I cannot express my sincere gratitude in words towards my supervisor Mr. Reeds Marange for his
tireless support in making sure that my internship in Love Botswana Outreach Mission is a
marvel worth remembering. Truly it is through his support that I managed to achieve all my
internship objectives. I would especially like to acknowledge the contribution of my internship
tutor Mr. Charles Shava for guiding me through in making sure that this internship is a great
success. It is through his endless support, guidance, motivation and availing herself whenever I
need her help that this internship and report started and ended smoothly.

CHAPTER ONE
EXECUTIVE SUMMARY OF THE INTERNSHIP
Love Botswana Outreach Mission is the result of Drs. Jerry and Jana Lackey missionary work in
Botswana since 1987. The couple was ordained by Lakewood Church in Houston, Texas and
after several years working with the communities from the Kalahari region of Botswana, the
Lackeys relocated their ministry to Maun Village in the North West and established the Outreach
mission in 1995. Parallel to the work in Botswana, Jerry and Jana Lackey Ministries, Inc was
established by missionary couple in 1987 as a 501c3 non-profit organization in Houston, Texas
to serve as the conduit for funds for the mission work in Africa. Jerry and Jana Lackey
Ministries, Inc is still operational and is part of the financial sustainability strategy for Love
Botswana Outreach Mission and its programs.
During the internship period the intern was exposed to different major tasks that he/ she has to
execute them successfully, they include the following:
i.

Computer repairing, maintenance and software installation: diagnosing the worn out
hardware components and replacing them with new ones, installing day to day used
applications for example: Adobe Reader 9.3, Microsoft Office 07, Avg Antivirus 2013
etc.

ii.

Networking: Configuring network points, cable making, Access Point configurations,


Adding clients to network domains, sharing network devices (printers), performing
DNS lookup, and IP addressing.

iii.

Email configuration and management using Microsoft Outlook 2007, I have also
acquired some skill on IMAP, SMTP and MIME protocols.

iv.

User support and Training: The interns were given the opportunity to teach the
company staff the basics of computing so that they will be more productive.
Sometimes we were given chance go lecturer the form five students when their
teachers are on leave. The intern was teaching the students web development using

Hyper Text Markup Language (HTML), Database design and development using
Microsoft Access 2007.

Server Configuration and Management: Services deployment to clients using


Windows Deployment service. Dynamic Host Configurations, DNS configurations,
Adding roles and the relevant features. The organization which the intern was
operating under is using Microsoft Server Standard; the intern was performing all
the administrational task using the server. In addition the intern learned installing the
server from scratch and configuring it.

The most important task that the intern was assigned to is to make the full backup for
the entire company each and every Friday. Some additional activities include
formatting computers etc.

CHAPTER TWO
INTRODUCTION
Every path lead to target and for one to reach the target there should be a scope that guides one to
the target. Along the expedition before one can reach the target point, the ride is never soft. In
one to reach the target his/her has to acquire good tactics and styles that will lead him/her to
smoothly reach the destiny. As a learner and also an intended graduate, the intern has to find new
ways to move from a non-knowledgeable somebody to a well formed graduate, and this included
Social traits, it played a momentous role in establishing a passive coexistence between human
resources and their management and these will be one of the areas these report should not
neglect. This includes sense of community whether or not the intern was aware of ones
responsibilities as a member of a society and able to make a positive contribution to that
community. Personal traits, this entails being self motivated, being able to works team member
or either the leader, hardworking, proactive and with good working ethics.

PURPOSE
The major reason of this report is to emphasize in details activities carried out during the
internship period by an intern in an attempt to meet the main objective of IGP which is:
Integrating the knowledge learned in the classrooms and laboratories with the real world
experience. Furthermore the purpose of this report includes the following
-

Acquire hands on work-experience in a real world environment


Reflecting on the learning experience acquired and the skills acquired
Identifying the type of Information Technology used in the company.
Outline how use of Information Technology software assists in increasing the
efficiency of the operations.

SCOPE
This report will entail all information collected during the internship period, especially the
company information (organizational profile). Indication or reflection of what learned from
university college (NIIT) and how it applied on the field for better results. Also this report will
present knowledge gained by the intern from the work environment

METHOD OF GATHERING INFORMATION


According the researcher there are two methods of informational gathering, these are primary
and secondary methods.
Primary methods: Direct and indirect forms, this entails face to face interviews, the researcher
was also observing and through staff meetings. I was also gathering information by engaging
myself in the real activity and acquiring knowledge.
Secondary methods: This was through the internet and the college pamphlets.

CHAPTER THREE
COMPANY BACKGROUND
Love Botswana Outreach is the mother (umbrella) organization responsible for the management
of all programs developed and implemented by its associated entities. They include the
following:
i.
The Village Church, Maun The church carries out the evangelistic aims of the
trust through the growth and development of churches in the Nation of Botswana
where the gospel of Christ is preached utilizing multiple strategies. The village church
is registered religious society in Botswana where the congregation of people
represents more than 15 nations. Weekly services are held on Sunday morning and
Thursday evenings, 11 branch churches located in the North-West region Botswana
ii.

and in Caprivi Strip in Namibia minister to the people in the remote villages.
Okavango International School: Formerly Ngamiland Christian Academy, it was
established in the early 1990s. In 2003, the school name was changed to Okavango
International School (OIS) and the secondary education curriculum was added. OIS is
a private English medium school that provides education from pre-school to form 5
levels. The school plays a significant income generating role on the financial

sustainability strategy of Love Botswana Outreach Mission.


Lorato House: Lorato House was established in 2004 in order to carry out the aim of
the Trust through the provision of programs that address the social welfare and
community needs for disadvantaged children, youth and their families in the
community so that they can move from crisis to self-sufficiency.

In 2010, the organization had re-fined its core values, vision, and mission as:
Core Values - Faith, Integrity, Relationships, Excellence
Vision Developing African leaders
Mission To inspire, build, and launch people through faith, integrity, relationships, and
excellence that will purify, transform and ignite individuals to impact the nations.
Objectives

To bring all men to the saving knowledge of Christ.

To help individuals and their families to move from a state of crisis to self empowerment.

To support government and other humanitarian initiatives by filling in the gap where
government needs NGO support.

The organization doesnt have the proper organizational structure for the IT department because
it constitute of the IT technician, one IT lecture. The information communication technology
department for the organization is very small though the organization comprises of various
departments that are being assisted by the ICT services. These often work as a challenge for the
ICT office since it works heavily to serve different many other departments within the entire
business. The organization does not have a proper organizational structure, but the intern through
observation managed to come out with a sample organizational structure. Refer to the diagram
that follows;

ROLE PLAYED BY THE INTERN IN THE ICT DEPARTMENT


The researcher (intern) was working as an Information technology Officer in the Server Room
unit. Following are some of the role and tasks played by the intern during the internship period;

Formatting lab computers using Windows XP, installing drivers, installing relevant
softwares e.g. adobe reader, office 2007, installing ant viruses and updating it regularly.
All the computers in the college are joined to one domain (lovebotswana), so after
formatting and installing the drivers especially the network drives, the computer is joined
to the college domain. The college employees and students have their users account and
their individual drives on the college file server, this drives are just shared folders on the
server. The main task after adding the computer to the college domain, the intern has to
confirm that each computer user is able to see his/her drive when logged on.

Troubleshooting: This entails troubleshooting the computer when it cannot log on to the
college domain. This involves checking that the network cable is properly inserted;
making sure that there is network connection. If there is network but still cannot log on to
the college domain, then the computer needs to be restarted.

Support Learning: the intern task was also to facilitate learning in the ICT department by
providing special support by helping students with doing their projects. This also entails
helping students with any difficulties they encountered while using computers e.g.
formatting documents, helping them with recovering the lost data on their flash drives,
printing documents because some were failing to use the printer.

Adding printers on to the printer server and then sharing them were also the major task
of the intern. Each printer on the printer server was given the unique IP address which
uniquely identified it on the network. After sharing the printer, the intern had to add it to
relevant staff members so that they can printer wherever they are but while the printer is
located somewhere else. The intern had to log as the administrator in order to perform the
stated operations.

The main task carried by the intern during internship period was to create users account and
creating the folders for each created account

WORKFLOW WITHIN INFORMATION MAGEMENT


According to the research workflow refers to the computerization of a business process, in whole
or part, during which documents, information or tasks are passed from one participant to another
for action, according to a set of procedural rules. Workflow normally comprises a number of
logical steps, each of which is known as an activity. An activity can involve manual interaction
with a user or workflow participant, or the activity might be executed using machine resources.
The work flow within Information Communication Department can take different flow of events
depending on the matter at hand. That is to say the nature of the customer or employee needs
may always defer and these will require a special kind of methodology. In general when a user
log a call, the call may be dealt with and resolved by the Information Technology junior officers
(interns) provided the call is within the capability of the intern. When the call is above the
capability of the intern the call would then require to be escalated to the next level. There are
many factors which might lead to call escalation and these factors include the following;

When the customer is unsatisfied with the service provided by the Junior officer (intern)

When the call requires special skills. In this situation when a customer for example
requires help pertaining Back office knowledge, in this situation the call should be
forwarded to back office personnel (the company administrator).

IT SUPPORT

There is no exact IT support in the organization, the researcher (intern) would indicate that since
the field of attachment was a mission company, the IT support entails providing network,
software management and any information technology service or assistance across all different
departments of the mission. Ensuring that employees and students can use their account to log on
to computers. The intern identified that in any small or middle business, there is no specific job
description for the IT officers because sometime are called to help people with applications like
pastel which are not by the IT officer.

Following are some of the company operations that the software used by the company increase
their efficiency;
Productivity: Word processing, spreadsheets, pastel, quick box, and other software programs
increase the productivity of the company business.
Monitoring: IT is used for monitoring areas of the company that are not utilizing resources
efficiently.
The company is mainly focused on hardware and networking but these two areas are not my area
of study (software development), so my daily tasks were so tough because they were more
networks and hardware related. The intern managed to overcome them due to hardworking,
researching and asking for assistance from the administrator. In addition during the last
internship which was last year, I learned some basics of hardware and networking and works as
an advantage during this second internship. Some of the intern tasks were the day to day simply
task, including booting, software installation, troubleshooting. Being eager to learn and accepting
challenges are the main traits of the intern that benefitted him to overcome the task assigned to
him. The intern computer literacy was of great importance for the effective completion of the
tasks and duties assigned to him.

CHAPTER FOUR
REFLECTION AND SELF- APPRAISAL
At Botho college I learned creating websites, windows applications, console applications,
creating three tier applications having the user interface, modeling business logic and the back
end which is made up of a data source e.g. SQL . I also learned creating websites using net beans
and many other software development concepts. I didnt apply all this subjects I learned from my
study to the internship because the organization that the intern was attaching at was majorly
doing networking and more of hardware that means the intern was doing more of networking and
hardware. Most of the task the intern was assigned to was the things I learned by exploring,
researching, supervisors guide, and also the experience I gained from the past intern helped the
intern to successfully finish the internship. The intern developed more interest on network to an
extend that the intern want to certify CISCO next year.
Expert
During the internship period the intern was not specializing on any special task, the intern was
doing any duty assigned to him/ her. The position that was given to the intern needed him to
work hard and provide any IT support required.
Confident
During the internship period the intern performed many task independently due to high selfconfident without involving the senior IT officer.
Responsible
I worked on my own despite the fact that my supervisors were not available when I encountered
some difficulties.
Learning Experience
During the internship period the intern have experienced many things that he/she havent come
across before for instance creating user accounts joining computers to domain, the intern gained
experience during the internship program. The intern experienced the effectiveness of computers

when they are communicating together or joined together through computer domain. Resetting
passwords for different users on the server, troubleshooting are some of the gained experience
gained during the internship process. During this period the intern worked perfectly. The intern
worked well with his supervisors, but some of the tasks the intern met them during the previous
internship.

THE INTERNS LEARNING SKILLS


The intern learned a lot from the internship. Before the internship the intern only knew the
theoretical part of Information Technology and through the internship the intern gained
experience and managed to put the knowledge gained in college into practice. The intern also got

the chance to learn more on Network Engineering which he could not have learnt in school as he
specializes in Software Engineering. The intern learned interesting aspects of information
technology during the internship, configuring wireless access point, configuring Microsoft server
2008 which all the activities of the vitals activities of the IT department take place. The intern
learned creating users on the server, creating some folders and shared them across various
departments within the organization. The intern also had the opportunity to re-assemble CPUs
through the supervisors guide. The internship are highly significant in the since that the interns
turn to discover what is expected in the market place and the areas of improvement.

CHAPTER FIVE
RECOMMENDATIONS
-

The intern would like to suggest that the company should purchase a better server, for
instance the deck servers so that they will have a separate printer server, file server, mail

serve and the backup server because its big to use a standalone server. These will be
much better and more secure in the since the company printers are connected manually to
computers, that means when someone wants to print he/she has to access the computer
where the printer is connected to using its IP address.

The company is using the old computers that do not support some programs, their too
slow because their processors are out fashioned. The intern would like to suggest that the
company should buy some new information technology equipments including computers
to reach the standard of today.

The intern would like to suggest that the college (Botho College) should change their
curriculum, there are some important areas that students should do during the foundation
level, for instance hardware and networking, they should be taught to scholars in their
first year because they are the core foundations of information technology.

CONCLUTION
In a nut shell I managed to gain or learn something as far as Information Technology is
concerned. This internship period gave me a chance to explorer and discovers what the IT
industry has for IT scholars. The intern leaned many important things during this internship
that I didnt have knowledge about them before. I was able to do hardware and networking
during the internship period, the intern thinks that is a good initiative for him in the future.
Furthermore, I would to conclude that, even though the intern havent done more of software
during the internship period the intern now know what is expected from a qualified IT
somebody.
