Communication Series

Communication between two persons is done by various methods. We will


discussed here some of the main methods. Mainly communication is done by the
two methods
a) Verbal
b) Written
In both the methods one has to take all precautions that, what he/she wants to
communicate is transmitted to convey the message properly and the recipient is
able to acknowledge. Here we will discuss 7 C of communications.
1. Clarity (Keep it simple) First of all you should know what you want to
communicate. This clarity of purpose of the communication is must. Once
purpose is clear, then only communication should be initiated. In case of
writing letters or emails, Subject should contain the purpose of the
communication.

2. Cohesive (Coherent) The communication should be connected to the


subject and purpose of the communication. Cohesive and coherent
communication always logical.

3. Compendious (Concise) The communication should be to the point and it


brief. If clarification or explanation is asked, then only elaborate.
Compendious communication is always good and takes less time for the
reader to understand and respond.
4. Concrete (Specific) Be concrete and specific to the subject of the
communication. Concrete message give a clear picture of what you want to
communicate. Present the facts pertaining to the objective of the
communication.

Dear Jack,

Dear Jack,

I have been telling you every time


when you place the order to send all
the details pertaining to the order.
But I am finding that you are not
following the advice. This is a bad
habit. I dont know what kind of
person you are. Why dont you
follow the instruction?

Please send all the details related


to the orders and follow the
instructions every time you place
the order.

5. Correctness (Accurate) The information and data should be doubly
verified before presentation. Grammatical error should be prevented by rechecking the message. Data accuracy impacts the communication
effectiveness and action by the respondent.

6. Completeness (Plenitude) Start the communication from the initial point
to the final point. All the aspect on the subject of the communication
should be taken care off. More the supporting and evidences, more will be
the understanding of the respondent and the response will be accurate and
in congruent to the subject.
7. Courtesy Communication should always be courteous. Take care that
your communication defines the subject and doesnt personify. All care
should be taken that you communication doesnt hurt the feeling of others.

Hi Jack,

I need the revised report by 11 am Thanks for the report. I need few
tomorrow, or I will miss my meeting changes in the report. Please
with the Director. Get it done.
