Overview of the Software

Re-Rite offers two different means of capturing and

processing your files:
1. Default File Capture
2. Batch File Capture
Both methods run in parallel within the software, where
different polling locations determine the file conversion
type/s required.
Default File Capture mode is used when documents
need to be converted to a single file type only and output
to a single default network location.
This mode also has the capability of delivering the
converting file to email where the email recipient is
determined by the name of the TIFF file.
(this feature is not supported by all MFPs, as an alternative use
batch mode)

Batch File Capture mode allows processing of captured

TIFF files to any of 16 different output formats e.g. PDF,
RTF, XLS, HTML.
This mode allows multiple user access to any of the 16
formats and is determined by the configuration of the
batch scan folders within the software.

page 23

Example of Batch Folders

If a TIFF file is scanned to a sub folder called USER1 in
the BATCH folder for an RTF file conversion then it will be
converted to RTF and placed in the original scanned
location. To email the same all that is required is that a
sub folder be named as the email address
USER1@TOSHIBA.COM

page 24

1. Default File Capture

The Default File Type Capture is a simple way of
converting multiple TIFF files to the one file output format.
This mode controls output so it is delivered to the one
network location or can be emailed to various recipients
within your own email domain.
(this feature is not supported by all MFPs, as an alternative use
batch mode)

To configure Re-Rite for Default File Types, you must

specify:
Watched Folder
File Output Folder
Output File Format
And

if you require email

SMTP Server
Email Domain
Email Subject
Email Body

See the example on page 26 and the following topics to

configure Re-Rite for Single File Types

Default File Capture Types

To begin the conversion and output to a single file type,

have your Toshiba MFP configured so that scanned
pages are either a Black or Colour TIFF file (300dpi
recommended) and send to your Watched Folder.
Re-Rite actively looks for files with the extension .TIF in
the Watched folder. Once it detects the presence of a
file with a TIF extension, it proceeds in checking the
name of the file. If the file contains an @ symbol as
part of the name, Re-Rite will email the file in
accordance to the configuration settings you have
specified within the Email Output Tab.

page 25

e.g. if you would like the converted file to be emailed to

client@toshiba.com, simply name your TIFF file at the
Toshiba MFP client@toshiba.com.tif
(this feature is not supported by all MFPs, as an alternative use
batch mode)

TIFF files that do not contain the @ symbol as part of

their name will be converted and copied to the output
folder specified in the File Output Tab.

Example of Default file capture settings

The default settings for the Toshiba Re-Rite software will

capture scanned TIFF files sent to the IN folder then once
converted using the default file type will be moved to the
OUT folder.
Should the scanned files contain an @ symbol then they
will be treated as an email address and sent by email
instead.
page 26

2. Batch File Type Capture

The Multi File Type Batch Capture converts scanned
images to various output file formats then depending on
the settings will save the file to a network folder or email
to a recipient.

Batch Folders
Re-Rite contains 16 different Batch Type folders within
the Watched Path you have specified.
e.g. if you have set your Watched folder to c:\Re-Rite,
the 16 Batch Type folders will be contained within
c:\Re-Rite\IN\BATCH.

Capturing of Multi Type batches for

sending by email after conversion.
Re-Rite polls each of the 16 Batch folders for files.
Re-Rite will proceed in converting and emailing any
TIFF files it finds contained within folders named as an
email address (the recipient address is the complete
email name of that folder where the trigger to email is
@ symbol)
Example 1.
Emailing Frank a converted scanned image to RTF
Scanned TIFF files sent to the folder
C:\Re-Rite\IN\BATCH\RTF\frank@toshiba.com

Will be converted to Rich Text and emailed to

frank@toshiba.com
If however you do not wish to have the TIFF files emailed on conversion,
simply create a folder without the @ symbol in the desired Batch Type.

page 28

Capturing of Multi Type batches for

converting and saving as a file.
Re-Rite polls each of the 16 Batch folders for files.
Re-Rite will proceed in converting any TIFF files it finds
contained within these folders.
(where the input folder is also the output folder)
Example 2.
Converting a scanned image to HTML for Frank
Scanned TIFF files sent to the folder
C:\Re-Rite\IN\BATCH\HTML\Frank

Will be converted to HTML and copied into the same

folder.
If scanned tiff files are sent directly to any of the 16 Batch Folders they will be
processed as that file type and remain in that folder.
It is important to note that using subfolders just like the examples earlier is
highly recommended as the processed documents are easier to find.

Batch Tab
In the Batch tab are features that
allow for easier management of the
user folders in Batch mode and assist
with the creation of scan templates.
This mode is only available for users logged on
with Administrative rights

a) Adding a new user

Enter the users name in the blank
field then click on Add new user
Tips : the users name reflects how batch
mode will output the processed documents,
for example if the user requires the output to
a directory then just use the name of the
user or if they require output to email then
use a name which is their full email address.
(see examples)

b) Configuring a Users File Output

Once a user has been added assigning
the file output/s required by that user
is simple.
Click on the down arrow for Current
selected user then click on the +
next to the user name then tick the
output format/s required.
Note: By default the PDF3 is already ticked.
After selecting the batch and clicking
on the name of the respective user,
Re-Rite will automatically create the
corresponding folders.
page 39

CONFIRMATION of USER/S ADDED:

Using Windows explorer and go to C:\ReRite\In\BATCH\ and open the batch folder the user was
assigned to. Inside the batch folder is a sub-folder
bearing the name of the user you just created in ReRite Batch Tab. (see below)
These folders below represent an example of how the
Re-Rite batch mode folders are structured and will also
be the location your Toshiba MFP will scan documents
for processing.
Consult your Administrator for folder permissions
and sharing.

page 40

c) Deleting Users.
The batch tab also allows you to delete Re-Rite users.
Method 1
Click on the down arrow of
Current selected user
then select the user you want
to delete with your keyboards
down arrow key.
Click on the Delete user:
button.
Pop-up window will ask you to
confirm deletion, click OK and the
user and its corresponding folders
will be automatically deleted.

Method 2 (Quick)
Click on the user with your mouse and you will be
prompted to delete
Irrespective of the method used above if your user
folders are not empty then a message will indicate that
the folders cannot be deleted and must be manually
removed.
This is to protect accidental data loss.

page 41

d) OCR output format (Folder)

This non interactive box contains information about a
particular batch folder. This informs you if a batch
folder is shared or not and how it is shared.

non-shared folder

shared folder

NOTE : The Re-Rite Batch Tab provides an Administrator with a

simple interface to create and manage folders that represent
users, however it does not create shares and permissions as
these must be managed in the traditional Windows manner.

page 42

e) Batch Folder Report.

The aim of this feature is to generate the information
needed to create your MFP Scan Template that
corresponds to the batch folders created.
Please refer to the relevant Toshiba MFP user guides for
more information on template creation.
Click on the Generate batch folder report file to
generate the batch folder report.

page 43

example of a Batch Folder Report.

The report contains the following information:

1. User Folder/s (name of the user).
2. Assigned batch folder and corresponding network
path in parenthesis.
3. Actual network path. The administrator can copy
and paste this line onto the network path of the
"Scan To File" template.
4. Batch Share Statistics.

page 44

Batch Share Statistics

Included in the Batch Folder Report is information on
number of folders shared for Re-Rite and by their
security level.
Please note that the level of security applied to shared network
folders requires consultation with your Network Administrator.
The information below summarizes how these permissions have
been set.

Security Levels
I. Low security means Re-Rite uses the Windows
default share C$. (C: drive is shared by default as C$)
Note: These users will have to log on as an administrator, or
have administrative rights, when using Re-Rite, therefore we do
not recommend this method.
Please use the methods below for higher security.

II. Medium Security Level means Re-Rite Batch folder

(C:\Re-Rite\In\Batch) is shared and or the In
(C:\Re-Rite\In) watched folder is shared.
III. High Security Level means the created user folder
are shared and or one or more sub-folder is shared,
e.g. C:\Re-Rite\In\Batch\PDF3\Frank. Frank folder is
the sub-folder you need to define its sharing and
security access rights to certain users or everyone.

Troubleshooting

Re-Rite Administration Logs

Re-Rite utilises two logs files to help you keep track of all
captured files and to assist in troubleshooting any
configuration issues that may arise.

Daily Log
The Daily Log stores an audit trail of files
Captured by Re-Rite.
Select the General TAB in the Re-Rite Administration
interface then click on the View the daily Log File
button.
Alternatively you can right click on the
Re-Rite icon on your task bar then
View the daily log file

Example of Daily Log File

page 46

Application Log
The Application Log stores information
relevant to the software operation of Re-Rite
and may be required for product support.
To access just click on the Send daily log & windows
application event log button found in the Advanced
Tab and both will be sent by email to the
Administrators address

Error-ed files
Re-Rite moves any files it is unable to process into a
folder within the specified Watched Folder, the name of
which follows the format error.dd MMM yyyy
e.g. if you have set your watched folder to C:\Re-Rite and
Re-Rite encounters an unexpected error while processing
a file on the 1st July 2004, the error-ed file will be moved
to c:\Re-Rite\error.01 July 2004
The Administrator is also notified by email if a job has not
been processed (when configured in the email output tab)

page 47

Troubleshooting Tips
Q1: Re-Rite fails to process files
A1: Make sure that the scanned files are the correct type,
as only black and white or colour TIFF image files from the
recommended models are supported.
A2: make sure that your scan settings are set so that data can be
recognized otherwise they may not be processed (300dpi in Text
Mode is recommended)
Q2: It seems to take a long time to process files.
A1: Make sure that the scan settings of your Toshiba Scanning
Device have been set correctly e.g. 300 DPI in TEXT mode as higher
resolutions or different modes will result in delays.
A2: It is quite normal for colour documents to take longer to
process due to their complexity vs BW only.
Q3: The accuracy of conversion for some pages is not as
good as others
A1: The Optical Character Recognition engine in Toshiba Re-Rite
uses advanced OCR technologies that have been optimized to give
excellent results in most cases however as with all OCR technologies
the results will not be perfect and will require some amount of
editing, increasing resolution may be beneficial.
Q4: OCR error 126 The specified module cannot be found.
A1: Check that the folder FPOCR and its contents have not been
removed and changed, this is located in the default installation
directory c:\Re-Rite\Fpocr if missing you will have to install this
component again from your original software disk and follow the
prompts to Update/Reinstall software.
Q5: The email function does not appear to work
A1: * Check that the CDO service is started by accessing
the Re-Rite control panel
* Make sure that the settings in the Email Output Tab
are correct
* Check with your Administrator that the Mail server
is functional
* Make sure that the TIF files being sent to the default
folder are correctly named e.g. contains the
frank@toshiba.com.tif or where scanned to a batch
folder are being sent to a folder named as the email
address e.g. frank@toshiba.com
c:\Re-Rite\IN\Batch\frank@toshiba.com

page 48

Q6: Re-Rite has stopped working and cannot be

restarted
A1: * Check that the software has been registered within
the 30 days since install otherwise follow the
registration procedure on page 14
* Check that all services have been started by
accessing the Re-Rite control panel
* Changing of Hardware such as the network card will
affect the site code licensing, please contact your
Toshiba Representative
* The software is licensed to one computer only and
installation to another will disable Re-Rite, if you
require additional licenses please contact your
Toshiba Representative.
Q7: I have to re-install Re-Rite on the computer it was
originally installed on.
A1: Re-installation of the software on the original computer is OK,
you will have to follow the instructions on page 10 of this manual
but you can unlock the software by entering the site key you were
emailed when the software was originally installed.
If unavailable go to the WEB site http://www.redmap.net/re-rite/
then access
the link Enter the email address used
in the original installation and click
the Get Key button. You will be
emailed all details required to unlock
your software.
