Terms and Conditions 2015


Internship Arrangement Program Agreement
This agreement is made between International Cross-cultural Committee (ICC) of 1F F-Nissei Ebisu Bldg, 3-16-3
Higashi Shibuya-ku Tokyo 150-0011, Japan, and the above signed participating Intern.
This agreement is made with reference to the following facts:
The Intern is intently searching for an internship experience that he/she believes is valuable for his/her career future
advancement and desires assistance in arranging formalities connected with this Program;
ICC has contacts with individuals and companies in Japan; the Intern desires to make use of the services and
expertise extended by ICC to arrange this internship experience.
ICC will arrange the internship program and all connected services to the best of its knowledge and in the best
interests of the Intern.
1.) For all program options, ICC is responsible for:
A) Deciding if the Intern can join the Program after reviewing application documents and conducting an interview.
B) After receiving a signed copy of this agreement and the non-refundable deposit of JP54,000 from the Intern,
ICC will attempt to match the Intern with a host organization before the start of the Program and/or arrival in Japan.
C) Counseling and support during regular office hours at ICC office or by telephone for any cultural, life, or
work related issues.
In addition to all of the above, ICC is also responsible for:
D) Orientation in Japan
E) Guidance with a place to stay in one of 2 options:
i.) Shared international house with Come On UP
ii.) Other: hotel or weekly mansion, for additional cost to be determined later.
F) 24-hour emergency support.
In addition to all of the above for the group program, ICC is also responsible for:
G) Arrival and departure group dinner OR international parties held at the ICC Tokyo office
H) Business Seminar series at the ICC Tokyo office
I) Field trips (depending on the duration;

A) Airfare and any other transport needed to travel to Japan

B) Valid passport from a country that Japan recognizes for visa exception, and if necessary any visa procedures and
costs that may be required to visit or extend the visa in Japan.
C) Travel (and health) insurance (insurance during your internship is included, see 4.C)
D) Daily meals and local transportation
E) Social and entertainment expenses
F) Immunizations (generally not needed for Japan but Intern is advised to confirm any personal health concerns with
his/her own personal physician)
G) Providing ICC, prior to joining the program, with any medical information that may affect his/her ability to
participate in the program, including but not limited to pre-existing or prior conditions, allergies, and prescription
medications.
H) Must disclose to ICC any outstanding criminal offenses or legal claims
I) Daily life matters like laundry, telephone calls, etc.
J) Striving to be respectful, honest, friendly, and positive-minded with the host organization managers, employees, and
customers. The intern will work to the best of his/her abilities at the host organization. The intern promises to be punctual,
well dressed and groomed for each day of work at the host organization. The Intern will maintain frequent communication
with the managers of the organization and ICC regarding difficulties or issues that arise in the work arrangement.
K) Obtaining visa
ICC accepts applicants on the visa exemption list or working holiday visa.
In addition to all other visa options, ICC introduces a visa agent with additional costs.
3.) Specifications of ICC Internship in Japan Programs
A) The internships offered by the ICC have the following specifics:
A.1 Positions are available from 4 ~ 24 weeks
A.2 Positions are full-time
A.3 Positions are non-paid
B) To fully activate an application a candidate must submit:
B.1 Application form agreeing to the terms and conditions
B.2 Payment of the 54,000 non-refundable application fee

C) Special requirements to fully activate the application:


C.1 Interns in the fields of Architecture, Design, Journalism and Media are additionally required to
submit a sample/portfolio of their work.

4.) Exclusions & Releases


A) Medical Release Authorization. ICC and its representatives authorize the intern to seek medical attention in the
event of sickness, accident or other emergency during the program. The Intern also authorizes any physician to
release any information acquired in the course of examination or treatment to ICC and its representatives. This
authorization shall be valid for the entire duration of the Program. The Intern is financially responsible for any
medical treatment received which is not covered by the provided accident and sickness insurance.
B) Marketing Release. Intern lends his/her consent and authorizes ICC to use his/her name, photograph, file or video
likeness, as well as any comments or statements made by Intern in materials or publications for commercial and/or
promotional purposes.
C) Exclusion of Liability. The Intern accepts full risk and responsibility for any injury that may incur, or any damage
to the company's property arising from participation in the Program. The intern releases and forever discharges ICC,
its respective partners, agents, employees and host organization from all actions, causes of actions, suits, claims, or
demands whatever, that may arise from the Interns participation in this Program. The Intern will have an insurance
agreement with Tokyo Marine Nichido (Overseas Travel Insurance Plan A) during his/her internship duration. After
the internship period, the insurance between the Intern and Tokyo Marine Nichido will expire. ICC assumes
absolutely no responsibility for any damages, death, personal injury, emotional problems, or theft during the period
of this program.
D) Work Environment Release. Although ICC will make suggestions and provide advice before and during the
internship to both the host organization and Intern, the host organization is the ultimate authority toward the work
situation with the Intern. ICC takes no responsibility for the work environment and decisions that are solely
determined by the host organization. The host organization will determine where and when the intern will work. The
Intern is encouraged to openly discuss their training details with the host organization management directly to
resolve potential conflicts.
5.) Duration of Agreement
This agreement is valid only for the program dates filled-in above. After the completion of this contract the Intern is
expected to return to his/her home country and absolves ICC of any further responsibility. If the Intern decides to
stay in Japan, he/she does so at his/her own risk and responsibility.
6.) Fees
A) Application Fee: The intern has to pay the application fee in order to activate the application.

B) Program Fees: Payment can be made by cash, check, bank transfer, or online by Paypal for the following

D) Program fee has to be paid within 7 days when the invoice is issued. ICC issues the invoice once the internship
placement is confirmed.

7.) Termination Policy


A) If the host organization terminates the placement for reasons unrelated to the Interns conduct, ICC will attempt
to arrange a placement with another organization. No additional fee will be charged for this service.
B) If the host organization terminates the placement for reasons related to the interns conduct, ICC will not be
obligated to arrange an alternate placement for the Intern.
C) If the intern refuses an offer by the host organization, ICC will terminate these terms and conditions.
D) If the intern terminates the placement for personal reasons, ICC will not be obligated to arrange an alternate
placement for the Intern. If the Intern leaves the host organization before the end of the agreed period of work
experience, the Intern will be deemed to have terminated his/her program. The Intern agrees to inform ICC no less
than 7 days prior to his/her proposed departure from the host organization.
E) ICC reserves the right to cancel this contract and terminate the interns program at any time due to unprofessional
or inappropriate behavior. Examples of unprofessional behavior includes causing physical or mental harm to others,
damage to property, rude actions or words, gossiping and spreading negative feelings amongst others, not showing
up or being late to work, performing work with obvious negligence, stealing, etc. If the Intern demonstrates
aforementioned behavior, ICC will notify the Intern in writing that the program is terminated and will be expected to
return to their home country immediately. After the program is terminated the Intern will accept all responsibility for
his/her own actions and risk. If the intern chooses to remain in the Japan following termination, it will be at the
Intern's own risk and responsibility. There is absolutely no refund if the program is terminated for unprofessional and
inappropriate behavior.
F) ICC does not guarantee that the Intern will be successful or happy in this program. Living and working in another
country, speaking a different language, learning and trying to understand very different customs, trying to make
friends, maintaining health and eating properly are difficult aspects of this program. This program can be stressful
and it is expected that interns will deal maturely and professionally with the many challenges in this program. The
Intern understands that they have been selected for this program for their independent nature and ability to take
personal responsibility for their well-being and success in the program.
8.) Interns Obligations and Responsibilities
A) Stay in regular contact with ICC and respond to all communication from ICC.
B) Attend all interviews, including telephone interviews, at the pre-arranged time that have been organized by ICC
in the process of arranging the internship or otherwise.
C) Attend the offices of the Host Company in relation to the internship in accordance with and at the times and days
as directed and comply with all rules, policies, instructions and requirements of the Host Company.
D) Observe and respect Japanese culture and comply with all the laws and regulations of Japan.

9.) Refund Policy


A) Neither the host organization nor ICC bears any liability for any losses or claims incurred by an Intern in
connection with dismissal, early withdrawal, or the host organizations or ICCs termination of the Program.
B) If an Intern quits the program for any reason prior to arrival in Japan after accepting an internship offer from a
host organization arranged by ICC, then ICC will refund 50% of the program fee.
C) Intern will not be eligible for refund if:
i) Participant withdraws from the program after the start of the program for any reason, or
ii) Participant is terminated for any reason
10.) Guarantee Policy
If ICC is unable to place the Intern in an internship prior to arrival, the Intern will receive a full refund of the
program fee. The Intern is allowed to choose the industry (we guarantee an internship but sometimes can not
guarantee the industry) in which he/she wishes to participate and has the right to approve the matching with a host
organization within 7 days of being informed. In addition to your rejections from the companies, ICC will approach
up to 3 organizations. If the Intern approves of the host organization and agrees to participate, either verbally or
otherwise, then the matching process is completed and no further work will be done to introduce another
organization to the Intern.
11.) Confidentiality
Participant agrees to not disclose, in any case whatsoever, any confidential information gained as a result of working
with the host organization. Thus, no reports, communications or publications shall be disseminated without the prior
agreement of the host organization.
12.) Indemnification
The Intern and the Interns heirs, successors and assigns agree to indemnify and hold ICC, its past and present
trustees, officers, employees, agents, and their heirs, successors and assigns of and from each, from any and all loss,
cost, damage, liability or expense (including reasonable attorneys fees), resulting in or arising from his/her
participation in the program.
13.) Amendment
This Agreement may not be amended except in writing, specifically referred to as an Amendment, executed by the
parties.
14.) Jurisdiction
The terms of this Agreement will be governed by and construed in accordance with the laws of Japan.
