Understanding Flexfields
Flexfield is a structure available in HRMS, which enables
you to customize a particular fields available in Oracle
HRMS window. For example, structure of job field
available on Assignment window would vary from
Organization to Organization. Oracle HRMS enables you
to customize job field using flexfield concept. There is no
programming required to achieve this.
Flexfield contains multiple segments and each segment
can be validated independently.
There are two types of flexfields, Key and Descriptive.
They are explained in the subsequent slides.

Define Locations
Each physical site, where your employees work, is
represented as Location in Oracle HRMS.
Locations can be Global or Local.
Global Locations are available to all Business Groups,
whereas Local is available within the Business Group.
In some places, Work Locations determine taxability rules.
Extra Information can be used to capture additional
information specific to a location.

Define Organizations
Organizations generally represent levels of your enterprise,
from the highest level of Organization (Business Group) to
the lowest level of organization (department / division).
Organizations can be internal (for example, departments)
or external (for example vendors).
Organizations need to be classified as HR Organization for
deploying people in the Organizations. Unless,
Organizations are classified as HR Organization, you
would not be able to select organization in the Assignment
window.
You need to use classification block to identify the type of
Organization. For example, Business Group classification
need to be used to identify business group.

Understanding Jobs
Jobs represent generic roles within a business group.
They are independent of any single organization. For
example, the jobs Manager and Consultant can
exist in many organizations.
If a role continues to exist after the employee leaves,
then Positions need to be implemented. Unlike
positions, jobs are generally employee specific.

Competencies
are
used
for
performance
management and appraisals of employees.
Competence key flexfield can also be used to record
hierarchy of competencies.
Additional key flexfield can be used to create global
competencies that are available across all business
groups. However, same key flexfield can be used for
the business group, if required.
Global competencies is defined in the key flexfield in
the HR: Global Competence Flex Structure profile
option.

Deploying People
When you hire an employee or contingent worker,
default primary assignment automatically gets
created. You need to modify an assignment to enter
Organization, Assignment Status, Job, Position,
Location, Payroll, Supervisory information and other
relevant information to represent persons correct
roles and responsibilities.
An employee or contingent worker may have more
than one role and in that case, you need to register
multiple assignments to represent correct role
definitions.

The Employee referral function enables employees to
create candidate profiles and refer them to a manager who
in turn can pursue the candidate for a suitable vacancy

Once the employee creates a candidate profile, the

credentials. The candidate can login, and also update

The following postrun processes are available when a
payroll run has successfully completed:
PrePayments Process: Enables you to allocate employee
payments according to the pay methods that have been defined for
those employees
Direct Deposit or NACHA or Magnetic Report: Produces a file
that is sent to a bank for direct deposits. In US Legislation it is
known as NACHA.
Cheque Writer: Produces a check file so that checks to be printed
Costing: Generates the Costing for payroll process.

Prepayments determines the net amount and medium to
be paid to the employee depending on the personal
payment methods attached to the employee.
Pre Payments process is submitted through a concurrent
request PrePayments.
Tracking of Prepayments is done through Payroll Process
Results and Assignment Process Results Window.

Direct Deposit
This is a Magnetic report process which generates a
magnetic file that can be given to bank for Direct deposit.
This process is also submitted through concurrent
program, but request varies depending on the legislation.
For Ex: in US legislation it is known as NACHA.
In UK legislation it is known as BACS.
