1. EXECUTIVE SUMMARY
The Sheppard, Mullin, Richer & Hampton LLP (SMRH) Knowledge Management (KM) and
Information Technology (IT) teams have undertaken the project of upgrading the current firm
portal (Pipeline). The upgrade will consist of moving the platform of Pipeline from LawPort to
Share Point 3.0. The upgrade needs to address three main complaints from our user
community: Performance, Navigation and Search. The KM and IT teams feel that Share Point
will help us address all three issues using the application's native functionality. Where Share
Point is not able to address certain features or functionality, third party vendor web parts or tools
may be added to fulfill the need.
The project will be approached in two phases. Phase I will include the initial rollout and address
the main concerns identified above. Additional functionality may also be included depending on
complexity and bandwidth of teams. Phase II will be a longer effort and include more complex
feature requests as well as address any remaining issues of Phase I.
Share Point 3.0 is a beta application which has a general release scheduled for October 2006. It
is understood that the SHRM teams will be using beta software to develop and configure the new
Pipeline. It is also understood that if by the time SMRH is ready to deploy the new Pipeline,
SharePoint is still not released to the general public, the KM and IS teams will move forward and
deploy the new Pipeline using the beta version of Share Point.
The KM and IS teams felt that the current Pipeline was not being used often or effectively by its
user community. Calls for support on Pipeline to the KM team were not a good benchmark due
to the lack of a call tracking system. The team needed to gather information directly from users
that would confirm the three known main concerns referenced above. However the team also
needed an awareness campaign to let users know help was on the way and, most importantly,
the team wanted to know what tools and features would be most useful to our user community.
The team accomplished their goal using a three-step process. First, a brief survey was sent to
all users. The survey questions were focused on the main features of Pipeline and included
questions on the issues already known. Second, on site presentations were held at every office
and users were given a chance to provide feedback at that time. Third, volunteers were asked to
sit through an interview process where the team gathered more detailed information about what
would or would not be useful to have on their home or site page.
The efforts firmly confirmed that the three main concerns were in fact Performance, Navigation
and Search. Additionally, it was found that a great number of users were unaware of many of the
features and tools currently available on Pipeline and that users were not open to attending
structured training sessions.
The Functional Requirements defined in Chapter 7 of this document addresses the goals of the
project and specifies the requirements that must be met for a successful upgrade. The training
issue mentioned above will be addressed by having presentation-style sessions that will include
a tour of the main features and content of the new Pipeline and will provide the attendees with
information on how to get more information and who to call for help.
Chapter 8 lists the needs assessment as requested by the focus group participants. Some of the
requests were deemed simple and most likely to be addressed by Share Point out of the box,
these were added to Phase I of the rollout and Chapter 8 provides a high level design of the
requests. The requests that were determined to be more complex in nature have been added to
Phase II of the rollout and details, if gathered already, are included in Appendix IV.
The success of the upgrade will be measured twofold. The most important measurement will be
based on usage. The current Pipeline does not have a way to measure usage so we are unable

4. REQUIREMENTS ANALYSIS APPROACH
The requirements have been developed based on live presentations with feedback, survey
responses from each user group and through follow-up workgroup discussions with several
groups of users. An effort was made to interview representative from all firm practice groups,
departments, and offices and include members with different roles in the organization, including
but not limited to: Partner, Associate, Manager, Secretary, Legal Assistance, Administrative,
Technical and Clerical.
Table 2.1 below lists the workgroups that identify our portal customers.

While not all workgroups have unique needs, we found that special consideration should be
given to security access for specific web parts, links, items or tools within certain sites.
Additionally, there are some tools or applications that will be available through the portal but
access to these will be on an as need basis or based on the instructions of the site owners. For
this reason, Administration privileges should be kept to a small number of authorized personnel.
4.1
Survey Results
Appendix I to this document provides a copy of the surveys that was used in the requirements
analysis including the results . The survey was sent to 460 attorneys and 559 staff for a total of
1019 total users firm wide. We received 243 (52%) attorney responses and 389 (69%) staff
responses for a total of 632 surveys returned from all offices. A breakdown of the number of
responses per office is listed in table 2.1.1 below. The suggestions refer to the one open
question in the survey where we allowed users to expand on their views of the current Pipeline

Users were asked 10 questions structured around the issues that were known to our support team,
mainly performance, navigation, and search. The surveys confirmed that these three issues are
the main concern for our users and we continued to hear the same message during our
presentations and focus group interviews.
4.2
On Site Presentations
Each of our current nine offices was visited to provide a half hour presentation where we
presented an overview of the portal upgrade project and shared the results of the surveys. We
also collected feedback from the attendees and added the feedback to our requirements gathering
process.
4.3
Interviews
Follow-up interviews were conducted with representative groups or individuals for each different
page currently available on the portal to provide further definition of the requirements, including
requirements for the personalized home page of individuals based on their role at the firm,
practice group membership and geographical location. A copy of the preparatory questionnaires
that were supplied to the focus group participants prior our meetings can be found in Appendix I of
this document. The table in Appendix II of this document provides a list of the members and
groups that were interviewed as a part of the requirements analysis.
4.4
Analysis
As we began the requirements gathering process we knew the general areas of concern to our
user community and the exercises above helped to confirm that we were correct in our
assumptions with regards to performance (speed) being the number one concern followed by

The design of Pipeline will be based on the requirements expressed in this document. The new
system should provide the functionality described within these requirements. If, however, during
the implementation of the portal it is necessary to reduce functionality in order to set a scope that
meets the requirements of timescale and cost for the project, the requirements may be prioritized
to determine which functionality may be postponed to future phases. Furthermore, some features
or functionality may be scaled down in order to maintain an acceptable performance from the
portal.
The business requirements analysis details business needs related to people, functions, data,
technology, and interfaces, which are considered during the design and implementation of the new
system. Some requirements may be deemed to be outside the scope of work for this project.
Some requirements may be moved to a Future Requirements section for eventual
enhancements and added functionality to the system (see Appendix IV). Others may be moved to
a Rejected Requirements section (see Appendix V) because they prove to be technically
infeasible or out of scope. The design of the system should meet all other requirements.

5. SYSTEM SCOPE
The overall scope of the Pipeline will involve all users and all departments at Sheppard Mullin.
However, the first phase of the project will address only the functionality that can be reasonably
developed in time for a December 2006 rollout.
SharePoint will provide similar functionality to what is currently available in LawPort to users of
Pipeline, the firm portal. The firms IT and Development teams with collaboration from the KM
Team will analyze the current needs of the portal users and determine the business requirements
to be addressed by Share Point. If a particular feature currently offered in Pipeline through
LawPort is no longer deemed necessary, the feature will be rejected and exempted from this
scope. The KM team may determine that it may not be feasible to deploy some features
currently available in Pipeline through LawPort during Phase One of the project. Those features
will be included in the Future Requirements section and a separate document may be used to
outline the needs assessment, system and functional requirements and design for some features
depending on the scale of the feature desired.

6. PEOPLE REQUIREMENTS
This section addresses the needs of the various people and workgroups with regard to the
functions of Pipeline.
Our user population encompass nine geographical locations: Los Angeles, San Diego, Del Mar,
Orange County, Century City, Santa Barbara, San Francisco, Washington DC and New York.
Each office serves users with differing needs and roles as described in Table 4.1.1. Additionally,
most attorneys are members of a practice group with some unique needs for their personalized
home page and the practice group public page. Below is a chart that summarizes our customer
base throughout the firm.

8. NEEDS ASSESSMENT
Interviews were conducted with each department and practice area to determine their specific
functional needs for Pipeline. The current Pipeline functionality was used as a roadmap for the
discussions. The results of the discussions are outlined below. The high-level design
requirements gathered during these sessions are outlined in section 8.
Functional requirements have been determined for both Phase 1 and Phase 2 of the Pipeline
project. Because the needs of the two phases are distinct they are discussed separately below.
Although the various components, items, links and tools will differ for each department, office
and PGL page, a standard look and feel should be maintained throughout all pages and sites.
Additionally, links to information about (purpose of) the site and profile information (use pictures
whenever possible) about the members of the site should be included in each site and located in
the same area of the page. These links can be omitted from the personalized home pages.
The following components/links have been found to be needed for all PG member home pages
and may or may not be mentioned in each of the PGL specific needs assessment summaries
that follow:

CMS will be upgraded in the near future. The upgrades will provide greater interaction
flexibility for Share Point. Once the upgrade has been completed, the Accounting team
will determine what, if any, information and/or reports will be accessible via the portal, in
addition to what is already offered via the Financials link for Partners.
There are a number of confidential documents that are currently made available via
Pipeline to select staff. Those documents should be migrated to the new Pipeline with
strict item level security and access granted to the appropriate users.

9. DATA REQUIREMENTS

The type of content published to Share Point will vary according to user, group, department, and
office. Most data types will be supported by Share Point, an exception list will be published and
the list made available to content publishers. All data files should be fully indexed, PDF
documents should be OCR'd whenever possible before uploading to Pipeline. All documents
published to Share Point should be editable by Publishers online unless iManage document links
are used.
9.2
Storage Requirements
The amount and type of data the Share Point server will house will vary according to the needs of
users, groups, departments, and offices. However, links to data housed in other application
servers will be used whenever possible.
9.3
Data Migration
Data migration needs will vary according to type and amount of documents that will be published
by each department, office or practice group. XMLaw's data migration tool will be used to transfer
data from LawPort to Share Point as needed. All publishers will be encouraged to re-publish data
and links currently stored in LawPort to Share Point manually.

11. CONCLUSION
This document sets forth the requirements for Pipeline. The requirements for both the phase 1
implementation and the phase 2 implementation have been analyzed. When coupled with a high
level design, these requirements will form the basis for the construction of the production
system.
However, it should be recognized that additional requirements will be identified as the project
moves forward. If those additional requirements are simple to delivery, they may be made part
of phase 1, otherwise the needs will be documented and added to our roadmap for phase 2 and
beyond.
