INTRODUCTION
Integrated Registrar's Office Automation System, (IRAS) was introduced on 2014. This
provides online service to IUBs activities. IUB is the first private university of Bangladesh

who introduce online attendance, online registration, online grade submission, online course
withdraw, faculty evaluation and so forth, all the activity is done by IRAS (Integrated
registrars office automation system). The IUB fist time introduce IRAS during summer
semester 2014. Till 2014-2016 in IRAS there are many new feature update and demoted.
Integrated Registrar's Office Automation System, (IRAS) has made some activities easy for
students and also for management.

ACTIVITIES PERFORM BY IRAS:

Integrated Registrar's Office Automation System, (IRAS) has to do lots of activity for IUB.
Activities like: Admission of new students, Registration of courses, Installment of Bills are
also done by IRAS, Attendance of students as well as faculty, Grading is also done by IRAS,
Transcript can be downloaded by IRAS, Faculty evaluation, withdrawal of courses
Convocation Preparation etc.

Admission of new student:

A person who wants to get admission into IUB they can go to IUBs websites and fill the
form. After filling the form they are given a code number, which helps them to transfer the
fee of registration form by BKASH. When IRAS receives the data of students information
and fee transferred confirmation than IRAS starts its activity. After IRAS receives the
information IRAS provide students ID card for entrance examination. Student has to print
that ID card easily and come and seat for entrance examination.

Registration of Courses:
Due to IRAS students can register their course from anywhere. Before IRAS was introduced
students has to go to the advisors and stand in a line for hours to register their courses. But
now we can register our courses from home, office and anywhere.

Attendance:
Another most important activity of IRAS is Attendance. Now faculty can take our attendance
online with the help of IRAS. IRAS gives 20 minutes to register the attendance of the
students who are present in the class. If a student misses 8 classes then IRAS automatically
withdraw the courses.

Installment of Bill:
From IRAS we can easily print our bills of course fee. We also can get information of
previous semesters bill and also we can download it.

Gradings:
We can get our final grading from IRAS. Faculty has to submit the mark sheet to the IRASs
authority, and the authority uploads those marks of a students.

Since IRAS was introduced we could download our transcripts anytime, but recently we had
to go to register office for our transcripts. After paying the fees of transcript registration
office or examination office log in to IRAS and download the transcript.

Faculty Evaluation:
Recent task performed by IRAS was Faculty Evaluation. Students can login to their IRAS
page and can evaluate faculty.

Withdrawal of course:
Student can withdraw their courses by login to their IRAS page. Before we had to take a form
of withdrawal from registration office and fill it up and we need to get signature from the
course instructor. But now we can easily withdrawal our course. Which is also saves our time.

SOFTWARES USES BY INTEGRATED REGISTRAR'S

OFFICE AUTOMATION SYSTEM, (IRAS):
Visual Studio 10:
Microsoft Visual Studio is an integrated development environment (IDE) from Microsoft. It
is used to develop computer programs for Microsoft Windows, as well as web sites, web
applications and web services. Visual Studio uses Microsoft software development platforms
such as Windows API, Windows Forms, Windows Presentation Foundation, Windows Store
and Microsoft Silver light. It can produce both native code and managed code.

.NET Framework is a software framework developed by Microsoft that runs primarily on

Microsoft Windows. It includes a large class library known as Framework Class Library
(FCL) and provides language interoperability (each language can use code written in other
languages) across several programming languages. Programs written for .NET Framework
execute in a software environment (as contrasted to hardware environment), known as
Common Language Runtime (CLR), an application virtual machine that provides services
such as security, memory management, and exception handling. FCL and CLR together
constitute .NET Framework.

JavaScript:
JavaScript is a high-level, dynamic and interpreted programming language. It has been
standardized in the ECMA Script language specification. Alongside HTML and CSS, it is one
of the three essential technologies of World Wide Web content production; the majority of
websites employ it and it is supported by all modern Web browsers without plug-ins.
JavaScript is prototype-based with first-class functions, making it a multi-paradigm language,
supporting object-oriented, imperative, and functional programming styles. It has an API for
working with text, arrays, dates and regular expressions, but does not include any I/O, such
as networking, storage, or graphics facilities, relying for these upon the host environment in
which it is embedded.

Oracle Database:
An Oracle database systemidentified by an alphanumeric system identifier or SIDcomprises at least one instance of the application, along with data storage. An instance

jQuery:
jQuery is a cross-platform JavaScript library designed to simplify the client-side scripting of
HTML. jQuery is the most popular JavaScript library in use today, with installation on 65%

of the top 10 million highest-trafficked sites on the Web. jQuery is free, open-source software
licensed under the MIT License.
jQuery's syntax is designed to make it easier to navigate a document, select DOM elements,
create animations, handle events, and develop Ajax applications. jQuery also provides
capabilities for developers to create plug-ins on top of the JavaScript library. This enables
developers to create abstractions for low-level interaction and animation, advanced effects
and high-level, theme-able widgets. The modular approach to the jQuery library allows the
creation of powerful dynamic web pages and Web applications.

HARDWARES USES BY INTEGRATED REGISTRAR'S

OFFICE AUTOMATION SYSTEM, (IRAS):
The machines, wiring and other physical components or peripheral which helps to operate
computer and other electronic system is called hardware. IUB also uses much hardware to
operate the IRAS site. Those hardware items are given below:

NETWORKING DEVICES:
Network devices are components used to connect computers or other electronic devices
together so that they can share files or resources like printers or fax machines. Devices used
to setup a Local Area Network (LAN) are the most common types of network devices used
by the public. A LAN requires a hub, router, cabling or radio technology, network cards, and
if online access is desired, a high-speed modem.

IRAS uses many networking devices for running network; those

NETWORK COMMUNICATION MEDIA:

There are 2 way for network communication media in IUB for IRAS. Ways
are as follows:-

Cable:
As communication media cable is mostly common media for networking. IUB use UTP
(Unshielded Twisted Pair) cable for communication. Using of cable because of:
1/ Cheapest form of cable available for networking purposes.
2/ Easy to handle and install.

Wireless routers:
For wireless connection IUB use Cisco router 3900 series because of its
high configuration and flexible uses.

DATABASE:
IUB maintain all the references in Linux operating system Access, because they think Linux
is safer than any other operating systems. Their system implicated a database that arranges

files according to their reference numbers in folder arrangements. In a nutshell database of

the deployed network is configured as follows:

Individual password protected system for access the network.

Students can use IRAS for downloading their academic result and transcript.
There are user limitations for using this database in one time.

FEASIBILITY:
The student of IUB they can register course at their home within given period. In early years
IUB students have to come in University campus and then can register course by the help of
an instructor. When IUB came up IRAS system registration, to know the semester grade and
other activity we can do it anywhere. During the course registration time lots of student log in
IRAS for enroll their course by their own. IRAS system does course registration and other
activity very easy and the system is very easy to use. The IRAS system saves our time.
Sometimes server cannot work properly because the number of student trying to entering at
the same time. Our interviewee MR. Shah Alam (assistant director of CITS) he said in future
it will be update and they will develop their software, hardware and server system.

INVESTMENT:
For IRAS system there is no fixed investment. They make some improvement in hardware
section and software section several times in a year, so they invest according to their need.
We have collected Data Back-up and security system: financial cost of IRAS which is given
below

BACKUP:
IRAS keeps back up its data in Portable hard disk. If they want they can also keeps their data
in Google Drive, Drop Box and DVD Disks.
The cost of portable hard disk is approximately around TK 30000. They have more than three
hard disks, in which they can keep the data safely.
Google Drive: Data can be kept in Google drive, which is more secure. If they kept their data
in Google drive IRAS has to pay Approximately USD 2000 per year that is TK 150000.
Drop Box: Data or informations are also kept in Drop Box for back up. The cost of keeping
datas in drop box is approximately USD 1000, which is TK 75000 per year.
DVD Disks: Data can be kept safely in DVD disks for backup. The cost of DVDs is TK 30
per disk.
But IRAS keep its backup datas or file in CITS department for free of cost.

Why Backup?
Every day individuals, businesses, and organizations lose their precious files due to a drive
failure, inadvertent deletion, or other unwanted action or event. The result is a great deal of
stress, anxiety, and in the case of businesses, lost revenue.
The computer hard drive that stores all our data has moving parts, and in time our hard drive
will wear out and fail. It's just a matter of when. We need to keep a copy of all our important
data somewhere else.

Where should we backup our data?

Data backup:
We should backup our data to a place where external people cant access and only authorized
people can access, check and work with these backup data.

For saving data we need to copy in different store files in different location where the
computer is located.
For example, if we think about IRAS system, they keep their backup in many system. Like,
IUB central computer, portable hard disc, Drop Box etc.

Power backup:
In case of power insufficient IRAS has some power backup system are like
High power UPS backup
Electronic generator

OPERATIONAL PROBLEM:
IUBs IT specialists face some major or minor problems to operational IRAS. Some
problems are given below.
Slow server network connection system
IUB authority frequently changes there rules so it is very hard for IT specialist to
generate new faction of IRAS.
If Government changes any rule then the IT specialist have to upgrade or degradation
IRS system Example: when tax was introduce 7.5%

Maintenance:
IUB software and hardware device maintenance and redundant data remove are done on 24
hours basis. The IT employee create disk of weekly data and bring it their home according to
the IT assistant of CITS. Monthly basis check every hardware and technical software. If face
any kind of technical fault, they replace/repair as early as they can.

Maintaining Cost:
The maintaining cost of IRAS includes salaries for its employees, and IT engineers are
approximately TK 200,000.

SECURITY SYSTEM:
Computer security, also known as cyber security or IT security is the protection of
information systems from theft or damage to the hardware, the software, and to the
information on them, as well as from disruption or misdirection of the services they provide.
Computer security is constantly evolving, and is a complex technical area. The processes and
mechanisms of digital equipment, information and services are protected from unintended or
unauthorized access, change or destruction. It includes two types of security first physical

security to prevent theft of equipment and information security (Cyber security) to protect the
data on that equipment.

Physical security:
Physical security is the protection of personnel, hardware, programs, networks, and data from
physical circumstances and events that could cause serious losses or damage to an enterprise,
agency, or institution. This includes protection from fire, natural disasters, burglary, theft,
vandalism, and terrorism and whether premises are protected by alarms, security lighting or
CCTV.
For IUB the staff (guard) and the engineers who maintain IT sectors and assure the physical
security.

Logical security:
For better security they use Kaspersky antivirus and oracle, for these all the configuration of
all equipment keep in safe.

RECOMMENDATION ABOUT IRAS SYSTEM:

The IRAS server system is low during registration time, so we think the IT specialist
should take a step to improve of IUB network server.
We think in IRAS there should be an option of students CGPA because in present if
any student wants to know his/her current CGPA they have to contact with registration

office, so its a bit time consuming and student cannot do it anywhere.

We think in IRAS system there should be option who will provide all the
information of any student so that student can easily get to know about all the
academic information.

CONCLUSION:
To conclude it can be said that when IUB introduce IRAS 2014, till now it is working
successfully. IRAS creates many students activity easy like online registration, faculty
evaluation, course withdrawn activity, class attendance and so on. In previous when IRAS
wan not introduce course registration was very hassle, students came to university campus
and they had to maintain line for a long time in front of the instructor office and it was very
time consuming but now the help of the IRAS the registration process is far easy and students
can do it anywhere. According to IT assistant some time they have to upgrades and demote
IRAS because of authority and government preference. Sometimes IRAS server system gets
slow Mr. Shah Alam said the IT specialists are trying to solve this problem. In IRAS software
some problem may occurs but IRAS do academic activities very much easy.
