Introduction
This hand book will lead you to install the scan service using at least one of
three ways. Network Scan using FTP protocol, Network Scan using SMB
protocol, and Scan to Email. The steps of Network Scan using FTP or SMB
are the same but with some difference also using SMB is easier than FTP.
We will start with Network Scanning first then we will finish this hand book
with Scan to Email and how to create an address book contain all email
addresses.

1. Network Scanning
I. Make a local administrator account for the Xerox machine (Username &
Password):
1. Right click on my computer.
2. Select Manage. ( For Windows 2000/2003 Server with Active Directory
You can Create The User Accounts from Active Directory For Domains
Users and Groups found in Administrative Tools at the Control Panel )
3. Select Users and Group.
4. Select Users.

5. Create New User (be sure that the username is the same like password
for Example: Xerox).
6. Make the password never expired.
7. Select the user can not change password. And Select Create.

To make it Administrator Double click on this account then Select


Member Of screen from the TAB menu then from left window Select
Administrators and click Add. (for Windows XP and Windows 2003
Server select Add , then Advanced then Find Now finally Select
Administrators)

II. Create a directory for scanning (scan) under c:\ or d:\ and share it for every one with Full
Control Option.

III. Create folder under scan for each user going to use scan (ex.: User1, User2, and
User3).

1-1. Using SMB Protocol


I. Open Internet Explorer.
II. Write the IP address of the XEROX machine in the address bar to open the
embedded web page in the machine (web interface).

III. Go to Properties Tab in the upper side.

IV. Select Services from the left side under properties.

In the IP Address and Port field write the IP address of the Server Computer.

In the Document Path field write the name of the user1 folder

Select Apply.
To create another user or templates select New Template.
Now you can use scan and install Client Software for each user to watch his/her
folder on the server.

1-2. Using FTP Protocol


I. The Xerox Account must Log On Locally
1. From Administrator Tools Select Local Security Policies

2. Select Local Policies.


3. Select Users Rights Assignment then Select and Double Click on Log ON
Locally.

4. Add and select the Xerox machine account you have made.

II. Install FTP Service


1. From Add Remove Programs Select Add Remove Windows Components.

2. Double Click on Microsoft Internet Information Service (IIS) (For


Windows 2003 server you will find IIS under Application Server).

3. Select File Transfer Protocol (FTP).

4. Finish Installation (You will asked about the source of Windows to finish
installation).
III. Configure FTP Service
1. Right click on My Computer.
2. Select Manage.
3. Select Services
4. Select IIS ( Internet Information Service )
5. Select FTP, Then Default FTP Folder.

7. From Home Directory TAB change the home directory using Browse
Bottom to C:\scan. Or D:\scan Then give it read and write option.

IV. Now open Internet Explorer.

2. Scan to Email Installation


Scan to Email is easier to Configure than Network Scanning. For
installation make the following table and fill it from the customer:
Xerox Machine IP Address
Sub Net Mask
Domain Name
DNS Addresses
WINS Addresses
Gateway Address
SMTP Server IP Address
LDAP Server IP Address
Xerox Machine Email Address
Xerox Machine User Name to log into SMTP Server
Xerox Machine Password to log into SMTP Server

I. Full configure the XEROX machine TCP/IP setting.


II. Now open the embedded web page of Xerox machine.

VI. Select SMTP Server.

VII. In SMTP Server IP Address and Port field write the IP address of
the Customer Email Server.
VIII. In WorkCentre Pro E-mail Address. Write the email address of the
Xerox machine.
IX. At some version of machines there are additional fields for User
Login Name and Password. In that fields write the user name and
the password of the XEROX machine email address.
X. Select Apply.

XI. You will ask about the web interface Administrator login information for
Xerox machine. ( Default user name : admin, Password: 1111)

XII. You can now use scan to email option.

3. Address Book
Now lets create Address book contain all Email addresses of the

organization.

I. Open an EXCEL sheet and made it as follow.

II. Cell for Names the other Cell for Email, and write all names and
emails you have under these two cells.

III. After finish the file select file then save as.

Write name for this file in the File name field.


At Save as type field select CSV(Comma delimited) (*.csv).
Select Save.
A warning message will appear for you select OK.

IX. Now open the XEROX machine embedded web page and go to Properties ,
Services, then Internet Messaging.

X. Select Public Address Book.

XI. Select Browse.

XII. Select the file you have made and select Open.

XIII. Select Import Now.

XIV. If the mapping table is right then select Apply.

XV. A confirmation message will appear to you click OK.

XVI. Now you can retrieve email addresses without writing them when using
scan to email option.
