OBJECTIVE PLANNING PROCEDURE


Example Only. This document should be customized to reflect the nature of your organisation, the
legislative and regulatory framework it operates within, and the purpose and scope to which you use the
Qudos software. Seek professional advice.

PURPOSE

Measurable objectives are set to prioritise our activities, and focus our attention on items considered to be of
maximum importance to achieve:

Legislative and regulatory compliance


Customer satisfaction
Expectations of shareholders, employees and other stakeholders

These objectives are key factors in decisions relating to resource allocation, methods and actions taken throughout
our organisation.

SCOPE

This procedure documents our business rules for:

Setting objectives
Planning, recording and tracking actions
Reviewing achievement

This procedure applies to corporate objectives and those cascaded down to various levels throughout the
organisation. It applies to objectives set for all business units on any topic. It specifically excludes personal
objectives set for individual development. These are addressed in accordance with the Individual Development
procedure.

ACTION / METHOD

Software
All planned objectives are recorded using the Qudos / Objectives module. Actions planned and taken to achieve
objectives are recorded on Action forms. The following steps in this procedure assume a basic working knowledge
of that application. For guidance on using the application in general or in any particular step, refer to its Help file
and training presentations.

The person responsible for planning an objective will check that objectives set at lower levels are complementary
and contribute to their objective. This check will be recorded in the relevant Action form.

Planning Objectives
Objectives may be set at formal management review and business planning meetings and also in the event of:

Existing objective being achieved


Time-expiry of previous objective
New opportunity being presented
Cause for concern

The Objective form is used to generate each objective. The planner will complete at least the following sections:

The Planner will generate an Action form to flag and assign responsibility for actions necessary to achieve the
objective (refer to Action procedures for further details).
In order to prioritise the objective, values will be entered for its importance in terms of the listed drivers. For
guidance, see the section on Driver values below. The software will automatically total the values entered. Note:
The Objectives Register may be sorted on the basis of total driver scores.
The Planner will lock the Objective form to prevent unauthorised changes being made to it.

Recording progress / status


Actions planned and taken regarding the objective will be entered in the associated Objective and any related
Action forms generated from it.
The Planner will record the level of completion on the Objective form using the spin button for % Complete. Our
business rules for indicating progress are described in the section on Completion % values below. When the
objective has been achieved, the Planner may indicate the fact using the Achieved radio button in the Status
area, and entering the completion date.
In some cases, authority may be given not to proceed with the objective. Such authority may only be given in
writing by the [ Click here and type job title ]. In this event, the planner may indicate the situation using the Parked
radio button in the Status area.
