PREFACE
Thank you for purchasing the Canon Super G3 FAX Board-J1. This manual describes the use of the
Super G3 FAX Board-J1 faxing functions.
Please read this manual thoroughly before operating the Super G3 FAX Board-J1 in order to familiarize
yourself with its capabilities, and to make the most of its many functions. After reading this manual,
store it in a safe place for future reference.

Super G3 is a phrase used to describe the new generation of fax machines


that use ITU-T V.34 standard 33.6Kbps* modems. Super G3 High Speed Fax
machines allow a transmission time of approximately 3 seconds* per page
which results in a reduced telephone line charge.
* Approximately 3 seconds per page fax transmission time based on CCITT/
ITU-T No.1 Chart, (JBIG, Standard Mode) at 33.6Kbps modem speed. The
Public Switched Telephone Network (PSTN) currently supports 28.8Kbps
modem speeds or lower, depending on telephone line conditions.

PRE-INSTALLATION REQUIREMENTS FOR CANON FACSIMILE EQUIPMENT
A. Location
Supply a suitable table, cabinet, or desk. See the Appendix of the Reference Guide for the units
dimensions and weight.
B. Order Information
1. Only a single telephone line (touch-tone or rotary) is to be used.
2. 2. Order a RJ11-C modular wall jack (USOC), which should be installed by the phone company. If
the RJ11-C wall jack is not present, telephone/facsimile operation is not possible.
3. Order a normal business line from your telephone companys business representative. The line
should be a regular voice grade line or the equivalent. Use one line per unit.
DDD (Direct Distance Dial) line
-orIIDDD (International Direct Distance Dial) line if you communicate overseas
Note: Canon recommends an individual line following industry standards, i.e., 2500 (Touch Tone)
or 500 (Rotary/Pulse Dial) telephones. A dedicated extension off a PBX unit without Call
Waiting can be used with your facsimile unit. Key telephone systems are not
recommended because they send non-standard signals to individual telephones for
ringing, or send special codes that may cause a facsimile error.
C. Power Requirements
The equipment should be connected to a standard 120 volt AC, three-wire grounded outlet only. Do
not connect this unit to an outlet or power line shared with other appliances that cause electrical
noise. Air conditioners, electric typewriters, copiers, and machines of this sort generate electrical
noise that often interferes with communications equipment and the sending and receiving of
documents.
CONNECTION OF THE EQUIPMENT
This equipment complies with Part 68 of the FCC rules. On the rear panel of this equipment is a
label that contains, among other information, the FCC Registration Number and Ringer
Equivalence Number (REN) for this equipment. If requested, this information should be given to
the telephone company. (Note: REN is not required for some types of analog or digital facilities.)
This equipment cannot be used on the public coin service provided by the telephone company.
Connection to party lines is subject to state tariffs. (Contact the state public utility commission,
public service commission or corporation commission for information.)
The REN is used to determine the number of devices that may be connected to the telephone
line. Excessive RENs on the telephone line may result in the devices not ringing in response to
an incoming call. In most, but not all areas, the sum of the RENs should not exceed five (5.0). To
be certain of the number of devices that may be connected to the line as determined by the total
RENs, contact the telephone company to determine the maximum REN for the calling area.

An FCC compliant telephone cord and modular plug is provided with this equipment. This
equipment is designed to be connected to the telephone network or premises wiring using a
compatible modular jack that is Part 68 compliant.
(Note: RENs are associated with loop-start and ground-start ports. Do not use for E&M or digital
ports.)
IN CASE OF EQUIPMENT MALFUNCTION
Should any malfunction occur which cannot be corrected by the procedures described in this
guide or the Reference Guide, disconnect the equipment from the telephone line and unplug the
power cord. The telephone line should not be reconnected or the switch turned on until the
problem is completely resolved. Users should contact their local authorized Canon Facsimile
Service Dealer for servicing of equipment.
RIGHTS OF THE TELEPHONE COMPANY
If the equipment (imageRUNNER 3300/2800/2200) causes harm to the telephone network, the
telephone company may temporarily disconnect service. The telephone company also retains the
right to make changes in facilities and services that may affect the operation of this equipment.
When such changes are necessary, the telephone company is required to give adequate prior
notice to the user. However, if advance notice is impossible, the telephone company will notify the
customer as soon as possible. You will also be advised of your right to file a complaint with the
FCC if you believe it is necessary.

and the telephone number of the sending machine or such business, other entity, or
individual. In order to program this information into your facsimile machine, you should
complete the procedure to register your name, unit number, time, and date in Chapter 1.

1. Provide only a signal line touch-tone or rotary telephone set terminated with a standard 4-pin
modular phone plug. (Touch-tone is recommended if available in your area.)
2. Order a CA11A modular jack that should be installed by the phone company. If the CA11A jack is
not present, installation cannot occur.
3. Order a normal business line from your telephone companys business representative. The line
should be a regular voice grade line or the equivalent. Use one line per unit.

C. Power Requirements
The power outlet should be a three-prong grounded receptacle (Single or Duplex). It should be
independent from copiers, heaters, air conditioners or any electric equipment that is thermostatically
controlled. The rated value is 115 volts and 15 amperes. The CA11A modular jack should be
relatively close to the power outlet to facilitate installation.
Notice
The Industry Canada label identifies certified equipment. This certification means that the
equipment meets certain telecommunications networks protective, operational and safety
requirements as prescribed in the appropriate Terminal Equipment Technical Requirements
documents. The Department does not guarantee that the equipment will operate to the users
satisfaction.
Before installing this equipment, users should ensure that it is permissible to be connected to the
facilities of the local telecommunications company. The equipment must also be installed using an
acceptable method of connection. In some cases, the companys inside wiring associated with a
single line individual service may be extended by means of a certified connector assembly
(telephone extension cord). The customer should be aware that compliance with the above
conditions may not prevent degradation of service in some situations.
The Ringer Equivalence Number (REN) assigned to each terminal device provides an indication
of the maximum number of terminals allowed to be connected to a telephone interface. The

termination on an interface may consist of any combination of devices subject only to the
requirement that the sum of the Ringer Equivalence Number of all the devices does not exceed 5.
The REN of this product is 0.3
Repairs to certified equipment should be made by an authorized Canadian maintenance facility
designated by the supplier. Any repairs or alterations made by the user to this equipment, or
equipment malfunctions, may give the telecommunications company cause to request the user to
disconnect the equipment.
Complies with the Canadian ICES-003 class A limits.
Users should ensure for their own protection that the electrical ground connections of the power
utility, telephone lines and internal metallic water pipe system, if present, are connected together.
This precaution may be particularly important in rural areas.
Caution
Users should not attempt to make such connections themselves, but should contact the
appropriate electric inspection authority, or electrician, as appropriate.
Note: This Class A digital apparatus meets all requirements of the Canadian interference
Causing Equipment Regulations.

A. Emplacement

B. Installation tlphonique
1. Cet appareil peut tre install comme un appareil tlphonique clavier ou cadran et doit tre
raccord une seule ligne.
2. Il faut commander un jack modulaire CA11A qui sera install par la compagnie tlphonique.
Sans ce jack, la mise en place serait impossible.
3.Si vous vous abonnez une nouvelle ligne, demandez une ligne daffaires normale de qualit
tlphonique courante ou quivalente. Prenez un abonnement dune ligne par appareil.

Note: Canon vous conseille dutiliser une ligne individuelle conforme aux normes industrielles,
savior: ligne tlphonique 2500 (pour appareil clavier) ou 500 (pour appareil cadran/
impulsions), Il est galement possible de raccorder ce tlcopieur un systme
tlphonique poussoirs car la plupart de ces systmes mettent des signaux dappel non
normaliss ou des codes spciaux qui risquent de perturber le fonctionnement du
tlcopieur.
C. Condition dalimentation
Raccordez le tlcopieur une prise de courant plus terre trois branches, du type simple ou
double, et qui ne sert pas alimenter un copieur, un appareil de chauffage, un climatiseur ou tout
autre appareil lectrique thermostat. Lalimentation doit tre de 115 volts et 15 ampres. Pour
faciliter linstallation, le jack CA11A doit tre assez proche de la prise de courant.

Special Features screen


When you press Special Features from the Fax Basic
Features screen, the Special Features screen appears
on the touch panel display. The Special Features
screen displays special functions available for facsimile
processing. For certain functions, a more detailed
screen appears.
To close the Special Features screen and return to the
Fax Basic Features screen, press Done.
Pressing
(Guide) after selecting a function brings
up the Guide screen containing guidance information.
This is useful when you want to know more about the
function.

By using each of the System Monitor screens, you can


check the status of a sent document, cancel sending,
check the status of a received document, delete a
received document, cancel receiving of a document, or
check the results of transmission.

Chapter 4 Checking and Changing the Fax Status.

Things You Must Do Before Using This Machine


The following registrations must be set before the machine is used for fax operations.

Before You Use the Fax Functions

According to recent amendments to the FCC rules governing the use of facsimile equipment
in the United States, the following sender information must be printed on every facsimile
transmission:
Your fax number
Your personal name or company name
Time and date of transmission
IMPORTANT
If you attempt to use the machine without performing the necessary registrations correctly, the
machine may not function properly.

Setting the Line Type


To set the type of telephone line connected to the machine, check whether it is a rotary
dial (rotary pulse) or a touch-tone type and make the correct setting. (See Selecting the
Type of Telephone Line, on p. 1-7.)

Registering the Sending Record


Register a sending record that is printed at the top of the recording paper in the receiving
machine.
The registered information is printed, as shown below. Depending upon the model of
machine at the receiving side, this information may appear on the display while
communication is taking place.

Senders Name (TTI)


- The name registered as the users name is recorded.
Destination Name (See Storing Various Dialing Functions, on p. 5-13.)
- If you send an original using the one-touch speed dialing, coded speed dialing, or address
book functions, and a name is registered as the sending destination, that name will be
recorded.

NOTE
You can set the machine so that the sending record is not printed, even if each item has been
registered. (See Attaching a Transmission Terminal ID to the Document Being Sent, on p. 5-5.)

If the machine is set so that the sending record is printed at the top of the recording paper on the
receiving side, and not all items are registered, only the registered items and the number of original
pages are printed.

Selecting the Type of Telephone Line


Set the type of telephone line connected to the machine.
If this setting is incorrect, you will be unable to communicate with another machine, so be
sure to check the type of telephone line you are using and make the correct setting.
NOTE
The default setting is Tone.

Setting the Current Date and Time

You can set the current date and time. The date and time set here is also used as the time
setting when required for functions.
- GMT
: The time at the Greenwich Observatory in England is called GMT
(Greenwich Mean Time).
- Time Zone
: The standard time zones of the world are expressed globally in
terms of the difference in hours ( up to 12 hours) from GMT ( 0
hours). A time zone is a region throughout which this time
difference is the same.
- Daylight Saving Time : In some countries, time is advanced throughout the summer
season. The period in which this is applied is called <daylight
saving time>.

Enter the current date (month, day, year) and time with
(numeric keys).

Enter the date, and the time in 24-hour clock as four digits without a space.
Enter all four digits for the year ranging from 2000 to 2038.

Press End Date and make the settings in the same way as the above.

NOTE
When you make the Daylight Saving Time settings, the machine automatically sets the
standard time of the machine one-hour forward at the specified date and time.

The default setting is Off.


You can also set the time with
(numeric keys).
The time can be set from 0 to 23 (in one-hour increments).

You can register the telephone number that you use with this machine. When you fax a
document, the receiving fax machine includes this telephone number in the sender
information on the recording paper.
Some fax models also display sender information on the touch panel display during
transmission.

Space: Used to insert a space between the area code and the local telephone number.
+: Used to insert a country code. Press after the country code, and before the telephone
number.
Backspace: Used to delete the character immediately in front of the cursor.
The telephone number can have up to 20 digits.

If the number is not entered correctly, press
(Clear), and enter the correct number.
Press Cancel if you want to cancel registration.

Press Done.

Registering the Name of the Company and Department


Your name or company name must be registered as the unit name (a department name is
optional).
For example:
- Your name: John Doe
- Company name and department: Canon-Accounting Dept.
When you fax a document, the receiving fax machine will print your name or company name
(and department name if available) in the sender information on the recording paper.
Some fax models also display sender information on the touch panel display during
transmission.

Registering Senders Names


You can register an individual name, as the senders name. Register the senders name
when you want to print a name other than the units name as the senders record on the
recording paper.

Printing the senders name, instead of the units name, on the senders record can be set using the
Senders Names mode from the Special Features screen. (See Sending a Document with the
Senders Name Printed on the Recording Paper (Senders Names (TTI)), on p. 3-14.)

The machine cannot always detect the size of the original if it is a non-standard size or a
solid object, such as a book. In such a case, specify the size at which you want to scan the
original. (See Specifying the Scanning Size of the Original (Document Size), on p. 3-19.)

If prior jobs are being processed, your document will be sent once they are complete.
Remove the original when the scanning is complete.
If the optional control card is being used, remove the control card. (See the Reference
Guide.)

NOTE
The machine usually sends documents through memory transmission (sends an image after
storing it in memory). You can also send one by one, by pressing Direct. (See Sending an
Original While It Is Being Scanned (Direct Sending), on p. 2-15.)
The memory can hold a total of about 3700 sending and received documents. (This figure is
based on the use of ITU-T No.1 chart, standard setting.)
Use the System Monitor screen to check the TX (Transmission) result and cancel documents
that are being sent or waiting to be sent. (See Chapter 4 Checking and Changing the Fax
Status.)

Sending an Original
Place the original in one of the following positions, depending upon the size and type of the
original, and mode to be used.

Feeder
Place a stack of originals in the feeder, and press
(Start). The machine automatically
scans them into memory. You can also automatically reverse a 2-sided original and fax
both sides.

Document Sizes Used When Sending


The size of the original is automatically detected, and the document is scanned. However, if
the output paper in the machine at the receiving end is not equal to the scanned size, the
original image is either reduced in size to match the size of the output paper at the receiving
end, or is divided into parts before being sent.
The machine cannot always detect the size of the original if it is a non-standard size or a
solid object, such as a book.
In such a case, specify the size at which you want to scan the original. (See Specifying the
Scanning Size of the Original (Document Size), on p. 3-19.)

Platen glass
When a feeder is not attached, place the original on the platen glass. Place the original on
the platen glass when scanning bound originals, originals of heavy or lightweight paper, or
transparencies.

Orientation of Originals
You can place the original either vertically or horizontally. Always align the top edge of your
original with the back edge of the platen glass (top left corner by the arrow) or the feeder.

IMPORTANT
If the top edge of the original is not aligned with the back edge of the platen glass (top left corner by
the arrow), prints may not be made correctly, depending on the mode you have set.

If an original is scanned facing the wrong direction, the sender information will not be printed at the
correct position on the fax.

NOTE
LTR and STMT-size originals can be placed either vertically or horizontally. However, the scanning
speed for horizontally placed originals is somewhat slower than for vertically placed originals.

You can place originals horizontally when printing with Preset Zoom mode, such as when processing
LTR

11" x 17".

Horizontally placed LTR and STMT-size originals are referred to as LTRR and STMTR.
11" x 17" and LGL-size originals must be placed horizontally.

Setting the Resolution, Density, and Image


Quality to Match the Original
To ensure that a received fax is easy to read, set the resolution, density, and image quality to
match the originals you are sending.
NOTE
You can set the resolution, density, and image quality to levels that you use frequently. (See
If originals that are dark and difficult to see, or originals that are faint and difficult to see, are scanned
frequently, it is recommended that you set the standard density in advance. (See Setting the
Standard Density for Scanning Documents, on p. 5-8.)

Mode settings that are specified before originals are sent, return to their default settings when
scanning ends or the preset Auto Clear time is reached.

Although originals sent with the Fine, Superfine, Ultrafine, Photo, or Text/Photo modes have
enhanced clarity, transmission may take longer with these than with the normal mode.

The default settings are as follows:


- Resolution: Standard
- Density: Standard
- Image Quality: Text

Resolution - the following settings are available:


Standard: Use when the characters are larger than newspaper type.
Fine: Use to send originals in twice the detail of the Standard mode.
Superfine: Use to send originals in four times the detail of the Standard mode. If the
receiving fax does not support this mode, the document is automatically sent in the Fine
mode.
Ultrafine: Use to send originals at 16 dots/mm x 15.4 lines/mm. If the receiving fax does
not support this mode, the original is automatically sent in the Superfine or Fine mode.
NOTE
When using the Ultrafine mode with the Image Quality mode set to Photo, some originals may
transmit slowly.

If the receiving fax does not support the Superfine or Ultrafine modes, the originals are sent at the
resolution of the receiving fax.

Density
Dark/Standard/Light: Select the option that best matches the original.

Image Quality
Text: Use to send originals that contain mainly text.
Text/Photo: Use to send originals that contain text and photographs or other images with
half-tones.
Photo: Use to send photographs or other images with half-tones enhanced.
NOTE
The Text mode requires the least time, followed by the Text/Photo and Photo modes.

Selecting the Sending Method


This machine can send originals in two ways: Memory Sending and Direct Sending. It is also
possible to stamp sent or scanned originals.
NOTE
If a paper jam occurs in the feeder while the original is being scanned, transmission is canceled. To

resend, repeat the faxing procedure.

Memory Sending
Sends the documents after they have been scanned into the machines memory.
Direct Sending
Sends the documents directly, without storing the data in the machines memory.

Sending an Original After It Has Been Scanned (Memory


Sending)
All of the originals to be sent are first scanned and read into memory, then sent.
This means that you do not need to stay near the machine once the originals have been
scanned.
Memory sending takes place unless direct sending is specified.
NOTE
The memory can hold a total of about 3700 pages for sending and received documents.
If the memory becomes full, delete unwanted received documents using the System Monitor screen.
(See Chapter 4 Checking and Changing the Fax Status.)

The display returns to the Fax Basic Features screen after the scanning is complete.
During transmission, the transaction number, destination telephone number, and page
number currently being sent, are displayed in the message area.

While the destination machine is being called, the telephone number of that machine, the
transaction number, and <Calling...> are displayed in the message area.
If the transmission completes normally, <Done> is displayed for a few seconds in the
message area.

If there is no response from the receiving fax or a transmission error occurs, the machines
Automatic Redial feature automatically attempts to send the document again. Under the
default setting, Automatic Redial is carried out twice at two-minute intervals. (See Setting
Auto Redial, on p. 5-31.)
If you cannot send the document after the Automatic Redial, check the destinations
telephone number. Then place the original again, and resend it.
If you want to cancel sending or the standby status of a document that has been scanned,
use the System Monitor screen. (See Canceling Transmission, on p. 4-2.)

IMPORTANT
You can specify only one destination at a time. You cannot specify simultaneous sending to
two or more destinations, such as Group Dialing.

Memory sending is automatically selected when Delayed Transmission or Sequential


Broadcast Transmission is specified. When you send a number of originals from the feeder,
the originals are sent while they are being scanned.

Press

(Start).

As soon as transmission is possible, the original is scanned and sent while scanning is
taking place.
After the original has been sent, the display returns to the Fax Basic Features screen.
During transmission, the transaction number, destination telephone number, and page
number currently being sent are displayed in the message area.
When sending ends normally, <Transmission OK> is displayed in the message area for
several seconds.
After the original has been sent, Direct Sending is canceled automatically.

NOTE
To cancel transmission, press Cancel or

(Stop). Scanning and transmission of


documents are canceled from the time you cancel the transmission.

The machine can print a stamp about 1/8" (3mm) in diameter on the front side of scanned or
sent originals. You can set the Stamp mode to differentiate scanned or sent originals.

The functions of the keys displayed when entering the other partys number are as follows:
- Backspace: Press when a wrong number is entered. The last number entered is deleted,
enabling you to enter the correct number.
- Pause: Press to insert a pause of several seconds in the telephone number that you are
dialing. If you insert a pause, the letter <p> is displayed between the numbers, and also
the letter <P> appears at the end of the number. When dialing an overseas number, insert
a pause after the access number, and also at the end of the telephone number. (See
Setting the Pause Time, on p. 5-30.)
- Tone: Press when directly calling an extension line connected to a Private Branch
Exchange (PBX) that accepts only push signals from a dial line.
- Next: Press to specify another destination after specifying the first destination using the
numeric keys. (See Specifying Two or More Destinations, on p. 2-26.)

Keys
This mode enables you to specify the last destination that was dialed using the numeric keys.
This feature comes in handy when sending several documents to the same destination.
NOTE
If you specified more than one destination using the numeric keys, you can only redial the last
destination specified.

You cannot redial a destination that you specified using One-touch Speed Dialing or Coded Speed
Dialing.

Receiving a Faxed Document

Paper on Which Received Documents are Printed


Received documents are printed on paper from the paper drawer that has the same size
paper as the received document.
If paper of the correct size for the received document is not available, the machine
automatically selects a different size of paper in the following order.
The size of paper is automatically selected in the same order, even if paper runs out during
printing.

The sizes of paper on which a received document can be printed are 11'' x 17'', LGL, LTR, LTRR,
STMT, and STMTR.

If you want to print an incoming document on the paper placed in the stack bypass, select paper
other than Envelopes. (See the Reference Guide.)

NOTE
You can specify whether or not to use a paper drawer for the Fax function. The default setting is On,
except for the stack bypass. (See the Reference Guide.)

You can set the machine to reduce received documents to 75%, 90%, 95%, or 97% if the document
is larger than any of the available paper sizes. (See Printing Received Documents in Reduced
Form, on p. 5-39.)

You can set the machine to print received documents on both sides of the paper. (See Two-sided
Printing of Received Documents, on p. 5-42.)

Received documents are printed face down, in the order in which the pages are received.

received document is stored in the memory instead of being printed, and Transfer, in which

When there is no paper on which the received documents can be printed, the received

The memory can hold a total of about 3700 pages for sending originals and receiving
documents. (This figure is based on the use of ITU-T No.1 chart, standard setting.)

Documents stored in memory due to lack of paper are automatically printed when paper is
loaded in a drawer.

Communications Using the Subaddress


(Subaddress)
To send or receive documents to and from a fax machine using subaddresses and RX
passwords defined in the ITU-T standard (ITU-T is a committee within the International
Communications Union, established to set communications standards), the subaddresses
and RX passwords must be dialed in addition to the telephone numbers. By using a
subaddress, you can carry out communication with another manufacturers machine that
supports the subaddress function, for example, using the Memory Box function.

Dialing with a PIN Code


The PIN (Personal Identification Number) code prevents unauthorized personnel from
making calls. To protect privileged access to the telephone lines, only authorized users are
entrusted with the PIN codes for daily operations. Some Private Branch Exchange (PBX)
systems require that a PIN code be entered when dialing a number to make a call or send a
document by fax. Depending on the requirements of the PBX system, the PIN code may be
entered either before the number as a prefix, or after the number as a suffix.

Specifying the Time to Send a Document


(Delayed TX)
The machines Delayed Transmission mode allows you to scan documents into memory, and
send them at a later time. This enables you to send faxes during time periods that have lower
telephone rates.
You can reserve up to 64 delayed transmission operations.
NOTE
When a Delayed Transmission is complete, the documents in memory are automatically erased.
You can check the sending status, or cancel the sending of documents scanned and stored in

Types of Memory Boxes and How to Use Them


An explanation is given below that contains the reason for using and the operation
procedures for each type of memory box.
There are three types of memory boxes: Confidential Memory Box, Relay Memory Box, and
Batch Sending Memory Box.

Using the Confidential Memory Box


The Confidential Memory Box is used to receive confidential documents. The other party
must specify the subaddress and the RX password of the target Confidential Memory Box so
that the remote machine can send the documents to it. You must enter the password if you
want to print the stored documents.
Confidential Memory Box

The subaddress and RX password are set, and the


documents are sent to the Confidential Memory Box.

Enter the password,


and print the document.

NOTE
When you want to use a Confidential Memory Box, first set the Confidential Memory Box, and inform
the remote machine of the subaddress and RX password of the Confidential Memory Box. However,

Using the Relay Memory Box


The Relay Memory Box is used to send documents received by this machine to a number of
destinations.
When documents are to be sent from a remote machine to this machine and also a number
of fax machines nearby, you can route the documents from the remote machine to the other
machines via this machine. In this way, you need only perform long distance communication
once, thus saving on communication costs that would otherwise be incurred.
You can specify the time at which you want to send documents from this machine, thus
enabling you to select a time period when communication costs are low or when the line is
not busy.

Using the Batch Sending Memory Box


The Batch Sending Memory Box is used to send non-urgent documents to specific
destinations at specified times each day.
Since the machine can send several documents at once, this reduces the time it takes to
send the documents and so reduces transmission costs. You can reduce costs even further
by setting the machine to transmit during a time period with low telephone rates.

Sending a Document with the Senders Name Printed


on the Recording Paper (Senders Names (TTI))
When the senders name is stored, that name is printed in the sender information on the fax,
instead of the unit name.
You can register up to 99 senders. By registering individual names, for example, you can
send documents to various destinations with different senders names printed at the top of
the recording paper of the receiving machine. (See Registering the Name of the Company
and Department, on p. 1-13, and Registering Senders Names, on p. 1-14.)

If you set the TX terminal ID to Off, the senders name is not printed on the recording paper of the

The machine automatically receives and print documents. With the Memory Lock or Transfer
function, you can also set the machine to receive a document temporarily into memory or
transfer it to another machine.
The set RX mode appears on the touch panel display, and remains active until a different
mode is set.

This mode stores received documents into memory without printing. When the machine is
in the Memory Lock mode, documents are stored in memory, and printed when the
machine is taken out of the Memory Lock mode.

This setting is available only when the feeder is attached. If the original is placed on the platen glass,

Specifying the Scanning Size of the Original


(Document Size)
This mode enables you to specify the originals scanning size. The machine automatically
detects the document size so it can scan the original properly. However, the size of some
originals (such as 3-D objects or non-standard sizes) cannot be automatically detected, and
you need to specify the scanning size manually.
This mode also enables you to store two non-standard sizes that you frequently use to send
documents.

This mode enables you to scan and print documents under the same conditions as when
they are sent. This enables you to get an idea of how the document will look on the receiving
fax before you actually send it.
NOTE
Since the documents appearance depends on the receiving fax machine, it may look different from

glass.

Sending Reduced or Enlarged Documents


(Zoom TX)
This mode provides you with two ways to send scanned originals at a reduced or enlarged
size: reducing/enlarging documents at standard ratios, or by % increments.
Reducing/Enlarging Documents at Standard Ratios:
Use this method to reduce or enlarge documents at standard ratios.
Reducing/Enlarging Documents by % Increments:
Use this method to reduce or enlarge documents at any ratio in 1% increments.
NOTE
Even if you specify the size of the document you are sending, it may be printed on a different size
paper if the receiving fax machine does not have the size of paper set from your fax machine.

Using Fax Information Services


Many fax information services for banks, airline reservations, hotel reservations, etc., require
tone dialing for their services. If your fax is connected to a rotary pulse line, follow this
procedure to set the fax temporarily for tone dialing.

Sending Jobs
This section gives an explanation to check and change fax jobs. Please read Chapter 2
Checking Job and Device Status in the Reference Guide as well.

Canceling Transmission
You can cancel the transmission of a job after it has been scanned, while it is being sent, or
when it is ready to be sent.
NOTE
If you want to cancel sending while an original is being scanned, press Cancel on the touch panel

You can check detailed information on the documents stored in memory, and
erase or transfer the documents to another fax machine.

You can erase a Memory Lock job from the RX Job Status screen.

Features screen is displayed whenever you use Fax functions, this is convenient for
registering frequently used functions.
The default setting is No Settings.

Attaching a Transmission Terminal ID to the Document


Being Sent
You can specify whether or not to attach a transmission terminal ID when sending a
document. The transmission terminal ID is printed at the top of the sent document.
Your telephone number, name, time, day, and date are printed, enabling the receiving party
to know who sent the document.
IMPORTANT
In the United States, this setting must be On. Please see p. iv and p. 1-6 for details on FCC rules
governing the use of facsimile equipment in the United States.

NOTE
If you set the transmission terminal ID to On, you can set the position that the transmission terminal
ID appears on the recording paper, and also set a telephone number mark.

The default settings are as follows:


- TX terminal ID: On
- Transmission terminal ID position: Outside
- Telephone number mark: Fax

- Outside: This prints the transmission terminal ID outside the image area on the output
fax.
- Inside: This prints the transmission terminal ID inside the image area on the output fax.
Telephone number mark:
- FAX: This prints the letters <FAX> before the telephone number.

Setting the Standard Density for Scanning Documents


You can set the scanning density for an original as the standard density of the Fax Basic
Features screen. This function enables you to set the standard density in advance when you
frequently scan originals that are either too dark or too light to see clearly.
NOTE
The resolution (fineness of the image) remains unchanged when you change the density.
Set the resolution when you want to send a complex and detailed original. (See Setting the
Resolution, Density, and Image Quality to Match the Original, on p. 2-9.)

The default setting is in the middle on a scale of 1 to 9.

Storing Various Dialing Functions


The telephone numbers of destinations that you frequently call can be stored in Group
Dialing and One-touch Speed Dialing.

Storing a Telephone Number in One-touch Speed Dialing


You can store the telephone number and name of the destination in One-touch Speed
Dialing.
By storing destinations in One-touch Speed Dialing, you can easily specify a destination
when sending an original.

IMPORTANT
If you change the contents of a One-touch Speed Dialing key when a document that you sent using
this key is sending or waiting to be sent, the change becomes effective the next time that you dial
that destination.

NOTE
You can store up to 200 destinations (001 to 200) in One-touch Speed Dialing.
When storing a destination in One-touch Speed Dialing, you can set transmission functions, such as
the sending time, set speed and subaddress, in addition to the telephone number and name.

The number for One-Touch Speed Dialing is used as the number for Coded Speed Dialing.

Detailed Settings When Storing Destinations in One-touch


Speed Dialing
When storing a destination in One-touch Speed Dialing, you can also store various
communication functions. The following modes can be stored with detailed settings:
Send Time
If you set the transmission time, a document that has been read into memory is
automatically sent at the specified time.
Sending Speed
If you send at 33600bps but find that communication errors occur frequently, try
changing the sending speed setting to 14400bps, 9600bps, and 4800bps in this
sequence.
Long Distance
Set Long Distance (1) if communication errors frequently occur when you make
overseas calls (when the overseas telephone number is registered). If the errors persist,
try setting Long Distance (2) and Long Distance (3) in this sequence.

Subaddress and Password


You can store a subaddress and a password that conform to the ITU-T standard. Set a
subaddress and a password when sending or receiving a document to or from a memory
box that uses the ITU-T standard.
ECM TX
You can send the document by Error Correction Mode (ECM) method. ECM method
automatically modifies the errors of the sent image.
NOTE
The default settings are:

Long distance: Domestic

Group Dialing setting.

To store destinations in a Group Dialing setting, you must first store them as One-touch Speed
Dialing or Coded Speed Dialing destinations.

Setting the Pause Time


This section describes how to set the pause time (in seconds).
Some overseas dialing may not be successful due to the distance or complex route for
connections when you dial the international access code, country code, and the destination
number all together. In such cases, insert a pause after the international access code. Then
the machine dials the number with a short waiting time where the pause is inserted, which
helps improve the connection.

You can set the number of received documents to print and the method of printing them.

Specifying the Method of Printing Received Documents


This setting controls how printing is performed when the machine has no paper matching the
size of the received document.
There are four printing methods (switches A, B, C, and D):

Switch B: Received documents are printed with an added blank space on paper that has
the same width as the received document.

Switch A: Sections of an image are printed on two sheets of paper that have the same
combined size as the received document.

Switch C: Images are reduced and printed on paper that differs in width from the received

Setting 2 On 1 Log
This feature enables you to print two received documents on a single sheet of paper in the
same paper series.
This function operates under the following conditions:
The same paper drawer must be used for printing two or three consecutive pages of a
received document.
The paper in the selected paper drawer must be large enough for two consecutive pages to
be printed on it.
- Example: If the LTR drawer is empty, and the 11" x 17" drawer has paper, you can print
two LTR documents onto a single sheet of 11" x 17" size paper.
NOTE
When 2 On 1 is set to On, documents printed using 2 On 1 are typed with a broken line in the
middle. When a document is received with sender information included, a dotted line is printed
between the two pages.

The default setting for 2 On 1 Log is Off.

Setting the Confidential Memory Box


A Confidential Memory Box is a dedicated receiving memory box that can restrict the users
accessing it. You can use a Confidential Memory Box to receive important documents that
you do not want unauthorized persons to see. (See Using the Confidential Memory Box, on
p. 3-10.)
A document received in a Confidential Memory Box cannot be printed unless the password
set in it is entered.
You can specify the following items for a Confidential Memory Box.

A Relay Memory Box is a memory box that enables documents received from a number of
parties to be relayed to specified destinations via this machine.
You can set the relay start time, and relay the documents in the memory box all at one time.

Setting the Batch Sending Memory Box


The Batch Sending Memory Box enables you to send documents that have been read into it,
to a specific destination at a specific time each day. (See Using the Batch Sending Memory
Box, on p. 3-12.)
By setting the sending time to a time when the communication charge is low, you can reduce
communication costs.
You can specify the following items for the Batch Sending Memory Box.

Setting Fax Management


This section describes settings that the system manager can make, including how to set the
send start speed, receive start speed, RX mode, and register a password. It also describes
how to set, change, and erase settings for transferring received fax documents, and how to
enable or disable certain settings.
IMPORTANT
When a system setting ID has been selected, the screen for entering the ID is displayed after
pressing System Settings. Enter the ID, and make the settings.

Setting the Send Start Speed


This function enables you to change the send start speed when it takes too much time to
start sending a document.

Automatic Transfer of Received Documents


You can transfer received documents to another fax machine.
If you want to use the transfer function, you must first set the transfer destination.
You can also set the day of the week and the time, enabling documents sent to your
company at night or during a holiday to be transferred to your home.
IMPORTANT
When this function is set to Off, the transfer of documents does not take place.
You can only transfer documents that are received in the normal way.
Documents that are received to a memory box are not transferred.
NOTE
You can set the machine so that it only transfers documents from a specific remote machine (Select
Original Unit).

If the telephone numbers of the transfer destinations or the transfer source (original unit) machines
are not stored in One-touch Speed Dialing, store them there.

The default setting for the transfer function is Off.

Saving Received Documents to Memory


You can set the machine so that received documents are stored in memory, without being
printed.
You can print documents in memory by first canceling the Memory Lock setting.
NOTE
The default setting is Off.

If you set a password, it is necessary to enter the password whenever you want to change

There is no method of verifying the set password, so do not forget it.

Setting PIN Code Access


If your PBX requires a PIN (Personal Identification Number) code to get an outside line, your
machine can be set to prompt the user to enter the PIN code before any dialing.
NOTE
If the PIN Code Access is set to On, the machine automatically displays a screen to enter the PIN
Code when you press the Start key.

The default setting is Off.

Suffix: If your PBX always requires a PIN Code after the destination, select Suffix.

Setting the Receiving Password


This function enables you to set an ITU-T standard password.
If a subaddress is not set in a document that was received from another party using the ITUT standard, an RX password check takes place.
If the RX password found does not match the RX password set with this function, or if an RX
password is not attached to the document, the document is not received.
IMPORTANT
When receiving a document by specifying a memory box, the password of the memory box will take
precedence over an ITU-T standard password.

NOTE
ITU-T: This is the department which sets communication standards, such as those of the
International Telecommunication Union.

Setting the Output of a Communication Report


This machine can automatically output a receiving/sending results report and a memory box
receiving/sending report.
NOTE
The Report Settings screen is made up of several screens. Use or to scroll to the desired
screen and make the required settings.

When or should be pressed, the indication

is displayed in this manual.

Setting Automatic Output of a TX Report


The TX report enables you to check whether or not the documents were sent correctly to the
intended destination. A sending result report can automatically be printed after documents
are sent. You can also set the machine to print a TX report only when a transmission error
occurs.
NOTE
For an example of a Transmission report, see Appendix, on p. 9-1.
The default setting is For Error Only.

The Activity report is a list which enables you to check the results of sending and receiving

Separate). You can also print an Activity report at a specified time (Daily Activity Report Time).
NOTE
For an example of an Activity report, see Appendix, on p. 9-1.

streaks appear, clean the platen glass. (See the Reference Guide.)

: Set Density to Dark and Image Quality to Text before sending the document.

only from senders that use the correct password.

: Is there sufficient available memory?

increase the amount of available memory. (See Erasing Received Documents

Quality of printed originals is uneven.

: Insert a pause after the access number of the telephone company that you want

If an error occurs during sending or receiving, one of the following messages appears on the
touch panel display. Error codes are displayed in fax status lists, communication result lists,
detail lists, communication reports, and activity reports.

resolution at which the document is scanned, or divide the document into two or

: You could not receive documents because there was no memory available.

Remedy

: Erase error documents or unwanted documents in order to make memory

Questions & Answers


Q: I want my machine to automatically redial the remote party if it cannot make a
connection the first time.
A: Set Auto Redial from the Additional Functions screen. You can also perform detailed settings such
as the redial times and the redial interval. (See Setting Auto Redial, on p. 5-31.)

Q: What happens to documents that are sent to my machine while the power switch on
the control panel is OFF?
A: These documents are automatically received and printed when all documents have been received.

Q: What happens if a document arrives while my machine is copying?


A: You need not do anything special. While you are making copies, the document is automatically
received and stored in the machines memory, and will print automatically when you finish copying.
You can change the order in which these documents print. (See the Reference Guide.)

Q: I frequently send documents in the Fine mode. How do I set my machine to always
return to the Fine mode after the power is turned ON or when communications have
finished?
A: You can set the resolution, image quality, and density to the desired condition (mode), and register
these settings as the Standard Mode. (See Changing the Fax Function Standard Modes, on p. 5-10.)

Q: What happens to received fax documents if a paper jam occurs while they are
printing?

Troubleshooting

A: If documents are not printed correctly, they are held in memory. When the paper jam is cleared,
printing resumes from the page at which the paper jam occurred.

Q: What happens to documents in memory and the memory settings if power is


interrupted?
A: Documents remain in memory if power is interrupted. Stored destination details also remain in
memory. However, note that if power is interrupted while a document is being received, that
document is not stored in memory.

Q: How can I save paper?


A: This machine enables you to print received documents on both sides of the paper. (See Two-sided
Printing of Received Documents, on p. 5-42.)

Q: Can I turn the power OFF even after setting timer transmission?
A: When you are not using the machine, you may turn OFF the control panel power switch on the control
panel, but leave the main power switch turned ON. Documents for which timer transmission has been
set are automatically sent from the memory of this machine when the specified time is reached.

result of communication, and so on, to enable you to check whether or not the documents
were sent correctly to the intended destination.
You can set whether or not to automatically print a sending result report after sending
documents by Fax. (See Setting Automatic Output of a TX Report, on p. 7-3.)
You can also print a TX report with an image of the sent original attached to it. (See Setting
