We ask you that you address all e-mail/telex messages correctly to the Crude Oil Team
(TANKCRU) and Tanker Management Team (MARTANKER) in charge of operation of your
vessel without delay.

(A) ETA REPORT


Unless otherwise instructed in the Sailing Instructions or by local agent, you should send
at least 96/72/48/24 hours prior to arrival, the undermentioned information to the agents at
the next port of call.
1. Vessels name
2. Flag, LOA, G/T, N/T
3. ETA
4. Draft, in Meters, at the time of arrival
5. Last port of call
6. Number of cargo package (units, in case of unpacked cars) and quantity, in M/T,
of cargo to be discharged
7. Number of crew and health condition
8. Other necessary information required by the authorities
ETA REPORT 24 hours in advance must reach the agents during their office hours.
Agents must be advised any change in ETA immediately.

(B) VMF Report (Arrival and Departure Report)


You should send to TANKCRU/MARTANKER the following information as per the attached
formats of our VMF System (Vessels Movement Filling System) on sailing from each port of
call for loading and/or discharging port, including call just for bunkering or canal transit.
When the SatMail-C is equipped, please send us above information by using it.
If not, you may use other e-mail system with your vessel.
Your messages are to be read by our own computer system, therefore you are requested to
strictly follow the proper format.
Needless to say, the VMF information is necessary for our internal use only in NYK office
and please do not send them to agent(s) or any other third parties.
(1) When and what reports should be sent:
(a) Report of Arrival
Should be sent upon arrival at the port of call.

(b) Report of Departure


Should be sent upon sailing from the port of call.
(c) Report of Arrival and Departure
Should be sent upon sailing from the port of call, in case vessel stays less than
48 hours, instead of the above 2 reports, (a) (b).
(2) Marks of VMF Report
Send these items using corresponding marks as shown below:

(4) Construction of VMF report
(a) In a report, enter the address (the team or department in charge) below
the dispatcher and VMFDATA below the address.

(b) Enter the corresponding starting and ending marks consisting of 6 letters

(c) Put the word MASTER between the last item and the ending mark to signal that
the report is from your vessel.
(d) As to any special matter not mentioned in the forms, put it in the space before the
starting mark or after the ending mark according to instructions from the team or
department in charge.
(e) Send reports after sailing from every port of call (regardless of reasons including
call for bunkering only, etc.). When transiting the Panama Canal, a report is
required upon calling at Balboa and Cristobal. For the Suez Canal, also, the same
procedure is required.
(f) Quantities of Diesel/Fuel Oil and Water should be stated in the order
Diesel Fuel Water, in Metric Tons.
(g) When you input the vessels name, name of port of call and name of next port of
call, use their indications given in the Sailing Instructions.
