Impression is very important

Interviewers in hotels and companies understand the crucial role of a

receptionist in every single business. This person represents the first line of contact with every single
person entering the company! Just think about it. Therefor, recruiters are very cautious and observe a lot of
things in your interview. . . . Is it a pleasure to talk to you?Are you a good listener? Do you keep eye contact?
Do you smile when talking? Do you talk to the point? Are you motivated to have this job?
They take notice of all these things and much more. If you want to succeed and get a job of a receptionist,
you need to work on your non-verbal communication. Try to be a good companion in an interview, try to be a
good listener. It is absolutely crucial for your success.

Your attire matters

Many people say that interview attire is not important. But they should think once again! Attire is important all
the time. So, what to put on? Some candidates guess that attractive dress, or even a tooth-some one is their
best choice. Well, it is not the worst choice, but it is surely not the best one. The best choice is the one that
corresponds with the dress code of the company where you apply for the job. You should visit it prior to your
interview (if possible) and check what the receptionists wear. Do they wear trousers or skirts? What about
their neckline? Do they wear any accessories, or not? Once you know it, you should stick to it when
choosing your own attire. This is the right way to fit into the working environment in the eyes of the hiring
managers.

Receptionist is a popular job all around the world. For some people it is
simply a convenient job in a nice place, for some others it is a dream job. But why do YOU want to get it?

When describing your job preferences in an interview, you should belong to the second group, or at least have
a good explanation. Recruiters have to feel that it is a job you would love to have, not just a job you simply
need... But how to convince them about that?

Speak with enthusiasm

Your non-verbal communication will show the truth. If you speak about the job with enthusiasm, if you
smile in an interview, if you are positive and communicative, they will believe that you really want to have this

job. Oppositely, if you look bored, not interested or even sad, you can hardly expect to make any good
impression. And in your words, try to focus on the following things:

Your desire to have this kind of a job

Your abilities and predispositions to be a good receptionist (e.g. good communication skills)

Added value you can bring to the company as a receptionist

Sample Answers
I always wanted to work as a receptionist. This was my childhood dream. I really like the hotel
environment and I enjoy talking to different people. This makes me happy in my daily life and that is why I
prefer to work as a receptionist.

I believe I can do a really good job as a receptionist. Other people enjoy talking to me, I have good
understanding for the needs of the others and on the top of that, I speak two foreign languages. I believe I can
deliver a great added value to both employers and clients as a receptionist.

Next Questions:

Why Do You Want to Work as a Receptionist Here?

This Job Is Repetitive. What Would Motivate You to Do It Well Every Day?

Hotel (Company)?

Recruiters ask this one to find out if you really care about their hotel (business),
or if it is just another job interview for you. They also see if you can identify their institution on the
market and value it brings to both employees and clients.

You know, nearly all people in hotel and company management are pretty proud on their institutions.
They know a lot about it and typically consider it to be the best on the market. While it can be very far from the
truth, you shouldnt point it out in an interview. Oppositely, this question is your chance to stroke their ego a
little and to spare a compliment or two.

Research will help you a lot

It is important to research about a company. If you apply for hotel receptionist job, visit booking.com and
check the reviews. Or you can check other travelers websites, to see what people think about the hotel. Write
down some positive comments. If you apply for office receptionist position, browse their website and find
something interesting. Make notes again. Use your notes to point out good reasons why you want to work
there. Thats the best procedure Lets have a look at good answers:

Your hotel has great guest reviews on all major

travelers websites. It has a wonderful location and I believe it is one of the best places to stay when you want
to enjoy your trip in the city. I would be very proud to work here as a receptionist.
I really like the variety of activities you offer to guests. Swimming for children, thematic evenings for
elderly couples and romantic dinners for everyone. What more, the rooms are really nice and spacious and I
like all the staff Ive met here so far. I would be very happy to work here and recommend this place to everyone.

Small details can make a difference

In these job interviews, small details often decide a winner. Saying something nice about the place, based
on your research, can win you a special place in the eyes of the recruiters. You know, resumes of all the
applicants are similar. But questions like this one are your chances to make a special impression and stand
out from the crowd of other applicants. Please, do not underestimate it.
Next Questions:

This Job Is Repetitive. What Would Motivate You to Do It Well

Every Day?

Some people have to deal with new tasks every day in job. But not
everyone needs new challenges to stay motivated in work. Ideal receptionist should prefer routine jobs. This
should be your main argument in an interview. Good feeling from a well done job can resonate in your
answer too, as well as other factors of motivation.
Or alternatively, you can express an opinion that you do not consider job of a receptionist as repetitive.
There are new guest all the time, new challenges, and after all, you strive to improve your working performance
all the time, so routine is out of question :). Lets have a look at few samples.

Good answers

To be honest, I prefer routine to creativity. Once I learn to do my stuff, I do the job well and have good
feeling from doing it. Jobs where you have to learn new things every day are not really a good choice for me.
Once I learn to do my tasks, I enjoy doing it and can do it on a high level day after day, without any serious
drop in motivation.
Good relationships on the workplace motivate me. If I enjoy time spent with my colleagues, if I feel like a
member of a hard-working team, it makes me happy and motivated to work hard all the time. It does not matter
if the job is repetitive.
From my point of view, this job is not repetitive. I know that receptionists do the same things again and
again, every single day. But there are problems you need to solve and new guests you talk to every day. Many
different things happen on a daily basis. From my point of view, this job is fun to do, not a repetitive one. Some
tasks may be repeated every day, but it doesnt make the time in work boring.
Special Tip: Did you like the answers? And what about multiple brilliant answers to all twenty five most
common receptionist interview questions and unique interview strategies? Youll find it in our Receptionist
Interview Guide. Thank you for checking it out!

Can You Work with MS Office? What Other Programs Can You
Use?

Times have changed, we use computers everywhere. Each and every receptionist
has to work with it on a daily basis. As an ideal applicant for this position, you should have a sound
knowledge of MS Office, including Word, Excel, PowerPoint and Outlook. What more, you should be able to
work with the internet quite well. All in all, a decent computer intelligence is virtually a must for every single job
candidate.

However, do not get fooled with the simplicity of the question. First of all, your answer should be longer than
just few words, saying you can work with it. You should elaborate on it with explanation of your experience.

Sample answer
I have been working actively with MS Word and Ms Excel for eight years, at school and at work. I can do
pretty much everything in Word and can create good charts and presentations in Excel and PowerPoint. On the
top of that, I am an experienced user of various scheduling and booking programs, such asBooking
Pro and Best Scheduler. I am sure I will quickly learn to work with all the programs you use here.

Practical test a surprise

Many hotel chains, as well as specialized recruitment agencies, use the test to asses your real knowledge of
MS Office and also the level of your trustworthiness. They give you a paper with some data and ask you to
retype it in a computer and to format it according to instructions. Doing so, they can actually see a lot of things:

How fast you can type-write

What your methodology of work is

If you really can work with MS Office and use its functionality

If you are stressed, or oppositely calm and focused, while completing the tasks

A simple exercise actually tells a lot about your readiness to do the job. As you can guess, if you say you are
skilled with MS Office and then can not accomplish the task given to you in an interview, they will not hire
you. They will doubt everything you said because of that. Therefore, I suggest you to either practice with
MS office prior to the interview, or to say that you work with these programs, but do not consider yourself an
expert. In such a case, a little lapse in a practical test will be forgiven.

How Would You Rate an Importance of a Receptionist in a Hotel?

Can You Work Night Shifts? Would You Mind Working Twelve Hours a Day?

On a Scale from One to Ten, How Would You Rate an

Importance of a Receptionist, if We Talk about Overall
Impression of a Guest?

This is a tricky interview question. In fact, hotel is like an

organism. Each person is important, each person plays on role on an overall impression of a guest. Good
receptionist can neither make, nor break a hotel. She is important, but she can not make excellent breakfast,
clean a room perfectly or offer a special service when needed. These are duties of other staff members
and receptionist can not influence a quality of it.
On the other hand, receptionist typically represents a first line of contact in a hotel and also the last
person guest see and talk to before leaving. Just think about it. She answers phone calls from both outside
and inside of the hotel, she meets new guests, they see her every time returning to the hotel and when
checking out, she takes care of it.
A good applicant should be aware of the importance of his role. Therefore, anytime asked about the
importance of the receptionist, you should choose 10 out of 10, or said in other words, you should believe
she is extremely important for the impression hotel makes on the guests.

Sample Answers
I would say 10. Receptionist is the first, and the last, person guests talk to. If she makes a good first
impression, it will be easier for the other staff members to carry on it. On the other hand, if she makes a wrong
first impression, everyone else will be in trouble.
I would give her ten. I believe that in a good hotel everything has to be perfect. From start to finish.
Receptionists, maids, waitresses, everyone has to do the job well, so the guests have no reason to complain

and oppositely, they will come back again. I act in my job according to that. Even if I had a bad day in personal
life, I would never let it to influence my performance in work.
Next Questions:

Can You Work Night Shifts? Would You Mind Working Twelve
Hours a Day?

In some cases, answers are directly in the questions of the

recruiters. Just think about it. If there was no need to work night shifts, employer would never ask you about
doing that.
In fact, twelve hours long shift, as well as working during the night, is a standard for a job of a receptionist.
These are some negative aspects of this great position (each job has both pluses and minuses). However, to
make a good impression in an interview, you should say more than just Okay, I can work night shifts. That
would make an impression that you answered it, just because you knew the right answer. Therefore, you
should elaborate on your yes with further explanation. Let me show you an example:
I can definitely work during the night. I do not have children, so there is no reason for me to be at home at
night. I am flexible and count with night shift option.

I would not mind working twelve hours a day. In my previous job it was not uncommon that I worked even
for fourteen hours a day sometimes. So I am used to do it and am able to stay focused for a long time.
Next Questions:

Client Wants 20 Rooms, There Are Only 10 Available

If a guest accuses you of bad service, what would you do?

Client calls you. He wants to book twenty rooms for forty

people. But we have only ten rooms available. What will you
do?

Receptionists should be able to think business wise too.

Giving you this type of questions (short case studies), interviewers try to find out if you have the right
mindset, if you keep the priorities of the hotel at first place, and if you can solve common problems in a
right way.
You know, booking twenty rooms is a pretty big deal for practically every hotel. Imagine that you accommodate
such a guest and achieve his satisfaction. He may come back few more times to stay in your hotel and always
book twenty rooms! (For example for an event.) Therefore, you should do your very best to not lose this
client, even though the capacity does not allow you to accommodate all the people. So, what to do? There are
definitely some good ways of taking care of this.

Sample answers
Twenty rooms is a lot and we should not lose the client. On the other hand, we can not cancel the
reservations of other guests, because everyone is important and each guest can share both positive and
negative feedback on the hotel. Therefor I would probably say to the client that I have to check the availability

for him and that I will call him back in ten minutes. I would go to the manager and discuss with him the options
we have.
I would strongly apologize and say that we had only ten rooms available. However, I would recommend
the following solution: He takes ten remaining rooms in our hotel, and I take care of the reservation of ten other
rooms in a hotel nearby (or in a partnering hotel). I am sure I would find one with ten rooms available and book
a place for remaining guests there. Doing this, I do for the client something extraordinary. At the same time, we
do not lose a business and complete our capacity. Everything would be great. Of course before doing all of this,
I would consult my manager to ensure it corresponds with the hotel policies.
As you can guess, they can inquire about many different situations. Guests with pets, people with very special
requirements, big groups, drunken guests, etc.
When thinking about a solution to a problem, you should always remember the following thing: Try to not lose
the guest and try to make a best possible decision for the business of the hotel. If you stick to this, you
will always find a good answer.

If a guest accused you of bad service, what would you do?

There is one thing all good hotels have in common Guest is always right.
Therefore, you should stress in your answer that you try to avoid any conflicts with guests and always go above
and beyond for each person. But if someone accused you of a bad service, you should say you would do your
best to make him happy again. Lets have a look at several good answers.

Sample answers
First of all, this is unlikely to happen, as I always do my job in a responsible way and try to exceed the
expectations of every guest. But if it happened, I would apologize, ask what I did wrong and try to correct my
mistake.
I would apologize and try to correct my mistake. If I was unable to do it, I would offer him help of my
manager. Anyway, I would stay calm, listen to his needs and complaints. I would always remember the lesson I
learned in that situation, in order to be able to approach another guest in a better way next time, if similar
problem occurred.

coworkers. In fact, these are my inborn personality traits rather than a part of my job.
What is your greatest strength?
I am easily reachable. This means that I do not put customers or visitors off. I know how to control
their moods. Also, I am a great problem solver and can handle even the worst of irate customers.
What is your greatest weakness?
I am not particularly skilled at conducting group presentations, but I am improving this skill with the
passage of time. (A group presentation task is not directly related to a receptionists job. It is just an
honest weakness which is not essential for success for receptionists job.)
Have you had experience of maintaining visitor log?
Yes. This includes manual register log as well as the automated thumb scanners log maintenance and
verification.
What basic office equipment can you operate and use?
Printers, scanners, PC, thumb scanners, photocopiers, graph plotters, shredders, telephones, cash
counters and rings.
Why do you think we require good customer service ability from you?
Because, as a receptionist, I will be the first point of contact between your company and the
stakeholders, clients and customers. My customer service ability will set the first impression of your
company. With my brilliant customer care expertise, I will be able to maintain strong professional
relationships with the clients/customers to increase recurring business and maximize client base.
Did you managed to add value to your role as a receptionist in your previous position? How
did you do it?
As a matter of fact I did. I worked with the belief that one should perform outside his or her job

description at times. I have proved to be instrumental in three marketing campaigns of the company
by providing excellence in support services.
Tell us about your technology skills.
I am computer proficient. I can manage popular databases and have the capacity to learn reception
and CRM software quickly. I can also perform light bookkeeping activities using spreadsheets and
Quickbooks.
How much you are proficient in QuickBooks?
I am well trained at using QuickBooks. I have hands-on experience of processing payrolls using it
Do you enjoy interacting with the public?
My work as a receptionist requires that I interact with the public on a constant basis. I enjoy it
immensely as I get to know new people of different backgrounds on a daily basis. Assisting them gives
me great joy and makes my job fulfilling.
How would you coordinate meetings?
By maintaining an appointment calendar and using Outlook or the company specific portal for
managing correspondence
Calling the respective personnel for the meetings/appointments confirmation and reminding the
management about them
Organizing the meeting/conference halls while making sure everything required is functional for
example the projector
Communicating and adjusting any particulars about the meetings (e.g. time/date) with consultation
of the management will be another integral part of meeting coordination
How much weight can you regularly lift and carry?
Around 50lbs
You will be required to type numerous documents created by the employees. Whats about
your typing skills?
I possess ten-key typing ability and my typing speed is approximately 60 words per minute with
accuracy.
How would you maintain manual attendance records in times of non-serviceability of the
automated system?
By getting a print out of the employee list and marking their presence with time and date as soon as
the arrive or by taking their signatures on it for verification and recording daily attendance on an excel
sheet
Can you operate multiple line telephone exchange?
Yes! I can manage multi switch PABX
How can you handle irate visitors or customers? Give us an example where you managed to
handle one in a successful manner.
I believe that arguing with an irate customer is fruitless. I listen to them and try to work out a
resolution. There was a particularly angry customer who demanded to see the manager of the
company that I was working for. He barged in, banged his fist on my desk and yelled the place down. I
asked him calmly if I could assist him and he said no. I requested him to sit down and lower his voice
so I can understand his concern properly. He explained his predicament calmly, I took appropriate
steps to resolve it and he went back calmly!
How long would you expect to work for us if you are hired?
I would want to be employed here in different capacities over the years. Since I dont see much
chance of saturation, I am sure I would be here for a long time!

be particularly important for receptionists, who often provide the first impression of a company.
Find out as much as you can about the company, including what it does, the services it provides,
its scale, structure and history.
Re-read the job description and ensure you are familiar with the responsibilities and requirements
associated with the role you are applying for. Re-read your application and ensure that any
answers you give match up to the information you provided. View our receptionist jobs here.
Further Information for receptionist candidates
A receptionist is often a customer's first point of contact when dealing with a business. It's
important for the company that they choose the right person to represent them in this role. This
ensures that they can provide a thorough and professional customer experience.
A good receptionist needs excellent communication skills. Their daily duties may include dealing
with customers, clients and other agencies face to face, over the telephone, via email or letters.
A successful receptionist needs to be well organised and will often be required to multi-task and
stay calm under pressure. They may sometimes be required to deal with complaints and irate
customers. They may also be required to keep records and use specific telecommunication and
information systems.
As with all job interviews, the level of preparation is absolutely vital. You should be prepared to
answer some typical questions, as well as the odd unexpected one, and to ask relevant questions
of your own.
Part of the job hunting process calls on the candidate to perform well at the interview stage.

Receptionist job interview questions

In order to help candidates throughout the preparation process, we gathered 70 commonly asked
interview questions for receptionist candidates:

Tell us about previous work experience as a receptionist or other experience that

could be relevant.
Explain any previous receptionist work in detail, including who you worked with, how long for,
your main responsibilities, and whether you greeted clients in your role. If you have not worked
as a receptionist before, explain any telephone work or customer service roles you have
performed, and highlight relevant skills.

What were your primary responsibilities?

Go into detail about your main responsibilities, including daily tasks as well as ad hoc duties. If
you worked in a high volume environment, also mention this.

How did you organise your schedule?

As a receptionist your schedule is ultimately dictated by the flow of visitors through company
doors. Talk about how you always create a flexible schedule so that you can combine important
tasks with greeting customers and visitors.

How many people did you interact with during an average day?
You should have a good idea of the number. Include telephone calls, external visitors and
requests from managers. Often a receptionist will also help with meetings and provide some
secretarial assistance. Always be honest.
How did you deal with exceptionally busy times?
Ideally you will have had experience and can talk about how you cope with busy times.
Interviewers want to hear how you would record each missed call and ensure that calls are
returned whenever possible, and that you keep a thorough written record to ensure that nothing
is forgotten.
What do you feel is the most important skill that is required of a receptionist?
Excellent organisational skills are vital, along with a positive and friendly attitude at all times. A
receptionist is often the first contact a person makes with a company, so it is vital to give a great
first impression. Be professional and polite at all times.
Do you have experience working with multi-line phones?
It is very likely that you will be asked this and hopefully you have had some experience. If not, do
some research so that you can demonstrate that you have a good knowledge of these types of
phones. Ideally get some training before the interview.

What software are you comfortable with when it comes to office documentation and
office administration?
Say that you are comfortable with Microsoft Office applications such as Word and Excel and
mention any specific software products you have used for managing diaries and calendars.
Enquire what systems they have in place and, if you are invited for a second interview, you can
then do some research into the specific system to demonstrate that you are familiar with it.
Did you follow any security protocols?
Hopefully you do. Explain what protocols are used in your current or previous role, such as
checking ID cards for employees and taking down details of visitors and logging them in and out
of the building.
If someone is late for his appointment, what do you do?
You should inform the person who they are meeting so that they are aware of the delay. If a
meeting room is booked, check to see if the booking can be extended and ensure that any other
appointments that clash can be managed.

How did you handle sensitive or confidential information?

For this you just have to say that you handle it with integrity, and respect the privacy and
sensitivity of the information with which you are being entrusted.

Talk about all those that you are familiar with, including Windows products such as Word, Access,
Excel and PowerPoint. If you have used switchboards, explain which products and say how much
experience you have with them.
What is your typing speed and error level?
You should know this, so give them the answer. Talk about any courses taken, either professional
courses or self-study courses, and explain how they improved your skills. Explain also that you
always proofread your typing.
Give an instance when you were required to multitask?
As a secretary, multitasking is something you will be doing most of the time. Also mention,
however, that it is more important to be organised in order to ensure that every task is
completed accurately and on time, than it is to attempt too many things at a time.
Tell us about a time when you had to deal with an angry or upset individual?
Explain how you maintained a calm and professional manner and were always polite with the
individual and reassured them that you would do your utmost to ensure that their problems are
resolved. Describe how you use your training to take control of the situation.
What makes you suitable for this particular role?

Ideally provide an answer that is honest, saying that you are keen to take on a new challenge and
that you feel that this will be a great company to work for.
How do you feel if tasks are left unfinished at the end of the day?
Explain that while it is always nice to be able to complete all tasks, this is not always possible.
Say that as long as the unfinished tasks are logged and prioritised, they can be completed the
following day without causing disruption to the business.

General interview questions would-be receptionists may

face

What are your weaknesses?

Describe yourself professionally in a few words.

What are your reasons for leaving your previous/present job?

What is your favourite aspect of being a receptionist?

How do you remain abreast of new developments in technology?

Who else have you applied to/got interviews with?

Have you got any questions?

Why should you get this job?

Employers ask many common questions during job interviews. Being prepared for these questions can
give you a leg up so that you are not left in the dark during your interview. Some interview questions
are more common than others.
Knowing the top 10 interview questions will give you an even bigger leg up during interviews. Ace
your next job interview by reviewing the top 10 job interview questions. You dont have to memorize
these questions and answers, but do become familiar with them. That way the next time you sit down
with an interviewer, you will look good, smart and confident.

1) What is your number one strength?

A) This is actually an easy job interview question. It is the most common question, so if you have done
any interviewing at all, you should be used to it. If not, get used to it by coming up with a solid answer.
When asked this question, it is important that you discuss strengths that are linked with the skills,
attributes and qualities necessary to perform well in the job that you applied for. You also will benefit
by using an example of how you used your strengths in a previous job. Here is an example. When I
am working on a project, I always apply my organizational and attention to detail skills. When I was
putting together the new ERP system for the company I worked with previously, I developed a new
reporting system that automatically tracked phone numbers and generated reports on personnel IDs to
check for duplicates and errors. That way I was confident I was entering all numbers and IDs with 100
percent accuracy.
2) What is your greatest weakness?
A) You can answer this question in many ways. One way to handle this is by talking about skills that
you have that are not relevant to the job you have applied for. If you are in a technical or accounting
job for example, that doesnt require much customer service, you might mention that you are working
on your customer service skills or presentation skills, which need a little fine-tuning. If you are a front
desk or customer service agent or work as a receptionist, you might mention that your accounting or
statistical analysis skills are not very strong, which is why you chose not to follow a career as a payroll
specialist or CPA. Another way to tackle this problem is to mention how you turned something that was

negative into a positive. For example, you might mention how you learned from a previous mistake in
the past. This is an opportunity to show that you can learn from your past mistakes.

3) Describe a time when you had to handle stress. How did you cope with it?
A) This is a very common question. Everyone has to deal with stress. Talk about how you are able to
work under pressure and not let pressure work you. I manage stress outside of work by taking yoga
classes and by swimming. Its a great way to release stress and pressure and stay fit. I find it very
enjoyable and a great way to balance work and fitness. Another way to answer this question is to talk
about your productivity. I never let stress affect my motivation at work. I stay positive and find that a
good sense of humor is a great way to cope with stress. I try to stay positive and remember that it is
important to balance stress with my reaction to it. Staying positive helps me keep a good balance
between reaction and action and thus I stay healthy.
4) Why are you applying for this job and leaving your current position?
A) This is a common question. If you have been terminated, try answering in a positive manner. Never
leave a bad impression by speaking negatively of a former employer. I enjoy new challenges. The time
has come for me to broaden my perspective and accept new challenges. You might also speak of your
previous experiences. My previous employer and I decided that it was better for us both for me to
look at new opportunities and a better fit for my skills, talents and abilities. I am confident that this
opportunity is an excellent fit. I have a lot of ideas and experience to bring to the table as we have been
discussing.

5) Why are you the best candidate for this position?

A) When asked this question, give solid answers highlighting your skills and any accomplishments or
achievements that make you the best candidate for the position you have interviewed for. Talk about
any achievements you made related to the job at previous employers. Stay positive and emphasize
your interest in the position.
6) Tell me a bit about yourself.
A) Do not make a long-winded speech about your childhood or previous employers. You want to
concisely tell the interviewer something practical and relevant about your job experience, skills or
ability. The best way to approach this question is to use a short story or anecdote that tells the
interviewer something about how your skills, talents and abilities make you a good fit for the job. I am

a bright, talented IT enthusiast that won IT entrepreneur of the year in 2012 for discovering a new
software program I am confident will help your company increase profits in the next fiscal calendar
year.
7) Why do you want to work here?
A) Tell the employer what your goals are, and how your skills, talents and abilities match the job
requirements. Let the employer know why you applied and why this job is a good match for your skills,
talents and abilities.
8) Describe the type of boss you work best with.
A) State something specific. Talk positive and avoid negatives. I work well with a boss that
communicates openly with me about job requirements, duties and ongoing goals.
9) Tell me your salary requirements.
A) Find out what the salary is for the job is that is possible ahead of time. If there is no salary posted
then do some research. Find out what the market is paying and what you are worth. Make a reasonable
salary offer based on this information. Do your best to avoid making a salary offer if you can. You can
ask the employer if they have a salary range they plan to pay the person in this position.
10) What kind of people do you have problems getting along with?
A) Usually an interviewer is trying to find out if you are a fit for their culture when asking this
question. The best answer is to tell the interviewer that you have no problems getting along with
anyone. Remain positive and let the interviewer know that you are the best fit for their company.
Smile.

When interviewing for a receptionist position, you really want to do everything you can to let the interviewer get
a sense of your responsible nature and friendly demeanor. While you should always be prepared for common
job interview questions, there are receptionist-specific questions that youll want to make sure you have
practiced before hand.

What programs and/or software do you have experience using?

Most receptionist positions require using basic software for email, scheduling, etc. It is best to have some
knowledge of how to navigate these products before interviewing.
"Due to my past experience as a receptionist, I am extremely proficient in the Microsoft Office suite with
programs such as Excel, Outlook, Word, etc. I have created numerous presentations using Powerpoint. Also, I
am skilled in Adobe Photoshop and InDesign."

How do you keep your daily schedule organized?

Organization is an essential part of being a receptionist. A lot of information passes through you so the
interviewer is confirming you know how to maintain order.
"I prioritize my tasks at the beginning of each day to ensure the most important items get done as soon as
possible. I am efficient and skilled at multi tasking so I can work on several projects simultaneously with no
complications. Lastly, I maintain a strict filing system so I can easily retrieve things and always know where the
correct information is located."

What is the importance of a receptionist if we talk about a customer's

overall impression of the company?
This question will show the employer that you are aware of your responsibilities and the role you play in the
company's success.
"I think the receptionist plays a critical role in the customer's perception of the company. I am the first person
they encounter so I could make or break the customer's first impression. I possess effective business
communication skills and can easily interact with a wide variety of personalities over the phone and in person
so I have no doubt that I will represent the company in the best possible manner. It is crucial that the customer
experiences great service from the receptionist. Using my pleasant disposition I will see to it that all customers
have a positive impression of this company."

Describe your previous duties.

This is your opportunity to showcase your experience. Take full advantage of it.

"In my previous position, I was responsible for answering multiple phone lines, transferring calls, and greeting
walk-in customers. I have experience handling a switchboard of up to 20 lines for a busy production company. I
also greeted applicants and vendors, announced their arrivals, and answered their questions about the
company where I was previously employed.

How do you handle a fast-paced work environment?

As a receptionist, a multitude of people will require your assistance perhaps even all at once. Explain to the
interviewer how you have handled similar situations in your work or personal life.
"I have been a receptionist for about three years now so I am comfortable working in a fast-paced environment.
Over time, I have adjusted my work style to the field and find that I adapted quite easily. I don't mind high
volume work. I feel that working in an environment that constantly presents new challenges keeps me on my
toes and I enjoy that."
