DOCUMENT MAINTAINING & OFFICE PRACTICE

There are lots of documents to maintain at the site. That documentary work is very
impotent for construction & future works. In our site we had a drawing table; box files &
normal files. These are some important documents.
Site instruction
When consultant comes to visit the site he can give some instruction. Those
instructions keep on this box file.
Request ions for inspection (RFI)
Before starting any kind of works in the site, RFI sheet must be filled. First record it in
inspection book and take its RFI number. Then we have to fill RFI sheet.
Material application
Normally consultant suggests suitable materials. But some occasion they do not mention
special materials. So we have to get approval for using special materials. To take the approval
we have to give a material application sheet.
For an example Steel, water proofing materials (internal, external), anti termite
Extra works
These file contains letters regarding BOQ items. For a example when we are given tiles for
floor finishes and they have change their mind to use marble and its not include in the BOQ.
Such kind of situation we have to mention those things in extra works file.
Shop drawings
Consultant generally issue main drawings regarding each floors but that hard copy
does not contain in detailed. So he issues soft copy also. Using those main drawings we cant
construct the building. Therefore planning engineer has to issue the drawings which can take
details to construct. Building was divided into 4 zones he has to issue separate drawings for
each zone. These drawings are prepared by draft men & planning engineer signs those
drawings. We can not use the drawings without planning engineer or construction engineers.

The Q/S branch has to calculate the cost per monthly. The monthly cost will maintain in this
file. It includes Material cost, Direct labour cost, Sub contractor work cost, Plant, machine &
vehicle cost, Direct overhead cost, Electricity, telephone, water, staff salary, welfare...etc
Test reports
All the test reports must be in the site. Steel, concrete, blocketc.
Request for clarification (RFC)
In the drawings there may be some problems. So we have to ask it from consultant. Then we
should give the RFC for consultant.
Calibration records
The entire instrument from batching plant to 5m tape (all calibrated instruments) should be
check regarding calibration. Those results are in this file.
