Mobile Phone Policy

Details
Policy Statement:
It is the policy of AAA to provide mobile phone facility to its employee.
Scope:
Permanent and Temporary Employees.
Eligibility:
1. For the purpose of this policy the term Mobile Phone Facility refers to:
Mobile Phone Connection Cost: Covers the security deposits and cost of initial
connection charges (SIM Card) for both pre-paid and post-paid billing packages.
Mobile Phone Bill: Covers the monthly billing/ reimbursement of the relevant
connection up to the prescribed limit
Limitations:
1. AAA reserves the discretion for selection of the mobile phone service provider for all
post-paid mobile phone connections. Pre-paid connections may be from any service
provider as per individual discretion.
2. The company determines the mobile phone credit limit for post-paid connection on the
basis of position requirement and frequency of usage.
3. The company only provides for the connection and billing charges as described above.
Cost of handset is to be home by the employee.

4. The post-paid mobile phone connections are preferably to be registered under AAAs
name for direct billing however this not mandatory. Deductions are accordingly made
directly from the employees salary in case of billing amount excess of entitlement.
5. In the event of employee separation, if any employee wishes to retain the mobile phone
connection, the ongoing connection charges exclusive of the security deposit shall be
deducted from the employees full and final settlement amount if the same was paid by
the company initially. The employee should settle the security deposit amount directly
with the service provider.
6. In case of theft/ misplacement/ damage of SIM card, the HR department must be
immediately informed for replacement and fulfillment of other formalities.
7. International call roaming requires advice to the service provider from the company
and this facility is only extended to employees who require this facility for the course of
official business.
8. AAA reserves the right to scrutinize and individuals itemized billing statement for the
purpose of determining the frequency, duration, timings and cost of phone calls made for
official business.
9. Mobile phone facility is provided for positions as per the table stated as under,
however exceptions can occur as per position requirement and entitlements may be
altered accordingly:

* Limit / facility only applicable on need basis. (Limit excludes prescribed packages line rent).
10. In case of mobile phone billing over the prescribed entitlement due to official
business, the request for coverage can be made to the HR department through the
Supervisor / Line Manager.
11. Multiple connections are only made available to the Directors for ease in carrying out
official business.

Procedure:
1. The HR department upon receiving advice from the respective department for issuance
of mobile phone connection (post-paid or pre-paid) will issue out a letter to the employee
confirming the provision of facility along with the entitlement and will simultaneously
contact the service provider for provision of the service (if required). Upon receipt of
connection, the HR department will inform the respective employee for receipt of SIM
card/ related documents.
