You can place your company logo to the right hand side if you wish. This listing should go at the bottom of your
press release.

Photos in press releases


If you wish to include photo(s) in a press release you send out, please be cautious. Journalists request "pics" or
"no pics" on the media list which is sent out by the Fringe Office - pay attention to this, and only send a press
release with photos to journalists that request "pics".
When including photos in a press release it is a good idea to either provide a link to your photos, or provide them
as thumbnails and state the journalists can contact you for full size photos. If you send a press release out with
full size photos it will be a very large email and fill up the inboxes of the journalists you are sending to, which
they may find irritating!

Using the Media Contacts List


Use the media contacts list to send out your press release. The media contacts list is released by the Fringe
Office every year - check you get it. It is a list of most of the journalists and publications that will be covering the
festival each year. It gives you contact names, addresses, email addresses, phone numbers, fax numbers,
preferred contact method, type of show they will cover, pics or no pics and occasionally an extra note (eg. one
release per email please). You are well advised to pay attention to their requests!
Once the media contact list has been released, we suggest taking half an hour to sit down and filter out the
contacts that will be useful to you, bearing in mind the genre of your show (ie. don't send a release about a
comedy show to a dance critic!). It would also be good to consider the timescale of the publication. There's not
much use sending a news release in the middle of August to a quarterly publication, as the festival will be
finished before their next issue is published!

Poster / flier artwork


This should be with us by 15th April for approval. You need an approval code from us. Please see our print
specifications below. We are happy to offer advice if you need a hand just let us know. Please use the front
and back of a flier it only makes a tiny difference to price, and makes a huge difference to the effectiveness of
your flier as a marketing tool. All posters and fliers must be portrait, not landscape.

Print and Venue Logo Guide


To help you, we have put together a little print guide on how to make your publicity every bit as good as your
show. If you dont understand any of it please contact us rather than risk an error. We will supply you with
several print templates of your shows venue logo which contain standard information and makes every show at

the venue look neat, tidy and maintains the venues quality image. These logos will be sent to you soon.
Getting your artwork perfect can take a while so dont finish with your designer until you have an approval code
from us!
We recommend you do your artwork on Photoshop as it is the standard format that printers tend to use.
Format of your artwork
Printers use CMYK format not RGB ink to print so please ensure all your photos, logos and images are in CMYK
format otherwise they will look dull and flat (blacks can even come out grey!) when the printer prints them for
you. CMYK is the ink colours they use cyan, yellow, magenta and black they are very different from the red,
green, blue (RGB) ink setup your home colour desktop printer uses. Please use 300 dpi for all artwork.
Layout
Front of flyer & poster Should comprise your main image, show title, sell out logos, short quotes from reviews.
It is seen from a distance so keep it bold and simple.
Flyer back People only read the back if they have been tempted by the front of the flyer or been spoken to
when you flyered them, so this is where you can write more detail and have your main image faded underneath,
or have lots of photos. Some people add the shows synopsis here, include longer reviews, and other bits of text
to tempt the punter to buy a ticket. You must print information on the back of your flier as it is the best selling
position & costs the same!
Print size
This is where things can go wrong and your artwork can look off centre, with text or images cut off and generally
of poor quality. You know it looks good on your computer but paper has a tendency to make things difficult!
Your printers will print your artwork on paper bigger than your desired artwork (usually 4 posters on a large piece
of paper) then cut it to the correct size. You need to add a 3mm Bleed to the outer edge of all sides of your
artwork; this is to avoid white edges showing or text being cut off when they run it through their guillotine. The
Bleed can consist of either your artwork or solid colour borders.
A3 posters (where the final paper size is 297 x 420 mm) the artwork you need to send to the printers needs to be
303 x 426 mm. We only accept A3 upright (portrait) posters Landscape and A4 are not permitted.
A5 flyers (the standard size people use 148.5 x 210mm) need to be sent to the printers on artwork sized 154.5 x
216mm A5 can only be used upright (portrait). Landscape is not permitted.
For DL flyers (99 x 210mm final paper size) the artwork you need to send to the printers needs to be 105 x
216mm DL can only be used upright (portrait). Landscape is not permitted.
For A6 flyers (105 x 148.5mm final paper size) the artwork you need to send to the printers needs to be 111 x
154.5mm. A6 can only be used upright (portrait). Landscape is not permitted.
All our templates have the bleed included in them. The outer text line and bleed are marked on the
Photoshop versions (.psd) we send in the form of blue guides, for non Photoshop uses please take on board
the above.
Also, as the printers cut the paper to the correct size after printing they cannot guarantee they will cut every
piece accurately (paper moves in the press) so they ask that you do not have any text or logos closer to the final
paper size edge by 3 mm. This makes your artwork look professional, balanced and shows you have been in the
entertainment game a while as you know what you are doing. This is called the outer text limit.
Please put all your artwork onto just the black section of the template we have sent you and dont have text near
the edges its that easy!

The venue logo


We will send you this with your template so you can include it in your print artwork for fliers and poster. It
includes your shows dates, times, prices and all the venue contact details, so do not include this
information elsewhere.
The venue logo needs 66mm on A3, 35mm on A5, 25mm on DL, 27mm on A6 of clear space at the
bottom of the paper (no artwork goes below this). This includes the bleed for all sizes.
Do not put any text, logo, artwork, image or background inside the white box that contains the venue
logo.
Where to use the venue logo
The venue logo should be used on all print for your show: on all posters, on the front and back of all
fliers, on the front and back of all programmes and on both outside covers of all folded leaflets.
It should also be used on any display advertising you take out and on any websites you appear on.
You are welcome to use the logo on your press releases or show headed paper.
Do not distort the venue logo
The venue logo must be used as supplied; you must not apply any effects, or distort the
proportions, i.e. the ratio of width to height.
Do not attempt to recreate the logo by typesetting or to get anyone to recreate it for you.
You must use the appropriate size of logo for the size of your material.
If the proportions, weight, or font of the lettering or any part of the logo is different from the logo
supplied, or the logo does not have clean edges, we will require you to reprint the incorrect
publicity material at your cost.
How to use the venue logo on print
The logo should be positioned at the bottom of the page.
All Artwork must be portrait print (upright paper). The venue logo should have no text written
underneath it. You may colour the font or background of the venue logo box as you please, use
'colour overlay' tool in photoshop. It is better not to leave it in a white box.
Please contact us if you are unsure what size the venue logo should be on your print and we will advise.
You can include Fringe box office information: fringe box office 0131 226 0000 and www.edfringe.com
somewhere on your artwork if you choose (not inside the venue logo) This should be in a smaller size
than the website: www.spotlites.co.uk.
If you want to typeset your information to match the logo, use Arial Regular (bolded).
Print quality standards
Posters and fliers must be printed (not photocopied) on gloss, silk (velvet), or matt art paper with a
minimum weight of 130 gsm. Photocopied print is not permitted (it looks poor quality, they droop in the
leaflet racks, etc.).
Fliers must be printed on both sides and both sides of the flier must bear the show name, venue logo
and date/time information. The back of the flier must also contain information to sell your show. Most
printers prefer .jpg or .psd file types, check with them what they accept.
Posters and fliers must be portrait.
Print approval
We reserve the right to editorial control of the content and design of your print material.
Computer-generated artwork must be output on a high-resolution laser printer or image-setter: inkjetgenerated artwork is acceptable for first proofs but is not acceptable for the final proof or print.
We may make exceptions to our standards if you can convince us that you have a valid reason for
deviation: please talk to us about this well in advance of your print deadlines if this is the case.
You must send us a proof, copy or accurate mock-up of your final artwork and wait for approval from us
before you go to press, in case any changes have to be made. Please allow at least fourteen days for
print approval and please bear in mind that we may require you to make changes.
If your content, use of the logo, print design, or print quality is not acceptable to us, we reserve
the right to require you to reprint the incorrect publicity material at your cost.
