ID cards to have access to everything

Plan: We aim to design a system which would enable the students of SIBM-B to
have access to almost everything using their ID cards.
College ID cards should be used throughout the campus providing access to
residential campus, library, canteen & stationery shop and various sporting and
social events on campus.
Thus, we aim to provide following services accessible through IDs:

Attendance during the classroom


Library facilities
Hostel Attendance
Availing Gym facilities
Canteen and stationery payments

Objectives:
We undertook this project because of the following benefits:

Our college should utilise secure ID cards to foster a safe learning


environment, often combining access control, identification and
transactional applications into one card for flexibility and convenience
ID systems make it easy and affordable to integrate new ID card
technologies that make campus life more efficient for everyone.

Stakeholders:
The people who are going to be affected by this system would be:

Students
College Staff (Teachers)
College Management (Various sub departments)
Others : Canteen owner, Gym instructors

Current System:
Currently there is no centralised system which uses ID cards as a single entity.
Library
As of now, ID cards are used only in the library for the purpose of issuing books.
Use of barcode lead to reduced staff workload, increased accuracy, improved
circulation capability ,faster check in and check out, easier sorting and inventory
management. They are associated with item records in the library management
software and can hold critical information such as item number, call number,
copy and volume numbers as well as associated codes used in the library. All this
information can be held in one label and any of the information can be changed
or updated without the need to relabel the collection. Once you have barcodes
on the books and other resources you can quickly scan the barcode information
into your computer to help to accurately track the resources.
Drawbacks:
Barcodes are very labour intensive as they must be scanned individually. They
have less security as they can be more easily reproduced or forged.
They can be more easily damaged, as the line of sight is needed to scan, the
printed barcode has to be exposed on the outside of the book. If a barcode is
damaged, there is no way to scan the book.
Every enquiry regarding the current status of the issue needs to be checked via a
personnel hired for scanning.
Classroom Attendance
Currently, attendance is taken in classrooms via a software in which student
databases are maintained and it is more convenient than the process of manual
attendance recording.
Drawbacks:
Although the system is more efficient than manual recording but it has some
deficiencies like:

Some students tend to miss out their attendance because there is no way
of reassuring the names of absentees while final submission of the
attendance.
This method is still time consuming since the name of each student has to
be called while taking the attendance.

Hostel Attendance
The attendance during hostel is taken between 11 pm to 5 pm wherein students
have to report at the reception for signing their attendance.
Drawbacks:

Students have to report all the way down to the basement irrespective of
the floor/storey at which they are residing.

Gym facilities

Students have to manually sign in and sign out while entering and exiting the
gym.
Drawbacks:

This process is cumbersome and can be made more flexible and efficient
through ID card access to gym facilities.

Canteen and stationery facilities


Currently the canteen personnel manually records all the dues of the students
which is quite laborious and inefficient.
Drawbacks:
Students often delay their payments. Also, sometimes the personnel himself
forgets to record the due payments from either his side or the students side that
eventually leads to loss of one party over the other
