1. Overview
1.1. Requirement Analysis
This document is the proposed technical proposal of audio visual (A/V) and public
address system responding to Tender for the construction of the proposed University
of Nairobi Towers Specifications and BOQ for audio visual and public address
system installations. The proposed system is aiming to achieve the AV functionalities
for all classrooms and meeting rooms required, including Lecture room, Lecture
Theatre, Council Chambers, Break Away room, Auditorium/Senate Chambers, Board
Rooms and VC Board Room. The quantities for the various rooms to be fitted with
Audio Visual facilities as hereunder:

1.2. Design Criteria


The overall designing principles that the Audio Visual rooms must followed are
practical and economical, safe and reliable, advanced and easy to maintain.
The Economic and Practical Principles
To fully meet the requirements of practical work and business management for users,
economics as the first element, the advanced management mode should be deployed
to meet the functional requirements based on the easy operation, simple maintenance
and easy management. According to the actual needs of the hardware configuration
selected, waste of resources needs to be eliminated or prevented.

The Safety and Reliability Principles


As the primary design principle of system construction scheme, the reliable design
requirements about safety and long-term stable running ensures to provide effective
technical support for the user to execute safe and qualified service management tasks
during the system operation, which helps to reduce the labor and capital costs s of the
system. Also, the strain capacity and fault tolerance ability of the system should be
fully considered. On the premise of meeting the above requirements on reliability, the
scheme plan should be optimized as far as possible to reduce equipment investment.
The Advanced Principles
System design, construction and selection of equipments should follow the principle
of the advance, which enables to make the construction of video conference room be a
part of whole office building construction. In this way time synchronization can be
kept on the technology platform level, which contributes to guarantee the system life
cycle extended as far as possible. On the other hand, Compatibility should be
considered if the existing or foreseeable equipment that could be interoperated in the
future.
The Scalability and Maintainability Principles
Equipment must be reserved for the programming interface and expansion interfaces
for expansion and upgrades in the future, to make sure the scalability and
maintainability of the device.

1.3. Design Objectives


High-definition video systems can support 1080P, 720P and other HD resolution.
Video conference system includes remote videoconferencing systems, local video
signal input, processing and exchange systems, local display systems etc. This
design is only for local video signal input, processing and switching systems and
local display system.
CD-level stereo audio system can be realized to effectively eliminate echo venue,
howling and other undesirable phenomena, which includes audio pick-up system
systems, audio processing system, and audio amplification system.
The devices enable to be easily and quickly turned on or off, so special
management is not required.

for Various Rooms
2.1. A/V Rooms Decoration Recommendations
A/V rooms decoration is implemented by UON Contractor, the followings are some

suggestions:
Suggestions for Ceiling
The flat ceiling with aluminum perforated panel (aperture 2mm) should be adopted
with a size of 600mm 600 mm, which reaches A grade fireproof, E1 grade in
environmental protection, and RH90 grade or above in moisture proof standard. A
layer of sound-absorbing tissues or black retardant cotton should be added to the back
of perforated plates to achieve a certain acoustic standards. Light color is necessary
(white recommended).Please refer to the following picture.

Suggestions for wall decoration


The decoration scheme for the front walls and side walls should employs the
sound-absorbing solution with wall putty, putty leveling, non-woven wall covering
(sound-absorbing effect considered) and wood veneer walls, while back walls deploys
a solution of 75 keel, plywood panel and soft package.
Wall color suggestions
Video conference room wall color should be ivory or grey. The colors of the backdrop
walls should be the same in the same videoconference project. Bright ivory is highly
recommended to paint on the wall for video conference rooms, while the color of
backdrop walls should be slightly darker than the other walls.
Lighting Design
The lighting for the video conference room must choose tricolor T5 lamp with a color
temperature of 4000K, CRI 82 above, diffuse lighting and a life up to 15,000 hours.
Illumination Design
The illumination for the video conference room should be 500LUX in the image
pick-up area such as a person's face. The illumination shouldnt be higher than
80LUXaround the TV, otherwise the experience will be affected.

A/V System Solution Description


Based on the architecture design, for the lecture rooms which accommodates for 50 to
60 people, a teacher platform and 50 to 60 people seats are designed, the equipment
can be put under the teacher platform. Laptop signals can be transmitted from
teachers platform to the projection screen. At the same time one gooseneck
microphone is positioned for teachers to do the speeches. The lecture room with
equipments layout on the given architecture design is as followed:

The proposed solution for Lecture room (50&60 Seats) is designed to have the
following systems:
Voice Pick-up System
The platform provides one wired gooseneck microphone for teachers to use and it also
offers stereo audio input interface for laptop signals.
The Amplifier System
Considering the appearance and size of the lecture room, wall-mounted type of
loudspeakers are adopted and installed. At the same time, in order to ensure the effect
of the amplifier, 2 wall-mounted loudspeakers, which provides 180 degree horizontal
diffusion angle, are recommended in the lecture room as the layout shows to
guarantee the fullness and evenness of the real voices and music.
The Display System
The platform transmits the laptop signal into VGA interface, through which the

teacher's lectures can be displayed on the 120 inches screen with a size of 2.4 m*1.8
m projector.

Video Input/output
In this solution video signal input is provided by teachers laptop and output through
the projector to display on the 120 inch projector screen.
Audio Input/output
An analog mixer is designed for the audio input from teachers laptop and the
gooseneck microphone, and audio output and amplifies by actuating the 2
wall-mounted speakers.

2.3. Lecture Theatre (294&300&500 Seats)


A/V System Solution Description
Based on the architecture design, for the lecture theaters which accommodates for
294/300/500 people, equipments layout and A/V solution design is as followed:

The proposed solution for Lecture Theaters (294&300&500 Seats) is designed to have
the following systems:
Voice Pick-up System
Two wired gooseneck-neck microphones are installed both at the left and right stage
for the speakers, stereo audio input interface is provided for laptop signals connection
and transmission. Additional four handheld wireless microphones and two handheld
wireless microphones with floor stands are also provided due to these large areas of
lecture theaters.
The Amplifier System
In order to ensure the articulation, clarity and fullness of sound in the lecture theatres,
four Main Voice Speakers will be set on the stage and twelve Auxiliary Speakers will
be well-proportioned set around the theatres. At the same time, two Subwoofers are
deployed at the front and four Back-stage speakers are set on the opposite areas of the

stage shown above.


The Display System
A 200-inch projection screen equipped with ground power plug on both sides in the
size of 4064mm *3048mm at the central stage displays the laptop signal through the
VGA interface.

Video Input/output
As shown in the Device Network Diagram, since there are three main video input
resources including two laptop video inputs and one PC video input, an 88 VGA
matrix switcher is configured to route and switch all the video input resources. At the
same time, due to the large lecture theatre areas, signal transmission loss could be big
if the video signal transmits through the VGA cable, VGA UPT Extender is
recommended to be configured for VGA analog signal transmission via a network
cable, which provides a good VGA analog signal transmission within 300 meters.
Meanwhile, interface is provided for both the Laptop and PC to have the video signal
transmitted and displayed on the 250-inch projector screen.
Audio Input/output
An analog mixer is designed for the audio input from teachers laptop and the
gooseneck microphone, and audio output and amplifies by actuating the 2
wall-mounted speakers.
Due to large theatre areas and complex sound environment, a serial of amplifiers, one
analog mixer and one digital audio processor are provided for audio input and output
and also to have audio 4A processed to prevent the noise and echo.

2.4. Council Chambers(50 Seats)


A/V System Solution Description
Based on the architecture design, for the Council Chambers which accommodates for
50 people, two table and wall mount kits are equipped to support the VGA
transferring and a group of goose-neck microphones is used for audio signal
amplification, and one TE30 for point-to-point video conferencing with Board room
and VC boardroom, which can be shown in the followed equipments layout and A/V
solution design:

The proposed solution for Council Chambers (50 Seats) is designed to have the
following systems:
Voice Pick-up System
There are one set of digital discussion system, including 1 set of chairman unit and 27
sets of delegate units in the meeting room. Total 13 wired microphones are equipped
in the Council Chamber.
The Amplifier System
It is recommend that adding two wall-mounted speakers in the lecture room,
considering the aesthetics, the size of the meeting room and the clarity of sound. Refer
to the picture above, with such solution, the real human voice and music performance
can be presented clearly.
The Display System
There is one 120 inch electric screen in the meeting room to display.

Video Input/output

2.5. Break Away Room (25 Seats)


The same solution of system design and BOQ as the Board Room (15 Seats) is
proposed to Break Away Room which accommodates for 25 people, please refer to

2.6. Auditorium/Senate Chambers(500 Seats)


The same solution of system design and BOQ as Lecture Theatre (294&300&500
Seats) is proposed to Auditorium/Senate Chambers which accommodates for 25
people, please refer to Lecture Theatre (294&300&500 Seats) for the detail
information.

2.7. Board Room (15 Seats)


A/V System Solution Description
Based on the architecture design, there are 5 board rooms, which accommodates for
15 people, the solution is indicated in the followed equipments layout, which includes
the audio visual system and HD video conferencing camera support point to point
video conferencing with the other board rooms and council chamber.

The proposed solution for Board Rooms (15 Seats) is designed to have the following
systems:
Voice Pick-up System
There are 1 set of digital discussion system, 1 set of chairman unit and 6 sets of
delegate units in the meeting room. Overall, 7 microphone are equipped and the stereo
audio input interface is configured for the laptop.
The Amplifier System
It is recommend adding two wall-mounted speakers in the lecture room, considering
the aesthetics and the size of the meeting room. Refer to the picture above.
The Display System
There is one 100 inch electric screen in the meeting room to display. A set of TE30 is
used for the video and content sharing. With the configuration of the table and wall
mount kit, the video and content sharing can be sent to the electric screen.

Video Input/output
In this solution a set of TE30 is used for the video and content sharing .With the
configuration of the table and wall mount kit, the content can be sent to the electric
projector screen.
Audio Input/output
There is one set of digital discussion system to support the statement. The two
speakers are used to collect all the audio signals, including the output of digital
discussion system, the laptop and TE30.
