Hi. Im Julie and this is National Estimator.


National Estimator is an estimating program with thousands of
labor and material costs for construction. I'll show you. Let's
work up a little estimate for a slab.
This is the costbook window. I'll click a couple of times to page
down.
Now I'm on page 18.
I could page through the whole book. But there's a better way
to find what we're looking for.

The Index -- #2

I'll use the index to search for sand fill under a slab base.
I'll double-click.
We've got a choice here. Let's try the first one.
This isn't what we want. I'll move down the page a little.
Here it is.

Split Screen. -- #3

I'll split the screen in two so the costbook is at the top and our
estimate is at the bottom. Let's put a name on this estimate.
I'll open up a little space by pressing Enter.
Ill press tab to get to the center.
Here's a good name for our estimate.
How's that?
I'll press Enter once more to open up a little space.

Copy and Paste -- #4

Here's the line I want to copy to our estimate. I'll select it.
Then I'll click the Copy button.
And the Paste button.
Notice the blinking cursor in the Quantity box.
I'll type a quantity of 100 because this slab is 100 square feet.
I'll press tab and check the estimate. This column shows costs
per unit, . . .for each square foot.
The column over here has extended costs for all 100 square

feet.
These lines explain what's getting installed. You can change
anything that needs correction. Just click and start typing.
It looks fine to me. So I'll click OK.
There! How's that?
Markup -- #5

Let's add some overhead and profit to this job. I'll click the
markup button.
I'll type percentages for overhead and profit. 15% for
overhead.
10% for profit
And I'll click OK.
That looks about right.

Changing Markup -- #6

We're about done. Let's check the estimate. I'll click the
Estimate Window button.
It looks OK to me. But you can change anything you want. To
change overhead or profit, click the markup button.
To change any cost, click on the line. Then click the Change
Cost button.
To change any words, just click and start typing.

Printing -- #7

I suspect youre getting the idea. Youve got hundreds of


pages of cost estimates in the National Construction
Estimator. Copy and paste anything you want into the
estimate. When youre done and ready to print, just click the
Print button.
And click OK.

Save Your Estimate -- #8

Just one more thing you're sure to need. Let's save that
estimate to disk. I'll click the save button.
I'm going to save to the My Documents folder.
And the file name is Estimate Two.
I'll click on Save.
It should be saved. Let's see if it really happened.
I'll close Estimate Two.

Copy and Insert - #10

I can copy anything from the costbook and paste it anywhere


in our estimate. Here's a line I want to copy.
I'll right click. And click on Copy.
To paste here, I'll right-click.
And click on Paste.
The quantity is 16 square feet.
That's about right.

Drag and Drop - #11

Here's another way to copy and paste. Let's put a membrane


under this slab. I'll select the 4 mil line.
Then I'll click again.
And hold the mouse button down. Notice the prohibited
symbol. Now I can drop this line anywhere in the estimate.
I'll release the mouse button here, right in front of the sand fill.
There. That's it.

Changing Labor Rates - #12

I use my own wage rates when compiling estimates. You


should too. Ill show you how. First, Ill click on the Estimate
Window button so the estimate fills the screen.
This is the line I want to change, so Ill click on it.
I'll right-click on this line.
And change the wage rate to thirty dollars.
And press Tab.

Here's the new cost.
Were done here.
Now the estimated labor cost for placing 15 anchor bolts is
54.45.
Changing the hourly wage for any craft code changes the rate
for that craft code everywhere in this estimate.
Changing Cost Estimates - #13

If you see an estimate that doesn't look right, change it.


For example, I know these 15 anchor bolts are going to cost
one dollar each.
I'll right-click on the line and make a change.
This should be one dollar.
I'll press Tab to check the Extended Costs column.
If it looks right, so I'll click on OK.
That's about right.

Changing Text (Descriptions) #14

Let's make a little change here.


These anchor bolts come with both nuts and washers.
I'll click where I want to type a few words.
And type what I want the estimate to say.
If you change your mind, just select what you want to remove.
And right click to cut it out.
What you cut can be pasted anywhere.
But that's not right. So I'll click Undo.
It's gone.

Adding Text (Descriptions) - #15

Some of your jobs will include items that aren't in the


costbook. But it's easy to add both descriptions and costs
anywhere in the estimate.
For practice, let's add an estimate for four reinforced corners
to this estimate. I'll right-click here and insert a text line.
We're going to add reinforced corners to this job, so I'll type
and press Enter.

Now let's add a cost for "Reinforced corners." We want to


insert a cost line below the description. So I'll right-click here
and click on Insert a Cost Line.
The number of corners is four. So that's our quantity.
Pressing tab moves to the next box.
The Unit of Measure is each.
I'll press tab twice to leave the Craft Code blank and Hourly
Wage at zero.
These reinforced corners will be installed by a subcontractor.
So there's no material, labor or equipment cost. If I skip over
these boxes, I can enter the subcontractor's bid in the Total
Cost box.
I'll type 200 in the Total Cost box.
That's the cost per corner quoted by our sub.
OK. We're done.
I'll press the delete key to remove this blank line.
How does that look?

Adding Lines to the Costbook

Continuing from the prior screen:
Estimate window. Stillwel estimate

You can add or change lines in the costbook the same way
you add or change lines in an estimate. I'll switch to the
costbook window.
Some of our jobs require 8 mil polyethylene. There isn't any in
the costbook.
So let's add a line. I'll add it right here.
And click to insert a cost.
This is 8 mil polyethylene.
Square foot is OK for the measurement and I'll use the craft
code of BL for building laborer. Manhours are the same as for
6 mil poly.
Material price is a nickel a foot.
The labor cost is filled in automatically, so I'm done.
There. How does that look?

It's in red to show that this is a line I added. You can put all
kinds of notes in the costbook -- such as price quotes and
phone numbers.
To remove anything you added, just select it and press the
delete key.
It's gone!
Insert a Subtotal -- #18
Continuing from the prior screen,
NCE page 71.

I like to insert subtotals at the end of each section. Heres


what I means. Clicks on estimate window button.
Do you see this subtotal? These are totals for the foundation
section.
Section subtotals help organize your estimates and make
them easier to read and understand. You can insert a section
subtotals anywhere it makes sense to you. These subtotals
become cost categories when printing bids and invoices. And
subtotals become cost category names if you export an
estimate to QuickBooks Pro.
Let's put a subtotal for wiring right here.
I'll click on the subtotal button and type the subtotal name.
That's better.
I'll press Enter to open up a little space after the fixtures
subtotal.

Changing a Subtotal -- #19


Continuing in Stillwel after the new
Wiring subtotal.

We added a wiring subtotal in the middle of the electrical


section.
The last part of the electrical section is electrical fixtures.
So lets change the subtotal down here to Electrical fixtures.
I'll click on the old subtotal line.
And click the subtotal button.
Here's the new section name.
This subtotal includes all the fixture costs, everything bellows
the new wiring subtotal.

Adding Tax -- #20

so I'll drag the scroll bar to the bottom.

Preview Your Estimate -- #21


Stillwel estimate at the last lines

You can display an estimate on screen just the way it will look
when printed on paper. I'll click on the Print Preview button.
I can go to the Next Page or Previous Page to turn pages.
Or click on Two Page to see two estimate pages side by side.
Click on Zoom In to get a closer look.
Click on Close when you've seen enough.

Opening Other Costbooks --#22


Stillwel estimate at the last lines.
There should be six costbooks in
that folder:
Construction.cbk
Repair.cbk
Plumbing.cbk
Electric.cbk
Painting.cbk
Insurance.cbk

Many construction cost estimating databases are available for


the National Estimator program. If you own several Craftsman
costbooks and have installed the database that comes with
each, you can open several at the same time.
Ill open another costbook.
Be sure the drive and directory are correct.
Weve got all these costbooks and can have several open at
the same time.
I can use costs from any of these in any estimate. Each has
about 500 pages of labor and material costs.

Select Your Default Costbook

Your default costbook opens automatically every time you


begin using National Estimator. The last costbook installed
becomes the default. For me that's the Construction costbook.
But thats easy to change. Save time by changing the default
to the costbook you use most. Heres how to make the
change.
Ill click on Utilities and Options and make sure Im in the
Costbooks folder.
Here are the costbooks. They should always be in the
Program Files folder under Craftsman and National Estimator.
Ive got all these costbooks and could make any my default by
clicking on the file name.
But Im satisfied with the default Ive got.

National Estimator costbooks include hundreds of pictures. I'll


switch to the costbook to show you.
When you see P I C T, click on it to see the picture. Heres a
slab membrane.
Let's get a better look.
Click on P I C T again and the picture is gone.
To show pictures automatically, click on View and Show
Pictures.
If you arent interested in pictures, click 'em off.

Blind Pasting #25

Most estimators like to see what theyre doing. Until you get
comfortable copying and pasting, keep both the costbook
window and the estimate window open.
But copying and pasting works just as well when youre in the
full costbook window.
Just for practice, let's do a little blind pasting. I'll open a new
estimate.
The next takeoff item is 15 foundation bolts. Lets try some
blind pasting.
Ill type bolts
And double click on foundation
I'll get the Index window out of the way.
Heres what were looking for. Ill click on the 5/8 by 12 line.
And press the F8 key. F8 is the same as copy and paste.
Ill type a quantity of 15
And click on OK.
Youre probably wondering where those bolts got pasted. The
screen isnt split. So you cant see the estimate. I'll explain in
the next frame.

Every estimator makes mistakes. And the undo button is an


easy way to reverse those errors.
Suppose I wanted to undo the pasting of these bolts.
Ill click on the eraser. .
The bolts are gone.
The undo button can save lots of time. But dont wait too long.
You have to undo mistakes right away.

Here' another way to remove lines from an estimate. Ill paste


those 15 foundation bolts again.
Lets cut these bolts out of the estimate. Ill select the lines I
want to delete.
And then click on the scissors on the toolbar.
They're gone. To bring those lines back, Ill click on the Undo
button.
They're back.

When you know what page you need, its easy to get
there. I know bevel siding is on page 458 of the
Insurance costbook. So lets open that costbook and go
to page 458.
Theres a button here with P A G E on it.
But thats not what we need. We need costbook page, not
estimate page.
This is the one. Ill click and type the page number, . page
458. . .
and click on OK.
All right. Im on 458
But I dont see any bevel siding at the top of the page. So Ill
scroll down a little.

Saving the First Time #30

Until you save an estimate to disk, it doesnt have a real file


name. I'll go back to the new estimate.

Lets save this estimate to disk and give it a real name.
Im in the My Documents folder.
Thats a good place to keep all your estimates. Ill type the
estimate name, Just Testing.

Now lets check to be sure it was saved. Ill click on File and
Open and see whats there.
Its here.
Now lets go back to the estimate window and check the title
of the estimate.
OK. Were in the estimate. And the estimate name is Just
Testing.

This job includes an asphalt shingle tear-off. The demolition


costs I need are on page 393 of the National Renovation and
Insurance Repair costbook. So lets go to that page. Ill click
on the costbook button to get to that costbook.
See that slide bar over on the right edge? Lets see if I can
slide to page 393. Ill click and hold on the box in the slide bar
at the right of the screen.
Ill drag the mouse up to get back to page 393.
When I release the mouse button, the screen jumps to the
page.
Well, thats close enough. Ill click a couple of times to get to
393.
Ill click on the scroll arrow until I see an estimate for removing
asphalt shingles.
Lets split the screen here so we see the costbook above the
Just Testing estimate. OK.
Its split. We're set to copy and paste. I'll do that in the next
frame.

Copying Part of a Line #32

Ill click on the line I want.


And then on the copy button.
And on the paste button.
The unit of measure is S Q for square or 100 square feet. So
if I need to remove 150 square feet, its 1.5 squares.
And Ill click on OK.
Thats looks OK.
So far weve copied entire lines to the end of the estimate. But
you can copy any line or part of a line from the costbook to
anywhere in the estimate. Try it just for practice. Suppose we
want to copy and paste just the words Asphalt shingles from
the costbook to the estimate. Ill select the words to copy.
Ill click on copy.
And on paste.
Its copied.
We dont need that in the estimate. Were just practicing. So
Ill click in the estimate and then click on undo.

So far, weve pasted lines at the end of our estimate. But we


can paste anything anywhere in an estimate. Ill try pasting
the words Asphalt shingles into the middle of the estimate.
First I have to select Asphalt shingles.

And click on Copy.


If I click on Paste now, the words Asphalt shingles get
pasted to the end of the estimate just like before. So I have to
click in the estimate where we want the words pasted.
Now Ill click on paste.
OK. Its pasted. We really dont need this paste, so Ill click on
Undo.
Pasting Costs #34

Any time you copy and paste costs, you have to type a
quantity. While youre in that estimating box, you have a
chance to make changes before pasting. Ill click on the
remove line again. Then copy and paste it to the estimate.
And paste.
I'll type the quantity of 1.5 in the quantity box.
If I clicked on OK now, these costs would be copied to the end
of estimate. Weve done that already. Ill press Tab and then
take a second to look at the changes we could make here.
I could make changes in the - - Measurement, - - - Craft
Code, - - - Hourly Wage, - - - Man-Hours, - - - Material Cost, - - Labor Cost, - - - Equipment Cost - - - Title - - - or
Description. And if you havent entered a cost in any other
box, you can type a figure in the Total Cost box.
The total gets filled in automatically if you have any labor,
material or equipment costs. But if you have only a lump sum,
like a quote from a contractor, all cost boxes are empty and
you can fill in the total box.
This is the Extended Costs column.
Its the cost for all units. The cost each times the number of
units.
Ill click on Cancel because weve already pasted these costs
to our estimate.

Open Several Estimates #35

Most of the time youll have just one estimate on the screen.
When I click on the Estimate Window button, Just Testing is
all you see.

But you can open several estimates at once. There are good
reasons to have several estimates open. Ill show you that in
the next frame. In this frame, Ill open a second estimate.
Right now, only Just Testing is on the screen.
To open another estimate, click on File and Open.
Now Ive got a two estimates open. But only one is on the
screen.
This is the Pollard estimate. To see a list of open estimates,
even those not displayed, click on Window on the menu bar.
We have three estimates and two costbooks open.
Lets switch back to the Stillwel estimate.
OK. Heres Stillwel again.
Now Ill go back to Pollard.
And now back to Just Testing.
Switching back and forth between estimates is easy. Now lets
do some copying in the next frame.

Were going to copy about fifty lines of costs from the Stillwel
bid to Just Testing. That saves lots of time. I'll select the
Stillwel estimate.
The first step is to select what we want to copy. Ill find the
beginning of the rough carpentry section.
Now Ill click at the left end of the first rough carpentry line we
want to copy.
Holding the shift key down, Ill press the down arrow key until
Ive selected all the rough carpentry costs in the Stillwel job.
OK. Ive got all rough carpentry selected. Now Ill click on
copy.
OK, all these carpentry costs are in the Windows clipboard.
The next step is to find where they belong in the Just Testing
estimate. Ill click on Window - - - and then on the Just Testing
job. .
Now Im in the Just Testing estimate.
Ill paste these rough framing costs at the end of the estimate.
When I right-click and select Paste at Estimate End, the whole
section gets copied. .
Ive just pasted about 50 lines from the Stillwel estimate into
Just Testing.
That can save hours of estimating time. But theres one more
step. Adjusting the quantities. The framing quantities on most
jobs will be different. And thats our subject in the next frame.

Template Estimates #37

I've pasted rough framing costs from the Stillwel estimate to


my Just Testing estimate. But the quantities are different in
the two jobs. For example, suppose the Just Testing job has
58 linear feet of spruce fascia, not 72 feet.
I'll change 72 to 58 by right-clicking on the line I want to
change and selecting Change a Cost Line.
And type 58.
There. That's better.
I'll save Just Testing.
Recycling old estimates saves lots of time. You can copy and

paste, like we've just done. Even better, create a template
estimate that includes all the work you do most often.
That way you never have to start from scratch. Open the
template, make a few changes, save under a new name and
print it out again.
Template estimates are like having a cookie cutter. You can
stamp out new estimates one after another.

Be ready to show the following
backup estimates:

Every time you save an estimate thats already on disk,


National Estimator turns the prior version into a backup copy.
The best way to understand this is to see it for yourself. I'll
click on the Open button so you can see the file types.
Notice Estimates dot E S T in the Files of type box.
National Estimator assumes that estimates have a file type of
E S T. Estimate backups have a file type of BAK. National
Estimator displays only files of the type selected.
Select the file type BAK and you'll see only backup files.
Reverting to a backup is handy if you make a mistake and
want to abandon changes.

When an estimate gets more than a few pages long, scrolling


from one end to the other can be a pain. The Stillwel estimate
is an example. [Clicks Window and Stillwel]
For example, this Stillwel estimate is nine pages and I'm on
page 2.
I could scroll to page 9 if I wanted to see the estimate total.
But clicking on the Estimate page button is faster.
Ill type the page number I want to see, page nine.
And click on OK .
And heres page nine.
You can also turn pages in the estimate by dragging the box
in the slide bar at the right of the estimate window. Ill go back
to page 2.
And release the button.
Presto! Were on page 2.

Print the Current Estimate #40

To print an estimate, click on the Print button.


To print one copy of the entire estimate, just click on OK. To
print only a few pages or several copies, set the print range
and number of copies:
Id click on Collate Copies to print all copies of page 1, then all
copies of page 2, and so on.

Other options in the Print dialog box depend on the printer
youve got. Click on Properties to see other printers installed
and the options available.
We dont need that now, so Ill click on OK to print the Stillwel
estimate.

Printed estimates look about the same as estimates on the


screen. All the subtotals, markup, and totals on the screen are
also in the printed estimate.
Overhead and profit are in the estimate only if youve entered
percentages for markup.
The line Total Only (Subcontract) Costs is the sum of
subcontract or lump sum costs.
Any time the estimate includes a total only cost -- no
material, labor, or equipment cost youll see a figure on the
Total Only line.
Estimate Total is the sum of the subtotal, overhead and profit
lines.
Tax comes after the Estimate Total if you've set tax rates.
The last line is the grand total, the bid price.

The button is a double space switch. Toggle on, toggle off.
The only thing wrong with double spacing is that it cuts down
on how much of the estimate you can see. I usually single
space until its time to print.
Then I double space so the printed estimate looks better. I'll

Im finished making percent changes, so Ill click on OK.
The material total is up to 19,529.52. That looks about right.
Its 10% higher.
To reduce costs in a column, just type a minus sign and then

Notice that the Per Unit button is highlighted.
To switch back, just click on the Per Unit button again.

Sometimes youll want to submit alternate bids. For


example, an alternate bid for a job could include
upgrades to hardware and fixtures. To create an
alternate bid, just save the estimate with a different
name. Let's create an alternate bid for this job with the
name Stillwel Upgrade. I'll click on File.
Then on Save As.
Ill type the name.
And then click on Save.
It should be on disk. Lets check it.
There it is.
Saving as the Stillwel Upgrade didnt change the original
Stillwel estimate at all.
But the original Stillwel estimate isnt open any more. Whats
open is Stillwel Upgrade. Until I start making changes, its just
a copy of Stillwel.
Save as is the perfect way to make copies of an estimate.
You can save as to create alternate bids, or an estimate in a
different format or on a different folder or disk drive. Ill explain
more in the next frame.

A good way to copy an estimate from one computer to


another is to save it on 3-inch disk. Then open the estimate in
the second computer. The first step is to click on File.

You can export an estimate to nearly any word processing


program. Ive got Word running and the Stillwel job is already
saved as a text file. So Ill jump into Word and bring the
Stillwel estimate up on my screen. First, Ill hold down the Alt
key and press Tab to switch to Word.
Ill click on File.
And then on Open.
In the File name box. Ill type Stillwel dot star and then press
Enter.
Ill double click on Stillwel DOT T X T. That's the one I want to
see in Word.
Now weve got the Stillwel estimate in MS Word.
Notice that the font is Courier New. Using courier makes the
decimal points in cost columns line up vertically.
Notice how the lines are too long. I have to scroll to the right
the see the whole page.
I'll change Zoom to 100%.
Then I'll select the entire document [Edit and Select All]
And change to 9 point type.
That's better.

If you handle several types of jobs, you may want to create


custom versions of a costbook -- such as one for change
orders, one for insurance work, another for government jobs.
These are called User Costbooks. All begins as exact copies
of the original costbook.
Heres how to clone new user costbooks of your own. Start by
clicking on File and New User Costbook.
Select the folder where you want to keep this costbook. The C
drive in the My Documents folder is a good choice.
Ill call this costbook Room Additions because well use it for
pricing room additions.

I didn't create this costbook. It's the default that came with the
disk.
Nearly all costbooks are hundreds of pages long and has all
the information in the original costbook. But don't worry about
user costbooks taking up too much disk space. Only your

theres a way to include tax automatically. Ill click on Utilities.

Our rate is 7.25 percent on materials.

estimates aren't changed, only new estimates.

The Stillwel Upgrade seems to be gone. But it isnt quite.

Deleting Other File Types #59

Deleting an estimate doesnt automatically delete the backup


estimate. Remember that saving an existing file always
creates a backup of the old file. So your hard drive probably
has a backup of every estimate youve ever made.
To get rid of these backups, you have to delete them. Heres
how. Ill click on File and Delete.
Im in the My Documents folder. Thats the default for
estimates.
Ill click on the down arrow at the right side of the Files of Type
box to find backups.
And here we are.
Ill double click on Stillwel Upgrade backup.
The backup is gone. Ill click on OK to resume estimating.
Follow the same steps to delete any file type listed in the Files
of Type box.

rather than just subtotals. Job Cost Wizard can do that. Here
we're showing only subtotals.
To make a change, Ill click on the Detail button.
Subtotals Only is checked for all four cost categories.
Let's change that to show all material, labor and equipment
costs.
Can you see the difference? All the costs are right there for
everyone to see.
And if you export to QuickBooks, every material cost will be
on the QuickBooks item list. That's going to be overkill for
most jobs. I'm going back to "Subtotals only"

On some jobs your customer may furnish the materials. In


that case, you'll want to strip all material costs out of the
estimate.
You could make material cost estimates all zeros. But there's
a better way.
Notice that the material cost subtotal is gone.
I'm going to switch back to Subtotals Only and show you
another choice in the Details dialog box.
Here's a choice that can shorten any estimate.
Omit work descriptions if you want to show only subtotals.
See the difference? Now your invoice shows none of the
details. All you see are cost categories and amounts.
What was a ten-page estimate is now only two pages.
Let's have a look at page 2.

Mark Up Every Cost Item #66

Markup is "Every Cost Item."

There's usually no need to show customers your markup for


overhead and profit. Markup has to be in your estimate, but it
doesn't have to show up on your invoice. Job Cost Wizard lets
you distribute markup proportionately among all costs so
customers never see markup. That's where we are now.
Notice that there's no markup on this estimate.
I can change that by clicking on the Markup button
You have three choices.
Omit Entirely strips all markup out of your estimate.
Use "Omit entirely" if you're exporting to QuickBooks and
want to use a different markup for every item. That's one of
the choices in QuickBooks.
"Mark up every cost item is different. It loads each cost item
with a share of the markup. That's how markup is set now.
At end of estimate puts overhead and profit lines just above
the total in your estimate.
Now overhead and profit appear at the end of the estimate.
The total is the same, but overhead and profit are displayed
as two lines in the bid.

QuickBooks lets you use nearly any account names. Job Cost
Wizard does the same. You select account namesin the
Account Names dialog box.

QuickBooks always opens the estimate screen at one past
the last completed estimate. Notice that we're on 548.
We want 547, so I'll click Previous.

Forcing a Recalculation #70

After each trial delete the
estimate.

An imported estimate isn't complete until some figure is in the


amount column.
If the Amount column is blank, QuickBooks considers the
estimated cost for that item to be zero -- even if there's a
numbers in the Total column. If the Amount column for an
entire estimate is left blank, QuickBooks reports will show the
estimated cost for that job as zero.
The fastest way to fill in the Amount column is to change
every figure in the Cost column by a penny.
I'll increase 776.53 by a penny.
Then I'll click on the next cost.

I added a penny to the last item, so I'll subtract a penny this

I'll continue clicking and changing by a penny until every cost
is extended to the Amount Column.
Filling in the Amount column isn't essential. But it guarantees
that reports show estimated costs correctly.

Progress Billing in QuickBooks

One advantage of QuickBooks Pro is progress billing. That's


important on larger jobs.
You'll want to send invoices that cover just the work done to
date.
QuickBooks keeps track of what's been paid and what's still
due. To do that, we have to turn on progress billing.
I'll click on the Jobs and Estimates and Company Preferences
tab.
Click on Yes under both "Do You Create Estimates" and "Do
You Do Progress Invoicing?"
Now we're ready to turn the Stillwel estimate into an invoice.

Creating an Invoice #72

To turn a QuickBooks estimate into an invoice, click on the


Create Invoice button at the top of the QuickBooks estimate
screen.
We're writing an invoice for just the foundation, so I'll click to
invoice for selected items.
We're billing for 100% of the foundation, so I'll select "Show
Percentage."
The current percentage is 100 for all foundation costs. So I'll
type 100 for all three foundation rows.
I'll click on OK.
That looks about right.
We're done except for one thing. This should be invoice 176.
If you're done, you can click Save and Close.

Don't Worry About Making a


Mistake #74

screen.

QuickBooks is very forgiving. Practice all you want.


Experiment any way you want. Then delete any estimate or
invoice to remove every trace from QuickBooks. Here's how I
would delete the Stillwel invoice.
First, I'd go to invoice 176.
With 176 on the screen, I would click Edit and Delete Invoice.
Click OK now and the invoice is gone.
Deleting Estimates works the same way.
You'll have to delete an estimate before importing the same
estimate a second time. Trying to import the same estimate
twice doesn't work.

Paying Bills by Cost Category

When you pay vendors and subcontractors, the amount paid


is charged to the job and deducted from your bank balance.

Creating Payroll by Cost

When you write payroll checks, the amount paid is charged to


the job and deducted from your bank balance.
Click on Employees.
Click on Time Tracking.
Click on Use Weekly Time Sheets.

On the Timesheet, click on the down arrow under
Customer:Job and select the first job where the employee
worked.
Under Service Item, select a Lab cost category from the list.
These are labor subtotal costs from your estimate.
Under Payroll Item, select the type of pay, such as hourly.
Enter the number of hours worked for that cost category.
Any timesheet can cover work done on several jobs and many
service items.
When finished recording time for an employee, click on New
Sheet.
When finished recording time for all employees, click on OK.
