HOW TO COMPLETE THE APPLICATION FORM AND SUBMIT THE APPLICATION PACKAGE?
ELIGIBILITY OF APPLICATIONS
Applications must meet the following criteria:

Applicant must meet the general admission requirements (diploma, language, solvability and insurance).
Applications are received within deadline.
All personal information must be written as it appears in your international passport.
Applications are accepted only in English.
The application form is completed to the best knowledge of the applicant.
The application must be dated and signed (by hand). By completing, signing and dating the application form the
applicants accepts all admission requirements.
Applicant can submit only one application. If an applicant submits more than one application, only the first one will
be registered and considered.
All required documents are enclosed in the application package (see checklist).
Incomplete applications will not be considered.

EVALUATION AND SELECTION OF APPLICATIONS

The International Admissions Desk will review all incoming applications according to the general admission
requirements and will verify if all the correct documents are enclosed.
All eligible applications will be forwarded to the Faculty that organises the study programme.
The Faculty Board (or delegated) will formulate an advice on the academic admission of the applicant.
The application file will be returned to the International Admissions Desk.
The Desk will update the applicant on the outcome of the application by sending the rectors final decision by official
letter or e-mail (be it a letter of admission or a letter of denied admission).
This procedure takes on average 3 months from the moment the International Admissions Desk has received the
complete application package.

LANGUAGE REQUIREMENTS
Carefully check the medium of instruction in the online course catalogue (additional information) for the language
requirements and medium of instruction of the programme.

CHECKLIST OF ENCLOSED DOCUMENTS


Before submitting your application, make sure that you have all required documents:

A legalised copy of the basic diploma (i.e. the diploma on which the admission would be based) and its
transcript of records (report card results of each academic year). These should bear the original seals
and stamps from the Belgian Embassy. If your country is party to the The Hague Treaty, an original
Apostille is required. For more information on the correct legalisation procedure applicable to you:
Federal Public Service for Foreign Affairs, Foreign Trade and Development Cooperation ;
Please note that if your basic diploma is a Master diploma following a Bachelor diploma, you are
required to provide all transcript of records for each academic year of both Bachelor and Master.
Applications submitted WITHOUT legalised diplomas will not be accepted.
If these documents are not in Dutch, French, German or English, you are required to enclose an official
translation (by a sworn translator)
A proof of Dutch/English proficiency. Check the online course catalogue for the medium of instruction.
This document should be submitted at the latest at the time of enrolment.
A document explaining the grading/credit system of the school where you have obtained your basic
diploma.
If required, reference/recommendation letters in a sealed envelope.
Document with any additional information.

Chinese students applying on the basis of a Chinese diploma: an original APS certificate. When the
original APS is submitted, the applicant is exempt from submitting legalised copies of the basic
diploma and transcript. A notarised copy will suffice.
If you are a political refugee: an original letter stating that you are a political refugee. Such a
document can be obtained at your municipality in Belgium.
If you are applying for the Master of Nuclear Engineering: a list of the courses followed during the
university studies. A short description of the content of the following courses: mathematics and
physics.

Any changes such as contact details, should be communicated to admission@UGent.be immediately.


Make sure to mention your name on all correspondence.
Only one e-mail address should be used by the applicant during the procedure.
Check if the programme you are applying for has specific requirements or a specific application
procedure.
