INTRO TO SUCCESSFACTORY
EXERCISE 1 - SuccessFactory Log-In
1. Access SuccessFactory through the URL:
https://successfactory.successfactors.com/xmltool/loginv.do
2. Your username is your email address.
3. To receive a system-generated password, use the forgot password feature.

EXERCISE 2 - Logging Into Your


Training Instance
1. Access your SFUtrain instance through
the URL:

https://salesdemo4.successfactors.com/login
2. Company ID = SFUtrain## (plus the numbers of your assigned instance for training)
3. Username (see training org chart). Login as manager.
4. Passwords will be communicated when you are given your training instance

EXERCISE 3 - Discover the Performance Form In Your Training


Instance
The purpose of this exercise is to get you used to using Performance Form in your training
instance before we configure changes.

Log into your training instance as manager.


Click on the Performance tab.
Open the performance form from the inbox.
Review the form sections (Performance Goals, Competencies, and Development
Goals).
Note the options available in each section at the Goal Setting step.

5. Review the Route Map/Workflow steps. Hover over the workflow steps to understand
the roles in the performance process.
6. As time allows, discover more form functionality

EXERCISE 4 - Duplicate a Goal Plan in SuccessFactory

Log into SuccessFactory.


Go to the Goals and Plans section.
Go to the Goal Management section.
Click Import Goal Plan From Server.
Supply the Environment (salesdemo4), Company ID (SFUtrainXXX), Admin
Username (admin), and Password.
6. Browse to find the 2010 Goal Plan and select the checkbox. NOTE the Form ID
number (7). Recommendation: Take a print screen of the Goal Plan list with all Form
IDs.
7. Select the 2010 Goal Plan and select the Download button.
8. Now you will find it on the Own Templates Goal Plan page.
9. Make a copy by clicking the Copy link next to the title.
10. Re-name the template to a Title of Your Choice (example: SF Training Goal
Plan).
11. Select the Save Configuration button.

Part 2:
1. Select the NEW Training Goal Plan.
2. Update the Plan ID (8) . Note that this Plan ID # should be a new #, otherwise you
risk overwriting an existing Goal Plan.
3. Update the Plan Name. Rename it to Title of Your Choice (example: SF Training
Goal Plan) if not already listed.
4. Update the Plan Start and Plan Due Dates to the new year.
Select the Save Configuration button.

EXERCISE 5- Upload Goal Plan into Training Instance

Identify which goal plan to upload.


Click on the title of the template to open it.
Select Export to Server to begin the export process.
Provide the environment, instance ID, your admin username and your password to
authenticate.
5. Select Login to upload the new Goal Plan template to the instance. Note: you will
test your configuration next.

EXERCISE 6 - Testing the New Goal Plan in the Training Instance

Log into the instance as Manny Manager.


Go to the goal plan and notice that you now have two goal plans in your instance.
Make sure to check the new one from the Switch Plan drop down box.
Create a new goal in the new goal plan and check the dates in the configuration
settings.
5. If the new goal plan isnt visible, go back to SuccessFactory and reconfigure and
export to server again.

EXERCISE 7 - Import form template into SuccessFactory Import
Form from server
1. In SuccessFactory, go to the Performance Review section.
o Important: If you try to load a PM form when in the Goal Management section,
you will receive an error message.
2. Click Import Form From Server.
3. Supply the Environment (salesdemo4), Company ID (SFUtrainXXX), Admin Username
(admin), and Password.
4. Select the form titled 2009 Performance and Development Plan. Recommendation:
Take a print screen of the Form Templates for future reference.
5. Select Download.
6. Notice that the form template is now listed under your Own Templates.
7. Make a copy by clicking the Copy link next to the title. Rename the title to Title of
Your Choice (example: SF Training PM Form.)
8. Open up the form template in SuccessFactory and begin exploring. We will make
changes in the next exercise.

EXERCISE 8 PM Basic Configuration


1. Log into SuccessFactory.
2. Open the Training PM form under the Performance Review section in
SuccessFactory.
3. Find the Employee Information section
a. Add the user element, Job Code
b. Change the order of user elements
c. Remove one of your choosing
d. Save Configuration
4. Verify Goal Plan ID in the Performance Goals section
a. Expand the Display Options
b. Update the Goal Plan ID to 8
c. Save Configuration

Introduction Section
Select Add Section > Introduction.
Position the section where you would like and give the section a name.
Add Introduction Text in this section that explains the review process and
instructs the users on how they should proceed.
d. Add a link to the SuccessFactors website.

EXERCISE 9 - Loading form template into Training Instance


1. Review your configuration and click Save
2. Click Export to Server to overwrite your existing configuration in the instance with
the changes you just made.
3. Supply the Environment (salesdemo4), Company ID (SFUtrainXXX), Admin
Username (admin), and Password.
4. When you see the message in SuccessFactory that your form template has
successfully exported to server, you know the process has worked.

5. You will test the configuration shortly!

EXERCISE 10 - Testing your form changes


1. Log into your SFUtrainxx instance as HR Coordinator, username = admin
2. In Admin:
a. Grant Edward permission to create forms for your form template. The steps
include:
From Admin tools
Go to Manage Security
Select Permission to Create Forms
Search for Employee
Select the check box next to their name
Select Grant Permission
b. Associate the Route Map titled Performance and Development Plan Route to the
Form Template

Log out and log back in as Edward, username= employee


Create a new form for Self, where Edward is the subject of the form
Locate the form on the Performance tab
Review the form changes you configured in SuccessFactory to make sure they show
up as you expect.
7. Look in the Employee Information section.
a. Is Job Code there?
b. Is the order different as you expect?
c. Any other changes that you made in this section?

Look for the Introduction section.


a. Is it there?
b. Is the text as you expect?

7. Did you make any other changes in SuccessFactory before you exported the
template? Look for them and make sure they are correct.
8. Delete this form.
9. (If time permits) Lets make one more change and test. Follow these steps:
a. Log into SuccessFactory and access the Training PM form under the
Performance Review section
b. Remove Division from the Employee Information section
c. Save
d. Export to Server

EXERCISE 11 - In the PM form - Adjust the Goals Section

Log into SuccessFactory.


Open your PM form template.
Open the goal section in that form template.
In the Display Options section
a. Make the Add Existing Goals button visible (unhide it).
b. Adjust the Split comment check-box option to change the layout of the
comments boxes. Review the mouse- over text for details. Note: The Split
Comment boxes are built into the form and visible further into the route map.
Changing the option will change the display vertically or horizontally.
c. Change the check-box from Auto-Populate to Auto-Sync so that goals
auto-sync from the Goals tab into the PM form and vice-versa automatically.

5. Save the form Template.


6. Upload by Export to Server.
7. Log into the instance as Edward. Go to the goal plan and make sure you have
goals for him.
8. Test by creating a new form for Edward. Check to see if the proper goals populated
and if the Add Existing Goals button now shows. If the specified features are not
functioning properly, return to SuccessFactory and continue testing until it works as
expected.
9. Go to the goal plan and create a new goal for Edward.
10. Go back to the form (dont create a new one) and use Add Existing Goal to bring
that goal into the form.
11. Create a new form for Edward and Route the form forward to the next step
(send to Manny Manager, Manny Completes Goal Planning and sends to the Mid Year
step (back to Edward)*).
a. Check to see the split comments appear as you configured them (vertical or
horizontal). *Note: you may wish to use the proxy option when routing.

When you have completed testing all specifications and everything is working as
expected, you are done with this exercise. Congratulations!

EXERCISE 12 - Editing the Existing Competency Section


1. Log into SuccessFactory
2. Open your PM form template
3. Open your existing competency section and notice that Use JobCode is
checked. This means that the competencies that have been populating on the form
have been using this method. Also notice that there is no category identified
therefore all of the competencies associated with that job code have been
populating.
4. Add a new competency section
5. Right mouse click to drag and re-position the new section just below the
Performance Goals section.
6. Edit the title for this section to be labeled as Core Competencies.
7. Edit the Introductory text for this section to indicate that this section will just
populate Core Competencies common to all employees.
8. Expand the Competency Elements section and add 2 core competencies (note:
youll need the competency IDs from the list in Admin > Manage Competencies and
Skills > Competency Libraries > select the SuccessFactors library to view the 51
competencies and the associated Competency ID number). Add the Competency
IDs for the following into SuccessFactory Competency Elements section:
a) Customer Focus (ID 7)

9. Ensure that you associate your rating scale to this section (Section Scale).
Remember to use the exact name of your rating scale and that it is case and space
sensitive.
10. Save your configuration changes.
11. Re-upload your re-configured form template by clicking Export to Server.
12. Log in to your instance and create a new form for Manny. In this section you
should now just see the competencies with the category of Management.
13. Route the form until you can see the ratings scale and ensure that the one you
created is reflected in the form.
14. If everything works as expected you have completed the exercise. If not, repeat the
steps until it works!

EXERCISE (Self Study) Adding a Competency Section with HardCoded Competencies

In SuccessFactory, create a new competency section in your PM form, name it


Departmental Competencies.
Copy the configuration from the existing competency section.
In the new competency section, change the configuration so that it does not use job
code and remove the category reference.
Hard code the following competencies in the section. Note: you will have to look up
the competency IDs (instructions in SuccessFactory > Documents tab > Document
Type: User Guide > Chapter 3: Performance Manager Part 4).
o Customer Focus, Product Knowledge, Territory Management

Save your configuration in SuccessFactory and Export to Server.


11. Log into your instance as Manny and create a new form for him.
12. Test to make sure the new section appears with the three competencies.

EXERCISE (Self Study) - Adding Form Level Permissions


Enable the Get-Comments button for the manager only in the modify steps of the route
map. The employee should never see it. Dont forget that this will require actions in
both Factory and Admin.
13. Add permissions so that the signature section is visible to all in the last (or all
depending on which route map you are using) modify step and all signature steps.
14. Add permissions so that the custom section is never visible to the employee but is
visible to the EM at all steps of the route map.
15. Add permissions so that the employee never sees his/her rating drop-down field.
16. Configure the Performance Goal section so that the employee can never perform the
action of adding goals directly to the form.
17. Require that the manager complete the manual overall rating when sending the form
from Year End to the first signature step.
18. TEST the form extensively for each of these permissions at each stage of the route
map, including the completed step.
