Note that nobody else can collect the keys on your behalf!
Circumstantially, if you are unable to pick up your key, you will need to visit DUWO office. The address is:

EXCEPTIONS
Holders of a Justus van Effen, DRI or Research Theme Excellence Scholarships:
If you are one of these scholarship holder (Not Faculty scholarships!) TU Delft will pay the first invoice of
DUWO, and the handling fee will be deducted directly from your scholarship. We will request an invoice from
DUWO, and process the payment on your behalf. So you need not pay this invoice yourself.
Caution: You still need to register, and reserve a room yourself!
