1. Review the organization chart you prepared in Chapter 1 and determine who
should be on the JAD team, and why. Also, how will you create a sense of
team ownership from the start?
Joint application development is a fact finding technique which allows users
to be active participants during the development process. Users have a more
active role in systems development. JAD team approach allows users,
managers and IT professionals to work together and gather information,
discuss about business needs and new system requirements.
JAD team has a project leader, who should have strong interpersonal
and organizational skills and two people for recording and documenting the
results and decisions. IT staff members serve as JAD project leaders. System
analysts participate in the discussions and provides support to the team.
Considering the organization chart of new century wellness group, I
would put following members into the JAD team. Doctor Timothy Jones and
Dolores Garcia should be included in the JAD team because since the doctors
started the clinic they should be included in the JAD team as well and regular
updates regarding the new information systems should be provided to them.
Anita Davenport should be there in the team because she is the office
manager and supports seven staff of the clinic who are responsible for
communication with patients. Since Susan Gifford takes care of the patient
medical reports, she should also be there in the JAD team so that she can
give her inputs on what kind of information is needed by receptionists, nurses
and doctors at the time of appointment scheduling and visits. Since Tom
Capletti manages accounts receivables, should be there in the JAD team
because he can give information regarding what is required for managing the
billing. Since Tammy Alipio manages Insurance and billing, should be there in
the JAD team so that she can give information regarding what is required for
insurance claim. Since Lisa Sung manages the appointments, should be there
in the JAD team so that she can give information regarding her work such as
collection of patient details. Since Carla Herrera manages the ordering,
organizing office and medical supplies, should be there in the team because
she can give information what she need about the supplies. Fred Brown
should be included in the JAD team because he takes care of payroll and
human resources issues.
2. You may be given a standard set of interview summaries, or you may conduct
role-play interviews. Either way, use the information to complete Tasks 3 and
4.
Interviews: During the systems analysis phase this is the important factfinding tool. It is a planned meeting, so that we can obtain information from
others. There are seven steps for each interview.
Determine the people to interview.
Establish objectives for the interview.
Prepare for the interview.
Conduct the interview.
Document the interview.
Evaluate the interview.

Interview of Timothy Jones (Doctor):
Interview question: Could you please give an overview of your
systems.
Interview Response: At new century we have four primary care
physicians, one nurse practitioner, four physical therapists, eight
nurses and eight support staff people. And we decide that, we need a
new information system to support business and health information
management needs and which could replace paper based and legacy
systems.
Interview of Anita Davenport (office manager):
Interview question: Could you please let me know what kind of reports
do your staff produce each day?
Interview Response: Lisa sung schedules the appointments and
prepares call list every day for the patients.
Susan Gifford records the details of patients treatment and insurance.
Tom Capaletti takes care of insurance claims and sends the file to
Susan so that she refiles it.
Interview of Fred Brown (Accounting assistant):
Interview question: Could you please let me know your duties?
Interview Response: I handle accounting functions such as general
ledger, payroll and accounts payable. At the yearend I prepares the
clinics tax returns and profit distribution.
Interview of Lisa Sung (manages appointments):
Interview question: Could you please let me know your duties?
Interview Response: Every day I schedules the appointments and
prepares the call list. Whenever a patient calls for appointment I will
look after their information regarding their doctor and availability of
doctor for scheduling the appointment.
Interview of Susan Gifford (Manages patient medical reports):
Interview question: Could you please let me know your duties?
Responses: I collects the details of patients treatment and insurance
and then prepares the bills. And when patient files are brought near
me I pull the patients details.
Interview of Tom Capaletti (Accounts Receivables):
Interview question: Could you please let me know your duties?
Sampling method:
Collecting examples of actual documents during the study of information
systems is known as sampling. Samples include reports, records, operational
logs, data entry documents, complaint summaries, work requests and
different types of forms. The different sampling techniques are systematic
sampling, stratified sampling and random sampling.
A systematic sample will select every nth person for review. Instead of
sending questionnaire to everyone, better thing is to use sample of
participants. It is easy to sample information regarding number of patients of
particular age group, gender and place.
