Scene 1: No.

This is Henry.
He is the Chief Information Officer at Toyota, US Inc.
He is in charge of all the IT expenditure at Toyota, US Inc., which comprises of
Information system which is further classified into Horizontal IT services and
Business Enablement.
Scene 2: No. of Slides - 5
With Central Finance, Toyota has transition to SAP S/4 Hana Finance. Henry can
now access the Sap Software across the enterprise using SAP Fiori Application on
his tablet, phone and laptop hence helping him keep a tab on all his IT spends on a
real time basis.

Henry Logs into the Fiori Application and goes to My Spend where he is able to
access spending of individual departments /Projects and check which departments
are going over budget and their current status. All the departments which are over
budget are displayed in red.
For example in Finance and Procurement, he can see exactly how much is the actual
spending and How much was the committed budget. He can also view the
representation of the Actuals/Budgets in graphs.
Henry sees some unusual posting in professional services.

He sends a mail to Peter, who is the manager of ERP and Indirect Procurement Cost
Center, to ask him about the unusual spending in his Cost Center.
Scene 5: No. of Slides - 8
Peter, Manager of ERP and Indirect Procurement department. On receiving the mail
from Henry, Peter logs into the SAP system and checks the expenditure of his
department. In standard Cost Center report, he detects that it is because of the
adjustment posting in Outsourcing Services and informs Henry about the same.

After receiving the explanation from Peter, Henry now checks the Project expenditure
under IT by opening My Spend application.
Here Field operations South East appears to be over budget. Henry asks for a logical
reason for overspend to Jenny, who is the Project Manager of the Field operations
South East via email.

On receiving the email from the CIO, Jenny logs into the SAP system and checks the
expenditure of her project. Jenny comes to know that the over spend is because of
unplanned repair and maintenance activity and sends an explanatory email back to
Henry.

The reports received from Peter and Jenny in regarding the over and unusual
spending by their respective departments has enabled Henry to evaluate the reasons
behind the over budgeted IT Project and departments.
