Project tittle: Residential College Registration

Introduction
University Malaysia Sarawak (UNIMAS) accept an intake more than 1000 new student every
year. The university will provide accommodation for all first year students including
international student. There are 8 residential colleges in UNIMAS that is Allamanda, Sakura,
Seroja, Bunga Raya, Cempaka, Tun Ahmad Zaidi, Kenanga, and Medical College.
Registration into resident college held one to two days before an orientation week start. Staff on
duty has to search for available room manually during registration. The room allocation is based
on first come first serve but in certain occasion student with health issues will be located to a
room that has been set by college administrator. After that staff has to record manually the room
occupation using separate form.
This Residential College Registration system can assist staff and administrator work by easy to
view available room, easy to allocate student and able to view student profile for future
reference.

Problem Statement
The accommodation registration is still in paper based application. Staff has to refer many forms
before getting the student details that they needed.
Room allocation is based on student background. In some occasion student request to change
room because of religious issues, in other occasion student with health issues will be allocate to
room that already been set by administrator college.
With this current method a probability for staff miss allocating room might be happening, for
example when staff placing student to a room that already occupied by other student. This
happen because staff didnt update synchronize with others room form allocation.

Project Objective
The aim of this project is to develop a system that:

Make room allocation simple and efficient.

To be able to computerize student profile for quick or future reference

Project scope
This system is limited to:

Registration and room allocation for College Seroja.

To make email services to enable interaction between college staff and student.

Significant of Project
This project can be implemented at college Seroja. This system help to avoid human error, for
example the system will synchronize all room allocation. Beside that this system has GUI
(Graphical User Interface) plan room. With that staff can easily find a room that available for
student during registration.
Expected Outcome
The expected outcomes of this project are:

To convert paper based application into electronic application that able to view, select and
allocate room for student.

To computerize student profile for quick or future reference


Methodology

Methodology is one of the important parts in developing system. It consists of five stages
as a guideline to complete which included planning, system requirement specification and
analysis, design, prototyping, and maintenance and support.
Planning

Identify problem that faced by college registration.


Finalize proposal including objective, scope and methodologies for this project.
Prepare the schedule for this project.

System requirement

Gathering the requirement of college registration.


Analyzing current method for college registration.
Finalize the requirement specification for college registration.

Design

Design the system for college registration.


Include all requirements for college registration.

Prototyping

Set up equipment such as server for the system.


Installation of software that needed for the system on users computer.
Installation and configuration on the server and user computers.

Testing

Test the accuracy function of the system based on requirement that needed.
Review and make improvement of the system prototype.
