DIRECTORATE OF FINANCE AND ADMINISTRATION

Job title: Administrative Assistant

Reports to: Administration Manager


Overall Job Purpose
To provide administrative support in the day to day activities of the
Directorate and/or Department
Key Responsibilities & Duties

1. Provides administrative support in organising meetings and events in


the office
2. Receive visitors, directs them appropriately and attends to inquiries,
including telephones
3. Ensures that office premises and furniture are tidy and cleaned
regularly as required and other services such as reception, catering and
refreshments, utilities and messenger services, are provided for
4. Liaises with the Procurement officer for purposes of engaging service
providers to carry out maintenance, repair and servicing work
5. Facilitate travel of staff to various places for NIRA activities.
6. Requisitions for office stationery from the store and distributes it as
required
7. Ensures dispatch and delivery of official mail and other parcels
8. Types both confidential and non-confidential correspondences,
documents and reports.
9. Controls office stationery and office equipment issued to the
Directorate/Department
10. Assists in organising information and other inputs required for
meetings and other activities of the Departments.
11. Performs any other duties that may be assigned frorm time to time by
the Administration Manager.

Person Specifications
a. A Bachelors Degree with Honours in Business Administration, Office
Management, Hospitality or any other related area from a recognised
institution.
b. 2 years relevant working experience
c. High level of organisational skills
d. High level of confidentiality and willingness to learn
e. Computer literacy
