Progress

Progress:
The purpose of the progress has three parts:
Check the progress of the project compared to the plan
Check project viability
Control and deviations
Progress
It is checking and controlling where you are compared to the plan.
Progress Control
Progress controls are used by one layer to monitor the progress of the layer below it.
Monitor progress
Compare achievement with plan
Review plans and options against future situations
Detect problems
Identify risks
Initiate corrective actions
Authorize further work
Exception
It is a situation where it can be forecasted that there will be a deviation beyond the agreed
tolerance level.
Tolerance
Tolerance are the above and below a plan target.
What do you think would be the result if tolerance were not used in the project board they
would end up working on the project 8 hours a day and therefore they will be doing a lot of
work for the project managers
Tolerance is more of efficient use of the project board time
Approach to progress
Prince 2 provides control through four main ways
Delegating Authority from one level to the next level
Dividing the project into the management stages and authorizing one stage at a time
Time driven and event driven progress report
Raising exception : use exception to alert above layer if a big issue
Delegation of the authority
Corporate program management
If the project tolerance level is exceeded then it is escalate to the corporate management
The project tolerance is set
The Project Board
The project board set the tolerances for the stages

The Project Manager

The project manager set the tolerances for the work packages
If the tolerance of the stage execption is exceeded it is reported to project board
The team manager
The team manager work with the work packages and works with in the tolerance agreed with
the project manager.
What are the 3 project Board Controls?
1. Authorization
Authorize initiation
Authorize the project
Authorize each stage
Authorize project closer
2. Progress Updates
Highlight report and end stage report
End project report
3. Exceptions and changes
Exception report and issue report
What are the 3 Project manager control
1. Authorization : authorize work packages to the team manager
2. Progress Updates: checkpoint reports from the team manager
3. Exceptions and Changes: changes will be handled through the issue and change
control procedure

stages

Technical stages
Technical stages can overlap but the management stages do not
Technical stages are usually linked to skills and management stages are focused on business
justification and the authority

Event Driven
Takes place when something happens. Produces products likes end stage report exception
report and issue report

Time Driven
Takes place at pre-defined periodic intervals. For example project board will request the
project manager to send the highlight report at the interval of every two weeks

For example highlight report and checkpoint report

In which management document is the highlight report frequency first mentioned?
It is stated in the communication management strategy written in the ip stages.
