Lesson 30: How to Survive on the Phone

Key Expressions
When answering the phone in a business setting there are 5 main
components to the conversation:

I. Welcoming Reception
-receiving the call
-who is calling?

II. Exchanging and Recording Information


-figuring out what do they want?
-getting important personal information from them
-responding to their request

III. Controlling the Flow of Information


-slowing down the caller or speeding them up to ensure YOUR understanding of
the message.

IV. Confirming Understanding


-ensuring the information has been recorded properly.

V. Saying Good Bye


-ending the conversation professionally.

Alphabetical Call Signs

A = Alpha N = November
B = Bravo O = Oscar
C = Charlie P = Papa
D = Delta Q = Quebec
E = Echo R = Romeo
F = Foxtrot S = Sierra
G = Golf T = Tango
H = Hotel U = Uniform
I = India V = Victor
J = Juliet W = Whiskey
K = Kilo X = X-Ray
L = Lima Y = Yankee
M = Mike Z = Zulu
I. Welcoming Reception
*FIRST LINE is polite business language, SECOND LINE is direct
meaning.
